Think of your workflows as the master blueprint of your process, whilst workflow runs are single, dynamic instances that you run from your workflow.<\/p>\n<p>For example, if you were hiring a few new team members, you would run a workflow for each new hire that you need to onboard, all based on the same new hire workflow.<\/p>\n<p><strong><em>Users: In order to create or edit workflows you must be an Administrator or a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builder<\/a> who has been given &#8216;edit&#8217; access by your Administrator.<\/em><\/strong><\/p>\n<p>You can enable <a href=\"https:\/\/www.process.st\/help\/docs\/version-control\/\" target=\"_blank\" rel=\"noopener\">Version control<\/a> to track changes to Workflows for auditing purposes.<\/p>\n<p><iframe loading=\"lazy\" title=\"YouTube video player\" src=\"https:\/\/www.youtube.com\/embed\/W_iYrlA3qBE\" width=\"100%\" height=\"406\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\">\ufeff<\/span>\ufeff<\/span>\ufeff<\/span>\ufeff<\/span><\/iframe><\/p>\n<p>There are endless use cases for workflows including:<\/p>\n<ul>\n<li>An <a href=\"https:\/\/www.process.st\/templates\/client-onboarding-checklist-for-a-managed-service-provider\/\">onboarding<\/a> workflow for new clients<\/li>\n<li>A <a href=\"https:\/\/www.process.st\/templates\/blog-pre-publish-checklist\/\">pre-publish<\/a> workflow for your blog posts<\/li>\n<li>A <a href=\"https:\/\/www.process.st\/templates\/it-support-process\/\">support <\/a>workflow for your IT staff<\/li>\n<\/ul>\n<p>Essentially you can have workflows for every recurring task or <a href=\"https:\/\/www.process.st\/writing-standard-operating-procedures\/\" target=\"_blank\" rel=\"noopener\">SOP<\/a> that you can imagine!<\/p>\n<p>The above use cases are examples from our <a href=\"https:\/\/www.process.st\/help\/docs\/template-gallery\/\">library of pre-made<\/a>, ready-to-use workflows that you can copy and use in your organization. You can use these workflows as they are by,<a href=\"https:\/\/www.process.st\/help\/docs\/running-checklists\/\"> running<\/a> or, <a href=\"https:\/\/www.process.st\/help\/docs\/template-share-link\/\">sharing<\/a> them, or <a href=\"https:\/\/www.process.st\/help\/docs\/editing-templates\/\">edit them<\/a> to suit your specific needs.<\/p>\n<p>You can even <a href=\"https:\/\/www.process.st\/help\/docs\/assigning-templates\/\">assign users<\/a> and <a href=\"https:\/\/www.process.st\/help\/docs\/dynamic-due-dates\/\">due dates<\/a> to specific tasks in your workflows, to make sure that everyone knows what they need to do and when once a workflow has been run.<\/p>\n<h2>How to make workflows<\/h2>\n<p><iframe loading=\"lazy\" title=\"YouTube video player\" src=\"https:\/\/www.youtube.com\/embed\/mxBIxefUS0k\" width=\"100%\" height=\"406\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\">\ufeff<\/span><\/iframe><\/p>\n<h2>Making a new blank workflow<\/h2>\n<p><iframe loading=\"lazy\" title=\"YouTube video player\" src=\"https:\/\/www.youtube.com\/embed\/2YX8QMP5I8w\" width=\"100%\" height=\"406\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\">\ufeff<\/span><\/iframe><\/p>\n<p>To start from scratch and make a new blank workflow, click the &#8220;<strong>+\u00a0New<\/strong>&#8221; button in the top right corner of your screen and select &#8220;<strong>Workflow<\/strong>&#8220;.<\/p>\n<p>You can create a New workflow either in your <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">organization library<\/a> or from any page that would send the workflow into your <a href=\"https:\/\/www.process.st\/help\/docs\/private-library\/\">Private Library<\/a>. Once you&#8217;ve finished working on it, you can <a href=\"https:\/\/www.process.st\/help\/docs\/moving-items\/\">move it<\/a> to the desired folder.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16903\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow-new.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em><strong>Note<\/strong>: If you aren&#8217;t able to create a new workflow, you may need to ask your Administrator for permission, or to grant you permission to a folder in which to create your new workflow. Only admins can create new workflows on the home screen of the Library. <\/em><\/p>\n<p>You can select <strong>Start a Blank Workflow<\/strong> or choose one of the options to create a new workflow.<\/p>\n<ul>\n<li>You can use our <a href=\"https:\/\/www.process.st\/help\/docs\/ai-workflow-generator\/\">AI Workflow Generator<\/a> to generate a new workflow by entering your process name<\/li>\n<li>You can import your process document and let our <a href=\"https:\/\/www.process.st\/help\/docs\/ai-workflow-import\/\">AI Workflow Importer<\/a> generate a workflow for you<\/li>\n<li>You can select a workflow from our premade <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/#using-a-premade-workflow-template\">template gallery<\/a><\/li>\n<\/ul>\n<p>Once your blank workflow opens up, you can start in the Workflow Setup modal by giving it a name and adding your tasks.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16904\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow-new.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click on the edit icon next to <strong>Blank Workflow<\/strong> in the top left corner to rename your workflow.<\/p>\n<p>You can also set a default run name which can include variables from within your workflow,\u00a0as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16905\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow-default-name.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em><strong>Note:<\/strong> To use variables from your workflow in your default workflow run name, you first need to add some form fields in your workflow. You can also use <a href=\"https:\/\/www.process.st\/help\/docs\/global-variables\/\">global variables<\/a>, as shown above.