{"id":5609,"date":"2021-09-22T08:00:37","date_gmt":"2021-09-22T08:00:37","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/archive-workflows\/"},"modified":"2026-04-08T13:30:09","modified_gmt":"2026-04-08T13:30:09","slug":"archive-workflows","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/archive-workflows\/","title":{"rendered":"How to Archive Workflows"},"content":{"rendered":"<p>Archiving workflows lets you tidy up your <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">Library<\/a> without permanently deleting them.<\/p>\n<p>This feature is perfect for organizing your workflows or folders, while keeping the option to view or restore them later.<\/p>\n<p>Note that archiving a workflow also archives its active and scheduled workflow runs.<\/p>\n<p><b><i>Users: Only Administrators or <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builders<\/a> with &#8216;edit&#8217; permission can archive workflows.\u00a0<\/i><\/b><\/p>\n<h2>How to archive workflows<\/h2>\n<p>To archive a workflow, you first need to open the workflow&#8217;s right-hand menu. Do this by navigating to the workflow from your library then clicking on its name to open the menu.<\/p>\n<p>Next click &#8220;<strong>More options<\/strong>&#8221;\u00a0then click &#8220;<strong>Archive<\/strong>&#8220;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11391\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Archive-workflow.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you have archived the workflow, you&#8217;ll see two buttons at the top of the right-hand menu &#8211; one to unarchive it and one to delete it permanently.<\/p>\n<p><strong>Note:<\/strong> Archiving a workflow will also archive <strong><em>all of the active workflow runs<\/em><\/strong> associated with it and <em><strong>any <a href=\"https:\/\/www.process.st\/help\/docs\/scheduled-workflow-runs\/\">scheduled runs<\/a><\/strong> <\/em>you had set up.<\/p>\n<h2>How to unarchive a workflow<\/h2>\n<p>If you or another user has accidentally archived a workflow and you would like to get it back, you can unarchive it in just a few clicks.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11389\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Workflow-unarchive.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you have literally just archived it, you can unarchive it by using the &#8220;<strong>Unarchive<\/strong>&#8221; button shown in the right-hand menu above.<\/p>\n<p>If you aren&#8217;t sure when a workflow was archived, you can search for it in your organization <a href=\"https:\/\/app.process.st\/organizations\/manage\/activity\" target=\"_blank\" rel=\"noopener\">activity feed <\/a>(note that only admins have access to this area).<\/p>\n<p>If you are an admin click your profile picture in the upper right corner of your screen, click &#8220;<strong>Settings<\/strong>&#8221; and\u00a0then navigate to your &#8220;<strong>Activity<\/strong>&#8221; tab.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11392\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Unarchive-workflow-from-activity.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Search for the activity log where your workflow was archived and you&#8217;ll see a blue link for &#8220;<strong>workflow<\/strong>&#8221; in the activity log (you may need to load more activity entries at the bottom of the page if the workflow was archived some time ago).<\/p>\n<p>Click the blue &#8220;workflow&#8221; link to open up the workflows menu. In the right-hand menu at the top, click &#8220;<strong>Unarchive<\/strong>&#8220;.
