You can integrate\u00a0Google Forms with <a href=\"https:\/\/www.process.st\/\">Process Street<\/a>\u00a0to make your <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflows<\/a> super powerful and automate your work via <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">Webhooks<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/google-forms\/#connectgoogle-formsto-process-street-via-zapier\">Zapier<\/a>.<\/p>\n<h2>Connect Google Forms with Process Street via Webhook<\/h2>\n<p>A Webhook integration\u00a0can bring information from\u00a0Google Forms\u00a0that would trigger a new <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">workflow run<\/a> in your Process Street account.\u00a0<em>Webhooks are\u00a0automated messages or payloads sent from apps as a trigger to cause an action in a receiving app.<\/em><\/p>\n<p>In this example, we will create a Webhook that runs the Merch Order Request workflow when a new form response is submitted in Google Forms.<\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Merch Order Request workflow in Process Street<\/li>\n<li>We will create a form in Google Forms and then submit a new response. When a new response is submitted, this will act as our trigger<\/li>\n<li>We will create a webhook that listens for our desired trigger in\u00a0Google Forms\u00a0and runs the\u00a0Merch Order Request workflow in Process Street<\/li>\n<\/ul>\n<p>Now, let\u2019s jump into the integration.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow\u00a0<\/a>in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are relevant to the data fields in\u00a0Google Forms. This will help you to map the relevant information from\u00a0Google Forms\u00a0to Process Street.<\/p>\n<p>This information is stored in\u00a0Google Forms\u00a0when a response is submitted. So, we need to create relevant form fields in our workflow to push that information through to Process Street.\u00a0For our example, these form fields should include the customer name (short text fields), customer email (email field), customer phone (number field), and so on.<\/p>\n<p>This will mean that whoever is processing the order won&#8217;t have to look up information in\u00a0Google Forms, but can instead see all the details in Process Street.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14424\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/order-process-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in Google Forms<\/h3>\n<p>Log into your\u00a0Google Forms\u00a0account (if you have a Gmail account, you would have a Google Forms account that you can just sign into using the same email address). Since we want to trigger a new run in Process Street when a new form response is submitted, we will start by creating a form first. If you have an existing form that you would want to integrate with, you can just open that one.<\/p>\n<p>To create a new form, click on the <strong>+ icon<\/strong> and start a <strong>Blank<\/strong> form or you could choose one from the templates available.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14425\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/new-form.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you&#8217;re working with a template, you can edit the form questions to suit your need.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14426\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/gform.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> You want to ensure that the form fields you have in your workflow match the fields you have in\u00a0Google Forms.<\/p>\n<h3>3. Create a Webhook trigger to run your workflow in Process Street<\/h3>\n<p>To get the webhook URL from Process Street, when you&#8217;re editing your workflow, click the <strong>+ icon<\/strong> above your task list on the left. Here, you can look for\u00a0Google Forms\u00a0as a Trigger to Run this workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14427\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/search-webhook.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can name your webhook as the app name or any phrase that helps you identify the Trigger. Then copy your Webhook URL and select the event as <strong>Form submitted<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14428\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/name-webhook.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Set up the Webhook Trigger in Google Forms<\/h3>\n<p>To create a webhook in Google Forms, you first need to enable email notifications in the form. To do this, you first need to <a href=\"https:\/\/workspace.google.com\/marketplace\/app\/email_notifications_for_google_forms\/984866591130\">install a plug-in<\/a> for email notifications in your browser. Then click on the <strong>Plug-in icon<\/strong> and <strong>Enable Notifications<\/strong> as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14429\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/gform-enable-noti.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Next, to create a webhook click on the <strong>Plug-in icon<\/strong> &gt; <strong>Enable notifications for Google Forms<\/strong> &gt; <strong>Webhooks for Google Forms.\u00a0<\/strong>Here, click on <strong>Create webhook<\/strong> and give it a name, since we want to send data out of Google Forms, select the request method as <strong>Post<\/strong> and Request Body as <strong>JSON<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14430\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/gform-create-webhook-new.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can also create the webhook without installing a plug-in. Follow the <a href=\"https:\/\/medium.com\/@eyalgershon\/sending-a-webhook-for-each-google-forms-submission-a0e73f72b397\">steps here<\/a> to create the Google Forms webhook by editing the form Script instead.<\/p>\n<p>Test your webhook and when it returns as successful, <strong>Save<\/strong> it.<\/p>\n<h3>5. Finish the setup in Process Street<\/h3>\n<p>Now come back to Process Street and test your trigger. Your payload should return as a success but if it doesn&#8217;t, you might want to go back to\u00a0Google Forms\u00a0and submit a new response.<\/p>\n<p>When your test returns successful, you can proceed to map your Google Forms questions to your Process Street form fields.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14431\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/field-mapping.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Lastly, turn your webhook <strong>On<\/strong> and <strong>Save<\/strong> it. Then <strong>Publish<\/strong> your workflow and you&#8217;re all set!