{"id":5774,"date":"2022-09-29T08:00:04","date_gmt":"2022-09-29T08:00:04","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/task-due-dates\/"},"modified":"2026-07-08T09:27:13","modified_gmt":"2026-07-08T09:27:13","slug":"task-due-dates","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/task-due-dates\/","title":{"rendered":"Task Due Dates"},"content":{"rendered":"<p>You can set due dates on tasks in your <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflows<\/a> to make sure that everything in your process is completed on schedule and nothing falls through the cracks.<\/p>\n<p>This is especially helpful when you utilize <a href=\"https:\/\/www.process.st\/help\/docs\/task-assignments\/\">task assignments<\/a> together with task due dates so that your colleagues get <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">notified<\/a> when tasks are ready to work on, or if they become overdue.<\/p>\n<p>You have two options for setting due dates on tasks, either setting &#8220;<em>Task due dates<\/em>&#8221; on active workflow runs or &#8220;<em>Dynamic due dates<\/em>&#8221; on tasks within your workflows. Dynamic due dates can be anchored to the workflow run start date, the workflow run due date, when specific tasks are checked, or date form fields in your workflow, which helps streamline your process or task deadlines.<\/p>\n<p>What&#8217;s better is that you can control how dynamic due dates handle weekends using the <strong>Business Days Handling<\/strong> setting.<\/p>\n<p><em><strong>Users: Admins and <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builders<\/a> can set task due dates on active workflow runs. <\/strong><\/em><strong><em><i>In order to add dynamic due dates to workflows, you must be an Administrator or a Builder who has been given <\/i><a href=\"https:\/\/www.process.st\/help\/docs\/permissions\/\"><i>&#8216;edit&#8217;<\/i><\/a><i> access by your Administrator.<\/i><\/em><\/strong><\/p>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.youtube.com\/embed\/bxxDw4byshk\" width=\"100%\" height=\"406\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\">\ufeff<\/span>\ufeff<\/span><\/iframe><\/p>\n<h2>Task due dates on active workflow runs<\/h2>\n<p>To set a due date for a task on an active <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-checklist\/\">workflow run<\/a>, first open your workflow run and click on the task you want to add a due date to. Next, click the &#8220;<strong>Due<\/strong>&#8221; button in the top center of your screen as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12861\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/due-date-assign.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Use the date picker to select the date and time (setting the time is optional) then click &#8220;<strong>Save<\/strong>&#8221; to finish.<\/p>\n<p>Now you can select another task to add a due date to or any more that you require.<\/p>\n<h2>Dynamic due dates<\/h2>\n<p>To have due dates automatically set every time you run a workflow, or based on a date field that you have added into your workflow, you can add <a href=\"https:\/\/www.process.st\/help\/docs\/dynamic-due-dates\/\">dynamic due dates<\/a> into your tasks.<\/p>\n<p>Navigate to your <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">Library<\/a> and click your workflow&#8217;s name then click &#8220;<strong>Edit<\/strong>&#8221; in the top right corner.<\/p>\n<p>You may want to add a <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">date form field<\/a> into your workflow for the anchor point of your dynamic due date if you haven&#8217;t already.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12862\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/PS-due.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click on the task you want to set the dynamic due date on, then click the &#8220;<strong>Due<\/strong>&#8221; button at the top of the task in the center of your screen.<\/p>\n<p>The difference when setting <em>dynamic<\/em> due dates (compared to regular task due dates) is that you have a few more options to choose from:<\/p>\n<p>Start by selecting the <strong>time period. <\/strong>&#8220;This task will be due:&#8221; in # months, # days, # hours or # minutes.<\/p>\n<p>Next, select <strong>after \/ before<\/strong> and then choose your rule, which is what the dynamic due date will work from, or be anchored to (such as the date field you added earlier).<\/p>\n<p>When you click <strong>Choose rule<\/strong>, a dropdown appears with the available anchor options. The options shown depend on whether you selected <strong>after<\/strong> or <strong>before<\/strong>:<\/p>\n<ul>\n<li><strong>After<\/strong> \u2014 the popular anchors are <strong>workflow run start date<\/strong> and <strong>when the previous task is checked<\/strong>.<\/li>\n<li><strong>Before<\/strong> \u2014 the popular anchor is <strong>workflow run due date<\/strong>.<\/li>\n<\/ul>\n<p>The dropdown also includes a <strong>Task checked<\/strong> section where you can anchor to the completion date of any specific task in your workflow \u2014 not just the previous one. If you have any <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">date form fields<\/a> in your workflow, those appear as anchor options too.