How Zapier works<\/h2>\n<p>Zapier works by listening for events in one app, then automatically triggering an action in another. Essentially, it\u2019s a cause-and-effect system of \u201cif this happens, then do that\u201d. At its most basic, if a task is completed in Process Street, then do [this action] in another application.<\/p>\n<p>Process Street has a number of triggers, searches, and actions available through Zapier.<\/p>\n<p>You can trigger an action in another application with these options:<\/p>\n<ul>\n<li>New Workflow Run<\/li>\n<li>When a Workflow run is completed<\/li>\n<li>New Task Checked<\/li>\n<li>When a Task is ready to be worked on<\/li>\n<li>New Comment Posted<\/li>\n<li>New Attachment Added to a Comment<\/li>\n<li>When a Record is added to a data set<\/li>\n<li>When a Record is updated in a data set<\/li>\n<li>When a Record is deleted from a data set<\/li>\n<\/ul>\n<p>Search for a workflow run using:<\/p>\n<ul>\n<li>Find Workflow Run (by name or ID)<\/li>\n<\/ul>\n<p>And create the following actions:<\/p>\n<ul>\n<li>Run Workflow if it doesn\u2019t exist yet<\/li>\n<li>Run Workflow<\/li>\n<li>Update Workflow Run<\/li>\n<li>Update a Task in a workflow run<\/li>\n<li>Turn on the Workflow run share link automatically<\/li>\n<li>Add a new Record to a Data Set<\/li>\n<li>Create a Record in a Data Set<\/li>\n<li>Find a Record in a Data Set<\/li>\n<li>Update a Record in a Data Set<\/li>\n<li>Delete a Record in a Data Set<\/li>\n<\/ul>\n<p><a name=\"connecting-your-account\"><\/a><\/p>\n<h2>2. Connecting your account<\/h2>\n<p>To connect your Process Street organization to Zapier, you\u2019ll want to generate and capture your organization\u2019s API key <a href=\"https:\/\/app.process.st\/organizations\/manage\/integrations\">here<\/a> (must be <a href=\"https:\/\/www.process.st\/help\/docs\/user-permissions\/\">Admin<\/a>). If one has already been created, you can use that key for your integration.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8250\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/10\/zapier-api-key.png\" sizes=\"(max-width: 1024px) 100vw, 1024px\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/10\/zapier-api-key.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/10\/zapier-api-key-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/10\/zapier-api-key-768x384.png 768w\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Zapier will ask you for your API key the first time you connect your organization. When the window appears, copy the key you\u2019ve just generated or that was previously generated for your organization.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12629\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/PS-link-api1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><a name=\"zap-examples\"><\/a><\/p>\n<h2>3. Examples of Process Street zaps<\/h2>\n<p>The screenshots below show two basic examples and are just an introduction to what can be done. There are literally thousands of ways in which Process Street can interact with other software applications using Zapier.<\/p>\n<p><a name=\"using-triggers\"><\/a><\/p>\n<h2>4. Using Triggers to initiate zaps<\/h2>\n<p>You can easily trigger an action in another application using one of Process Street\u2019s available triggers.<\/p>\n<p>For this example, the zap created will send an email automatically in Gmail when a task is checked in a Process Street workflow run.<\/p>\n<p>In your Zapier account, create a zap, choose Process Street as the trigger app and select \u2018<strong>New task Checked<\/strong>\u2019.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12630\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ss-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select the workflow from Process Street that you want to use and the specific task you have chosen as the trigger. Zapier will attempt to pull sample data for you to review.*<\/p>\n<p><strong>*NOTE* For Zapier to successfully pull sample data, the action you are triggering must be completed. In this example, you are building a zap off of a task being checked off, so you must have an active workflow run with that task completed.<\/strong><\/p>\n<p><strong>Tip: Put additional sample data inside of that workflow run. You can use it later on when building your email template.<\/strong><\/p>\n<p>When you are finished with setting up the Trigger, (the \u2018if\u2019 in \u2018if this, then that\u2019) select the application you want to take action in (the \u2018then that\u2019 part). In this case, choose Gmail and select \u2018<strong>Send Email<\/strong>\u2019 for the action. Learn more about using <a href=\"https:\/\/zapier.com\/apps\/gmail\/help\">Gmail in Zapier<\/a>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12631\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ss-action.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Choose your recipients. You can use data from your workflow run sample here. For example, you can have the email sent to an email address entered in Process Street on a previous task.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12632\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ss-toemail.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Craft the body of your email and pull in any variables from your workflow run where needed.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12633\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ss-email-body.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Finally, test your zap, give it a name, and ensure it\u2019s switched on. Done!<\/p>\n<p><strong>Tip: Place your own email in the \u2018to\u2019 field when testing. This will allow the test and sample to come straight to your email inbox.<\/strong><\/p>\n<p><a name=\"using-find-and-update\"><\/a><\/p>\n<h2>5. Using find and update<\/h2>\n<p>The Find and Update option is used when you need to update an existing Process Street workflow run with new data. This allows you to \u201cFind\u201d an existing workflow run in Process Street by searching for it and then \u201cUpdating\u201d fields on that run with new or updated information.<\/p>\n<p>For this example, we\u2019re going to update the \u2018<strong>References<\/strong>\u2019 fields in a workflow run when that information is added to a Google Sheet. When that spreadsheet is updated with new information, Zapier will search for the right workflow run in Process Street and pass the information.<\/p>\n<p>To create this Zap, our Trigger application is Google Spreadsheet and A New or Updated Spreadsheet Row. Choose the right Spreadsheet and Worksheet in the next step.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12635\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ss-new-row-trigger1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>For the second step of the zap, choose the Process Street app and the Find Workflow Run option. Next, choose the appropriate workflow.<\/p>\n<p>When searching for a specific workflow run, <strong>you want to use data that will easily identify the workflow run you\u2019re updating. Email addresses work great as they are unique to each workflow run.<\/strong><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12636\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/PS-map-email-field.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>After you\u2019ve found your desired workflow run, add a 3rd step to your zap. This should be a Process Street action step. In this example, we want to use the \u2018<strong>Update Workflow Run<\/strong>\u2018 action.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12637\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/PS-update-run.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select the same workflow that you have been building this zap for. Then, use a <strong>custom value<\/strong> for the workflow run ID. You can get the workflow run ID by clicking on the drop-down, choosing the find workflow run option, and then selecting ID.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12638\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/PS-run-ID.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Then, you\u2019ll want to pull data into the fields you want to update. In this example, we are bringing in the new hire\u2019s References from the updated Google sheet.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12639\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/PS-map-sheet-field.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Finally, test your zap to be sure that it is pulling in the correct info from the updated spreadsheet and adding it to the right workflow run. Name your zap accordingly and ensure it is turned on.<\/p>\n<p>Using the Find and Update function, the possibilities are truly endless. This can be used to update active workflow runs via a change in your CRM, spreadsheet, or action in Google Drive, Dropbox, HelloSign, etc. See our section on Ideas for Automations and Connections below, for other common uses of Find and Update for Process Street users.<\/p>\n<p><a name=\"idea-for-automations\"><\/a><\/p>\n<h2>6.