<\/p>\n<p>As an extra step, you can go to\u00a0Google Forms, submit a new response then come back to Process Street in the Reports Dashboard to confirm a new workflow is run.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14432\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/run-via-webhook.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h2>Connect\u00a0Google Forms\u00a0to Process Street via Zapier<\/h2>\n<p><a href=\"https:\/\/zapier.com\/\">Zapier<\/a> connects over 1,000 apps together. It&#8217;s an &#8220;if this, then that&#8221; tool, meaning that once a trigger has occurred, an action will then take place. This helps to save you time and effort by <a href=\"https:\/\/www.process.st\/business-process-automation-guide\/\" target=\"_blank\" rel=\"noopener\">automating processes<\/a>.<\/p>\n<p>In this example, we will look at how\u00a0Google Forms\u00a0can be integrated with Process Street so that when a customer fills out a survey in\u00a0Google Forms, a new customer feedback workflow is run.<\/p>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3>Process overview<\/h3>\n<ul>\n<li>You will create a zap that connects Google Forms responses to Process Street<\/li>\n<li>Responses from Google Forms will be automatically filled into your workflow run to keep information to hand while processing<\/li>\n<\/ul>\n<p>Let&#8217;s get started.<\/p>\n<h2>Add the feedback survey template to your Process Street account<\/h2>\n<p>You can use our premade feedback form, or you can create your own from scratch that fits your needs. For this tutorial, we&#8217;ve selected an easy example to demonstrate.<\/p>\n<p>We&#8217;re going to use our premade customer feedback survey workflow template which you can grab below:<\/p>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.process.st\/templates\/customer-feedback-survey-process\" width=\"100%\" height=\"600\" frameborder=\"0\"><\/iframe><\/p>\n<p>Click &#8220;I want this for my business!&#8221; to <a href=\"https:\/\/www.process.st\/help\/docs\/copy-templates-between-organizations\/\">add<\/a> the <a href=\"https:\/\/www.process.st\/help\/docs\/making-templates\/\">workflow<\/a> to your Process Street account. <a href=\"https:\/\/www.process.st\/help\/docs\/editing-workflows\/\">Make edits<\/a> to your workflow to customize the process in line with your needs.<\/p>\n<h2>Create a customer feedback form in Google Forms<\/h2>\n<p>Do you have a customer feedback form already? You can skip this step. If not, use one of the Google Forms templates or create a new one.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11239\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-template.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>These form fields can be automatically filled into your Process Street workflow run. You can set this up in the next step.<\/p>\n<h2>Create a zap to connect Google Forms and Process Street<\/h2>\n<p>Log into <a href=\"http:\/\/zapier.com\">Zapier<\/a> or <a href=\"https:\/\/zapier.com\/sign-up\">create an account<\/a>, then click &#8220;<strong>Make a zap<\/strong>&#8221;<\/p>\n<p>All Google Form responses end up as rows in a spreadsheet.<\/p>\n<p>Choose your trigger app as <strong>Google Forms<\/strong>\u00a0and select &#8220;<strong>New Response in Spreadsheet<\/strong>&#8221; as the trigger event.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11240\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GFroms-trigger-app.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8220;.<\/p>\n<p>Connect your Google account and <strong>continue<\/strong> to the trigger setup. At this point, you want to fill out a test of your Google Form so that you have some sample data and a spreadsheet to use in the next few steps.<\/p>\n<p>Go back to your form and click the &#8220;<strong>Responses<\/strong>&#8221; tab. From there click the spreadsheet icon shown below, to either use an existing sheet or to create a new one.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11242\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-create-sheet.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now that&#8217;s done you can continue to your zap and choose the Google sheet where your responses are being sent and the tab in that sheet where a new row of data will be added:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11241\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-trigger-setup.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Test your trigger and as long as you have sample response data you can continue to the action step.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11243\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-trigger-success.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h2>Set up the zap to send data to your form fields in Process Street<\/h2>\n<p>Select <strong>Process Street<\/strong> as the action app, with &#8220;<strong>Run Workflow<\/strong>&#8221; as the action event.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11244\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-action-app.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8221; and connect your Process Street account.<\/p>\n<p>Next, you can start to map the variable data from your Google Form into your Process Street workflow run&#8217;s form fields.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11245\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-map-data.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can also assign one of your team to each new workflow run and give it a due date. In this example, we&#8217;ve used the date and time of form submission +1 day. (Note that you may need to adjust the time format with an extra &#8220;<a href=\"https:\/\/zapier.com\/help\/create\/format\/modify-date-and-time-formats-in-zaps\">Formatter by Zapier&#8221; step<\/a>, or ensure that your Google Form and your Zap are in the same <a href=\"https:\/\/www.process.st\/help\/docs\/time-zones\/\">time zone<\/a>).<\/p>\n<p>Once you have filled the form fields with Google Forms variables as you see fit, the last thing to do is to test your action step.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11246\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-action-success.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Check your workflow run has been created in Process Street, complete with your selected form fields filled out:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11247\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/GForms-output.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Turn on your Zap and that&#8217;s it!
