{"id":5787,"date":"2023-02-23T08:00:50","date_gmt":"2023-02-23T08:00:50","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/workflow-share-link\/"},"modified":"2026-05-19T07:59:32","modified_gmt":"2026-05-19T07:59:32","slug":"workflow-share-link","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/workflow-share-link\/","title":{"rendered":"Workflow Share Link"},"content":{"rendered":"<p>You can share your workflows with other people, either inside or outside your organization.<\/p>\n<p>Creating a workflow share link allows you to:<\/p>\n<ul>\n<li>Share your workflow with colleagues who art part of your organization<\/li>\n<li>Share a &#8220;view only&#8221; version of your workflow with customers or clients who don&#8217;t have a Process Street account<\/li>\n<li>Have people in a different organization run your workflow<\/li>\n<li>Have people in a different organization import your workflow so that they effectively have their own version of your workflow and run it<\/li>\n<\/ul>\n<p><em><strong>Users: Admins and <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builders<\/a> with &#8220;edit&#8221; permission can share workflows.\u00a0<\/strong><\/em><\/p>\n<p><em><strong>Note: Share links are available only on the paid plans. If you&#8217;re unable to create a share link, please contact our <a href=\"https:\/\/www.process.st\/help\/docs\/support\/\">support team<\/a>.<\/strong><\/em><\/p>\n<h3>How to access the workflow sharing options<\/h3>\n<p>To access the options for sharing a workflow, click the <strong>three<\/strong> <strong>dots (&#8230;)<\/strong>\u00a0next to your workflow&#8217;s name to open the drop-down menu.<\/p>\n<p>From there, click &#8220;<strong>Share<\/strong>&#8221; in the top right corner to open up the sharing options, and then click the &#8220;<strong>Share link<\/strong>&#8221; tab.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13156\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/share-link1.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Setting share link permissions<\/h3>\n<p>From the Share link tab, you can set one of three different permission levels for your workflow share link. This will determine who can use your link and what they can see or do with your workflow:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10920\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Workflow-share-link-permissions-new.png\" alt=\"\" width=\"100%\" \/><\/p>\n<ul>\n<li>Only organization members can view and run this workflow<\/li>\n<li>Anyone with the link can view this workflow<\/li>\n<li>Anyone with the link can view and run this workflow<\/li>\n<\/ul>\n<p>Once you have chosen the permission level that you prefer, copy the link by clicking the <strong>&#8220;Copy&#8221;<\/strong> button and send it to whoever you like. Click &#8220;<strong>Done<\/strong>&#8221; to close the share menu.<\/p>\n<h3>Private workflow importing<\/h3>\n<p>To privately share a workflow with someone in another Process Street organization, set your workflow share link permissions to either:<\/p>\n<ul>\n<li>Anyone with the link can view this workflow<\/li>\n<li>Anyone with the link can view and run this workflow<\/li>\n<\/ul>\n<p>The recipient of the link will be able to import the workflow directly into their organization by clicking the<strong>\u00a0&#8220;Get Workflow&#8221;<\/strong>\u00a0button at the top right of the page.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13887\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/get-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>If you have chosen the permission which allows them to <strong>run<\/strong> your workflow, they can do this straight away (even before importing your workflow) by clicking the button shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13888\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/run-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> If you&#8217;re unable to find the Share settings in your workflow, it is likely that your workflow is in your <a href=\"https:\/\/www.process.st\/help\/docs\/private-library\/\">Private Library<\/a>. In this case, consider <a href=\"https:\/\/www.process.st\/help\/docs\/moving-items\/\">moving your workflow<\/a> to your main <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">library<\/a> or any of the <a href=\"https:\/\/www.process.st\/help\/docs\/folders\/\">folders<\/a> within your main library first, then share it.<\/p>\n<p>In the share workflow settings, you can also find another tab that allows you to create workflow run links. These links automatically run your workflow when someone clicks the link.