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14217\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/set-due-date1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>For example, you could set a task to be due 10 minutes after the previous task was completed, 5 days before the workflow run due date, 14 days after the workflow run start date, or 3 hours after a specific task is checked.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14218\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/save-due-date.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Business Days Handling<\/h3>\n<p>Use the <strong>Business Days Handling<\/strong> dropdown below the due date rule to control how weekends affect your dynamic due dates. There are three modes:<\/p>\n<ul>\n<li><strong>Shift to Next Business Day<\/strong> \u2014 if a due date falls on a weekend, it is moved to the next business day. Tasks due during the week are unaffected. This is the default.<\/li>\n<li><strong>Business Days Only<\/strong> \u2014 due dates are calculated using business days only; weekends are skipped entirely when counting days.<\/li>\n<li><strong>All Days<\/strong> \u2014 due dates can fall on any day, including weekends.<\/li>\n<\/ul>\n<p>For example, selecting <strong>Shift to Next Business Day<\/strong> is helpful to avoid tasks becoming overdue over the weekend \u2014 a Saturday or Sunday due date is automatically pushed to Monday. Selecting <strong>Business Days Only<\/strong> goes further by skipping weekends entirely when counting the time period, so &#8220;5 days after&#8221; means 5 business days.<\/p>\n<p>Once you&#8217;ve set the due date, click &#8220;<strong>Save<\/strong>&#8221; to confirm, then &#8220;<strong>Publish<\/strong>&#8221; your workflow.<\/p>\n<h2>Viewing due dates<\/h2>\n<p>When you open a workflow run you can see any due dates that are set in the main task list on the left-hand side. When you select a task, you can also see the due date set in the top center of your screen, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12866\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/PS-see-date.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If a task in your workflow run is overdue, the due date in your main task list will turn <span style=\"color: #ff0000;\">red<\/span> making it more visible and alerting you to the fact that it&#8217;s overdue.<\/p>\n<h2>Changing due dates<\/h2>\n<p>To change a task due date in a workflow run, open it up and click &#8220;<strong>Due<\/strong>&#8221; at the top center of your screen, select a new date and time. Click &#8220;<strong>Save<\/strong>&#8221; to finish.<\/p>\n<p>You can also override a <em>dynamic due date<\/em> in a workflow run, as shown below. If you do override, this will break the dynamic link that you built in your workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12867\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ps-override1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>For any <a href=\"https:\/\/www.process.st\/help\/docs\/zapier\/\">automations<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/dynamic-due-dates\/\">dynamic due dates<\/a> where you <em>haven&#8217;t<\/em> set a time, the <strong>default time will always be 8 am PT<\/strong>.<\/p>\n<p>You can also override the due dates for tasks from your <a href=\"https:\/\/www.process.st\/help\/docs\/inbox\/\">Process Street inbox<\/a>, by using the snooze function.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14219\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/snooze-ddue-date.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Hover over the task\/s you&#8217;d like to snooze and you&#8217;ll see a checkbox appear, as shown above. Put a checkmark against all the tasks you&#8217;d like to snooze. When you select a date to snooze these tasks to, this effectively overrides the dynamic due date.<\/p>\n<h2>Removing due dates<\/h2>\n<p>To remove a task due date from a workflow run, open it up, click on &#8220;Due&#8221; at the top center of your screen and then click &#8220;Remove&#8221;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10626\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Remove-task-due-date.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>To remove a dynamic due date from tasks in a workflow, head to your workflow editor, select the task you would like to remove the due date from. Click &#8220;<strong>Due<\/strong>&#8220;, and then click &#8220;<strong>Remove<\/strong>&#8220;. Save changes to your workflow to finish.<\/p>\n<h2>What happens when a task is due?<\/h2>\n<p>Once a task is due, or overdue, the due date in your workflow run will turn <span style=\"color: #ff0000;\">red<\/span> so you know it&#8217;s time to either complete the task or update the due date.<\/p>\n<p>Anyone assigned to that task will receive an <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">email notification<\/a> (or a <a href=\"https:\/\/www.process.st\/help\/docs\/slack-app\/\">Slack notification<\/a>) that the task is due. There will be a link in the email that they can click to take them directly to the task in question.<\/p>\n<p>It will also get pushed to the top of your (or the user assigned to the task&#8217;s) Process Street <a href=\"https:\/\/www.process.st\/help\/docs\/inbox\/\">Inbox<\/a> and marked as overdue so that you (or they) know it&#8217;s a priority.<\/p>\n<h4>Task Assignments<\/h4>\n<p>Task due dates are most useful when combined with <a href=\"https:\/\/www.process.st\/help\/docs\/task-assignments\/\">task assignments<\/a> since only people assigned to the task will be notified about due dates.
