{"id":5766,"date":"2024-07-03T08:00:42","date_gmt":"2024-07-03T08:00:42","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/completed-workflow-runs\/"},"modified":"2026-06-01T17:29:52","modified_gmt":"2026-06-01T17:29:52","slug":"completed-workflow-runs","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/completed-workflow-runs\/","title":{"rendered":"Completed Workflow Runs"},"content":{"rendered":"<p>When you&#8217;re finished with a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-checklist\/\">workflow run<\/a> you can mark it as complete, or complete all the tasks to complete it and see a shower of confetti \ud83d\ude42<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8223\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/11\/complete-run.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Completing a workflow run removes it from <a href=\"https:\/\/www.process.st\/help\/docs\/my-work\/\">My Work<\/a> and moves it into &#8220;Recently Completed&#8221; in your <a href=\"https:\/\/www.process.st\/help\/docs\/reports\/\">Reports<\/a> dashboard.<\/p>\n<p>&#8220;<strong>Completed<\/strong>&#8221; is one of five states that workflow runs can be in:<\/p>\n<ul>\n<li>Complete<\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/archiving\/\">Archived<\/a><\/li>\n<li>On track<\/li>\n<li>Due soon<\/li>\n<li>Overdue<\/li>\n<\/ul>\n<p>Once you complete a workflow run, you cannot change its form field data unless you <a href=\"https:\/\/www.process.st\/help\/docs\/completed-workflow-runs\/#reactivate-completed-workflow-runs\">reactivate<\/a> the workflow run.<\/p>\n<h2>Completing a workflow run<\/h2>\n<p>There are numerous ways to complete a workflow run.<\/p>\n<h3>Option 1: Complete all tasks<\/h3>\n<p>Workflow runs automatically change to &#8220;complete&#8221; when all tasks (and <a href=\"https:\/\/www.process.st\/help\/docs\/required-fields\/\">required fields<\/a>) are checked off.<\/p>\n<p>You&#8217;ll see a shower of confetti and a banner at the top of the workflow run, as shown above.<\/p>\n<h3>Option 2: Manually change the state<\/h3>\n<p>Alternatively, to mark a workflow run as complete no matter how many tasks are checked off, click the &#8220;<strong>Complete Run<\/strong>&#8221; button at the top of the right-hand menu.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8224\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/11\/complete-run.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/11\/complete-run.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/11\/complete-run-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/11\/complete-run-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p><em><strong>Note:<\/strong> You cannot complete a workflow run if you have incomplete <a href=\"https:\/\/www.process.st\/help\/docs\/required-fields\/\">required fields,<\/a>\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/stop-tasks\/\">Stop Tasks<\/a>, or required <a href=\"https:\/\/www.process.st\/help\/docs\/tasks\/#attached-tasks\">attached tasks<\/a>. These will need to be completed before you can complete the workflow run.<\/em><\/p>\n<h3>Option 3: Complete via My Work<\/h3>\n<p>You can also complete workflow runs from your <a href=\"https:\/\/www.process.st\/help\/docs\/inbox\/\">My Work<\/a>.<\/p>\n<p>Hover over the workflow run you&#8217;d like to complete and click the checkmark icon on the right side of the page, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8225\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/11\/complete-runs-in-my-work.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can also multi-select multiple workflow runs from your inbox and complete them from the button at the top of your page.<\/p>\n<p><em><strong>Note:<\/strong> You cannot complete a workflow run if you have incomplete <a href=\"https:\/\/www.process.st\/help\/docs\/required-fields\/\">required fields,<\/a>\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/stop-tasks\/\">Stop Tasks<\/a>, or required <a href=\"https:\/\/www.process.st\/help\/docs\/tasks\/#attached-tasks\">attached tasks<\/a>. These will need to be completed before you can complete the workflow run.<\/em><\/p>\n<h3>Option 4: Complete using our mobile app<\/h3>\n<p>If you are using our <a href=\"https:\/\/www.process.st\/help\/docs\/iphone-app\/\">iPhone app<\/a> you can complete workflow runs in the same way that you can when using a laptop or desktop, with the same confetti shower, only a little bit smaller \ud83d\ude42<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11206\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/iPhone-completed.png\" alt=\"\" width=\"45%\" \/><\/p>\n<h3>Option 5: Complete using an automation<\/h3>\n<p>If you are using an integration tool such as <a href=\"https:\/\/zapier.com\/\">Zapier<\/a>, you can change the state of your workflow runs to &#8220;Completed&#8221; when using the &#8220;Update Workflow Run&#8221; action, shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11005\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Completed-via-Zapier.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>In the &#8220;Workflow Run Status&#8221; field use the dropdown to select &#8220;<strong>Completed<\/strong>&#8221; as shown above.<\/p>\n<p>Your completed workflow runs will identify at the top of the page that they have been &#8220;Completed by Zapier&#8221;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11006\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Run-completed-via-Zapier.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can also complete workflow runs via <a href=\"https:\/\/www.process.st\/help\/docs\/process-street-api\/#update-a-workflow-run-by-its-id\">API<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/microsoft-power-automate\/#process-street-actions\">Power Automate<\/a>, and <a href=\"https:\/\/www.process.st\/help\/docs\/make\/\">Make<\/a>.<\/p>\n<p><em><strong>Note:<\/strong> You cannot complete a workflow run if you have incomplete <a href=\"https:\/\/www.process.st\/help\/docs\/required-fields\/\">required fields,<\/a>\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/stop-tasks\/\">Stop Tasks<\/a>, or required <a href=\"https:\/\/www.process.st\/help\/docs\/tasks\/#attached-tasks\">attached tasks<\/a>.
