Creating multiple workflow runs in bulk allows you to launch numerous workflow runs quickly, each pre-populated with assignees<\/a>, due dates, and form field data<\/a>.<\/p>\n

This feature saves time, reduces data entry errors, and streamlines collaboration across teams and departments.<\/p>\n

You can use form field data to assign<\/a> users to tasks dynamically<\/span>, trigger conditional logic<\/a> to show or hide tasks or content, or trigger dynamic due dates<\/a>.<\/p>\n

Running multiple workflows in this way not only saves you heaps of time, but also reduces data entry error, and allows you to collaborate on processes with however many users or departments you need.<\/p>\n

Users: Admins, Builders<\/a> with \u201cEdit & View All\u201d, \u201cEdit & View Own\u201d, \u201cView All\u201d, or \u201cRun\u201d permission<\/a>, and Users with \u201cRun\u201d permission can create multiple workflow runs. \u201cEdit & View Own\u201d is available on select plans.<\/strong><\/em><\/p>\n

Tenant Move-Outs<\/strong><\/p>\n

Create workflow runs for tenant move-outs with tasks assigned to property managers, tenants, and maintenance teams.<\/p>\n

Support Tickets<\/strong><\/p>\n

Generate support ticket runs and assign them to various support colleagues, with conditional logic displaying the type of support needed.<\/p>\n

Customer Onboarding<\/strong><\/p>\n

Set up onboarding workflow runs for your customer success team, complete with dynamic due dates for key milestones.<\/p>\n

Lead Qualification<\/strong><\/p>\n

Automatically create workflow runs for lead qualification, pre-filling contact details and initial call dates.<\/p>\n

Project Management<\/strong><\/p>\n

Generate workflow runs for student projects, assigning different teachers or coaches to the approval tasks.<\/p>\n

How can I create multiple workflow runs?<\/h2>\n

First things first, head to the workflow you’d like to run. Click the three dots next to its name and select Run multiple<\/strong>. If you’re in a workflow’s dashboard, click Run multiple<\/strong> in the right panel. Then download the example CSV file and add it to a spreadsheet in Google Sheets or Excel.<\/p>\n

The CSV contains that specific workflow’s form fields<\/a>, as well as fields for checklist (workflow run) name, checklist (workflow run) due date, and the checklist (workflow run) assignee’s email address.<\/p>\n

Your CSV must include a header row, which you will see once you’ve added it to your sheet. Enter all your data below the header row, as shown below.<\/p>\n

Workflow run due dates, where used, must be formatted and must<\/em> include a time, in ISO format YYYY-MM-DD hh:mm, for example, 2021-04-10 19:00. <\/strong><\/p>\n

Form field due dates do not have to have the time included, these could also be left blank depending on your use case.<\/p>\n

Note: Due dates need to be set in the future. <\/strong><\/em><\/p>\n

For multi-choice fields, separate your data values with a comma.<\/p>\n

For members form fields, add a user email address.<\/p>\n

If you are using task assignees<\/a> instead of workflow run assignees, or task due dates<\/a> instead of workflow run due dates, you can leave these fields blank.<\/p>\n

Download and import your CSV file<\/h2>\n

Next, you need to download or save your completed sheet as a CSV and upload it to Process Street from the place you left off from earlier, as shown below.<\/p>\n

Note:<\/strong> When you save<\/a> your file as a CSV, ensure that you use a comma (,) as a separator as we don’t support a semicolon (;) separator.<\/em><\/p>\n

Click “Refresh logs” to see that your upload has been successful or head to your Reports<\/a> tab to see your new workflow runs.<\/p>\n

If any workflow runs have been assigned to you, you will see these in My Work<\/a>.<\/p>\n

Don’t see your runs in the Reports tab? Head back to the page where you uploaded the CSV file to Run Multiple workflows to look for error logs.<\/p>\n

If you see the same error as above, go back to your Google Sheet, reset the due date in the ISO format and set the format as Plain Text.<\/p>\n

Pro tip:<\/strong> In case you make any changes to the form field names in the header, the changes would not go through in your workflow.