<\/em><\/p>\n<p>You can also set up your workflow by clicking the <strong>Settings<\/strong> cog in the top right of your screen.<\/p>\n<p>Add a <strong>description<\/strong> of your workflow is optional but it can be used to share an outline of what this particular workflow is used for. Start typing in the <strong>&#8220;Description<\/strong>&#8221; box as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14012\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/add-description.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Add more tasks and headings<\/h3>\n<p><b>Tasks<\/b><span style=\"font-weight: 400;\"> are the actionable steps that are involved in implementing your workflow.<\/span><\/p>\n<p><b>Headings<\/b><span style=\"font-weight: 400;\"> are the main stages or segments of your workflow and can be used to separate groups of tasks. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">At the bottom of your tasks, you will see a <strong>+<\/strong> icon. Click on it to view the <strong>tasks menu<\/strong> that allows you to create tasks, <a href=\"https:\/\/www.process.st\/help\/docs\/ai-tasks\/\">AI tasks<\/a>, headings, approval, and automation.<\/span><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16906\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow-add-task.png\" alt=\"\" width=\"100%\" \/><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Click &#8216;<strong>Task<\/strong>&#8216;, &#8216;<strong>AI Task<\/strong>&#8216; or &#8216;<strong>Heading<\/strong>&#8216; to add these into your workflow<\/span><\/li>\n<li>Click &#8216;<strong>Approval&#8217;<\/strong> to add a sign-off task into your workflow<\/li>\n<\/ul>\n<p>Use the three dots next to each task to duplicate it, add <a href=\"https:\/\/www.process.st\/help\/docs\/automations\/\">automation<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/conditional-logic\/\">conditional logic<\/a>, a <a href=\"https:\/\/www.process.st\/help\/docs\/stop-tasks\/\">stop<\/a>, or delete it.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16907\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow-task-menu.png\" alt=\"\" width=\"100%\" \/><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Click &#8216;<strong>Duplicate<\/strong>&#8216; to copy a task or heading (and any content within them)<\/span><\/li>\n<li>Click <strong>&#8216;Automate&#8217;<\/strong> to create a native automation<\/li>\n<li>Click <strong>&#8216;Conditional Logic&#8217;<\/strong> to branch your workflow<\/li>\n<li>Click <strong>&#8216;Add Stop&#8217;<\/strong> to stop your workflow at a certain task<\/li>\n<li><span style=\"font-weight: 400;\">Click the <strong>&#8216;Delete&#8217;<\/strong> to delete a heading or task<\/span><\/li>\n<li><span style=\"font-weight: 400;\">You can drag your tasks\u00a0<strong>Up\/Down<\/strong>\u00a0to re-order your headings and tasks<\/span><\/li>\n<\/ul>\n<p><b>Pro tips: <\/b><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Add new tasks by hitting your <strong>Enter \/ Return<\/strong> key<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Remove an empty task by hitting your <strong>Backspace \/ Delete<\/strong> key<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Transform tasks into headings (and vice versa) by adding or removing a <strong>colon <\/strong><\/span><strong>:<\/strong><span style=\"font-weight: 400;\"> at the end of the words in that field<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Re-order your headings and tasks by mousing over them on the left side, then <strong>drag and drop<\/strong> them into place<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Multi-select <em>separate<\/em> tasks and headings by holding your <strong>CMD or CTRL<\/strong> key and clicking on each item you\u2019d like to select<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">To select a group of <em>consecutive<\/em> tasks, click the first task or heading you want to select while holding the <strong>SHIFT<\/strong> key. Then click the last task or heading, to select all of them in one go, as shown below.<\/span><\/li>\n<\/ul>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13768\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/multiselect1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>When you multi-select tasks, y<span style=\"font-weight: 400;\">ou can bulk-set <a href=\"https:\/\/www.process.st\/help\/docs\/task-assignments\/\">Task Assignments<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/dynamic-due-dates\/\">Dynamic Due dates<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/stop-tasks\/\">Stop Tasks<\/a> and <a href=\"https:\/\/www.process.st\/help\/docs\/task-permissions\/\">Task Permissions<\/a>, as shown above.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You can also move this block of tasks up and down, or delete them by using the <strong>&#8216;Move up&#8217;<\/strong> or <strong>&#8216;Move down&#8217;<\/strong>\u00a0<strong>arrows<\/strong>, or delete the block by clicking the <strong>&#8216;Delete&#8217;<\/strong> button. <\/span><\/p>\n<h3>Publish your changes<\/h3>\n<p><span style=\"font-weight: 400;\">Click on <strong>Publish<\/strong> to save changes to your workflow when you have finished editing.<\/span><\/p>\n<p>If you want to test your workflow right away, click the arrow next to <strong>Publish<\/strong> then click <strong><a href=\"https:\/\/www.process.st\/help\/publish-and-run\/\">Publish and run<\/a><\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16960\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/edit-publish-n-run.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em><strong>Note<\/strong>: The workflow gets auto-saved every few minutes. However, you need to Publish changes to see the finished workflow and start using it. <\/em><\/p>\n<p><span style=\"font-weight: 400;\">Now you can<\/span>\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">run your\u00a0<span style=\"font-weight: 400;\">workflow<\/span><\/a><span style=\"font-weight: 400;\"> straight away if you choose, or add more features and functions into your workflow.<\/span><\/p>\n<p>We&#8217;d recommend adding more to your workflow as this is where the real power of Process Street can be found \ud83d\ude09<\/p>\n<h2>Add more functions &amp; features<\/h2>\n<p>On the right-hand side of the editor, you&#8217;ll see two sections, &#8220;<strong>Content<\/strong>&#8221; and &#8220;<strong>Forms<\/strong>&#8221; as shown in the image above.<\/p>\n<p><strong>Content<\/strong> can be used to share information in your workflow, like an image, text or video. Whereas <strong>forms<\/strong> are used to collect or store information in your workflow runs.<\/p>\n<p>Find out how to add the various content or form fields into your workflows:<\/p>\n<ul>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/using-email-widget\/\">Email widget<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/how-subtask-work\/\">Subtasks<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">Form fields<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/file-widget\/\">File widget<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/video-widget\/\">Video widget<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/image-widget\/\">Image widget<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/text-widget\/\">Text widget<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/embed-widget\/\">Embed widget<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/page-widget\/\">Page widget<\/a><\/li>\n<\/ul>\n<p>And how to add and use these powerful workflow features:<\/p>\n<ul>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/conditional-logic\/\">Conditional Logic<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/approvals\/\">Approvals<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/stop-tasks\/\">Stop Tasks<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/role-assignments\/\">Role Assignments<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/task-permissions\/\">Task Permissions<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/dynamic-due-dates\/\">Dynamic Due Dates<\/a><\/li>\n<\/ul>\n<p>Learn how to build out your workflows further, by following the 5 Stages of Process Building in our <a href=\"https:\/\/www.process.st\/help\/docs\/getting-started\/\" target=\"_blank\" rel=\"noopener\">Getting Started Guide<\/a>.<\/p>\n<h2>Unsaved workflow changes<\/h2>\n<p>If you navigate away from your workflow <strong>without<\/strong> saving your changes, these changes will be auto-saved as a draft.<\/p>\n<p>When you return to your workflow, you will see a warning icon in the <strong>&#8216;Edit Draft&#8217;<\/strong> button, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16908\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow-edit-draft.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Edit your workflow again, to either publish (or discard) the round of changes since you saved your workflow last.<\/p>\n<p>You can <a href=\"https:\/\/www.process.st\/help\/docs\/editing-workflows\/\">edit your workflow<\/a> as many times as you need, building in more features and functions as you go.<\/p>\n<p>We recommend that you <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">run instances of your workflow <\/a>at regular intervals, to test that everything is working as you would like it to.<\/p>\n<h2>Using a premade workflow template<\/h2>\n<p>If you would like to use one of our premade workflow templates rather than starting from scratch, we have a <a href=\"https:\/\/www.process.st\/help\/docs\/template-gallery\/\">library<\/a> full of hundreds of examples to help you get started.<\/p>\n<p>Click on the\u00a0&#8220;<strong>New<\/strong>&#8221; button at the top of your screen and then click <strong>Workflow<\/strong> and select &#8220;<strong>Explore Templates<\/strong>&#8221; to access the gallery.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-16909\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow-template-gallery.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once the gallery is open, you can search the library by typing a keyword or phrase into the search box shown above or by clicking on a category from the menu on the left.<\/p>\n<p>The gallery shows a selection of <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-template\/\">workflow templates<\/a> relating to your search. Each one shows an image and a short description of the workflow, to help you decide which one to use.<\/p>\n<p>To use a workflow from the gallery simply click on it, which adds it to either your organization library or your private library. If you opened the gallery while already inside a <a href=\"https:\/\/www.process.st\/help\/docs\/folders\/\">folder<\/a>, the workflow will be added to that folder (y<span style=\"font-weight: 400;\">ou can always <\/span><a href=\"https:\/\/www.process.st\/help\/docs\/moving-items\/\"><span style=\"font-weight: 400;\">move your workflows<\/span><\/a><span style=\"font-weight: 400;\"> later if needed).<\/span><\/p>\n<p>Now you can look through the whole workflow to see all the tasks and content it contains<em>. <\/em>You can <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">run your\u00a0workflow<\/a>\u00a0straight away or <a href=\"https:\/\/www.process.st\/help\/docs\/editing-workflows\/\">edit the workflow<\/a> to suit your specific needs.<\/p>\n<p>Whether you are editing a premade workflow or a blank one, the editor is exactly the same.
