{"id":5838,"date":"2023-01-19T08:00:38","date_gmt":"2023-01-19T08:00:38","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/what-is-the-all-organization-group\/"},"modified":"2026-05-19T07:59:19","modified_gmt":"2026-05-19T07:59:19","slug":"what-is-the-all-organization-group","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/what-is-the-all-organization-group\/","title":{"rendered":"What is the All Organization Group?"},"content":{"rendered":"<p>By default, <a href=\"https:\/\/www.process.st\/\">Process Street<\/a> places all <a href=\"https:\/\/www.process.st\/help\/docs\/managing-members\/\">builders<\/a> and admins of your <a href=\"https:\/\/www.process.st\/help\/docs\/managing-organization\/\">organization<\/a> into the \u201cAll Organization\u201d <a href=\"https:\/\/www.process.st\/help\/docs\/groups\/\">group<\/a>.<\/p>\n<p>All new builders you add are automatically added to this group when they accept your <a href=\"https:\/\/www.process.st\/help\/docs\/invite\/\">invite<\/a>.<\/p>\n<p><strong><em>Users: To <a href=\"https:\/\/www.process.st\/help\/docs\/invite\/\">invite<\/a> builders or manage folder assignments you must be an Administrator. To manage workflow assignments you must be an Administrator or a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builder<\/a> who has been given \u2018Edit &amp; View All\u2019 access by your Administrator.<\/em><\/strong><\/p>\n<h2>Default settings<\/h2>\n<p>The All Organization group is a default group that all organizations have inside Process Street.<\/p>\n<h3>On folders<\/h3>\n<p>When you first <a href=\"https:\/\/www.process.st\/help\/docs\/folders\/\">create a folder<\/a>, the All Organization group will be assigned by default, with \u201cView All\u201d <a href=\"https:\/\/www.process.st\/help\/docs\/user-permissions\/\">permissions<\/a>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14786\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/all-org-folder-permission.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Any workflows you create or <a href=\"https:\/\/www.process.st\/help\/docs\/moving-items\/\">move into a folder<\/a> that you created will inherit the same permission level as the folder.<\/p>\n<h3>On workflows<\/h3>\n<p>When you create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\">new workflow<\/a> on the home page of your <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">Library<\/a> (that is, outside a folder), then the All Organization group will be assigned by default with \u201cView\u201d <a href=\"https:\/\/www.process.st\/help\/docs\/user-permissions\/\">permission<\/a>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14787\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/new-workflow-permission.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you <a href=\"https:\/\/www.process.st\/help\/docs\/moving-items\/\">move a workflow<\/a> into a folder, it will inherit that <a href=\"https:\/\/www.process.st\/help\/docs\/folder-permissions\/\">folder\u2019s permission<\/a> level.<\/p>\n<h2>Permissions<\/h2>\n<p>You can change the default permission level for this group (as you can with other groups and builders). The available builder permission levels are:<\/p>\n<ul>\n<li><strong>Edit &amp; View All<\/strong><\/li>\n<li><strong>Edit &amp; View Own<\/strong> (available on T5K plans)<\/li>\n<li><strong>View All<\/strong><\/li>\n<li><strong>Run<\/strong><\/li>\n<li><strong>View<\/strong><\/li>\n<\/ul>\n<blockquote>\n<p><strong>Note:<\/strong> The \u201cEdit &amp; View Own\u201d level is available on T5K plans. If your organization is on a different plan, you will see four permission levels instead of five.<\/p>\n<\/blockquote>\n<p>Click the drop-down showing the current permission level (shown above) and select the permission level you would like to change to.<\/p>\n<h2>Remove the all organization group<\/h2>\n<p>If you don\u2019t want all of your builders to have access to a folder or workflow, you can remove the All Organization group and add individual users or other groups that you <strong><em>do want<\/em><\/strong> to have access to that folder or workflow.<\/p>\n<p>To remove the all organization group, open your workflow or folder on the sharing or permissions page and click the remove group icon, as shown below.<\/p>\n<div style=\"width: 1536px;\" class=\"wp-video\"><video class=\"wp-video-shortcode\" id=\"video-5838-1\" width=\"1536\" height=\"720\" preload=\"metadata\" controls=\"controls\"><source type=\"video\/mp4\" src=\"https:\/\/s3-us-west-2.amazonaws.com\/bolin\/wp-content\/uploads\/2023\/01\/remove-all-org-permission.mp4?_=1\" \/><a href=\"https:\/\/s3-us-west-2.amazonaws.com\/bolin\/wp-content\/uploads\/2023\/01\/remove-all-org-permission.mp4\">https:\/\/s3-us-west-2.amazonaws.com\/bolin\/wp-content\/uploads\/2023\/01\/remove-all-org-permission.mp4<\/a><\/video><\/div>\n<p>You can then add the users to your folder or workflow and set permissions for each one. Type their name or email address into the field shown above and click \u201c<strong>Add<\/strong>\u201d to assign them.<\/p>\n<p>This will restrict access to that folder or workflow, for only those users or groups that you already have assigned.<\/p>\n<p>Admins can always see everything in your account, regardless of which folder or workflow they are assigned to, or which permission level you select.<\/p>\n<p>Learn more about managing <a href=\"https:\/\/www.process.st\/help\/docs\/folder-permissions\/\">folder permissions<\/a> and <a href=\"https:\/\/www.process.st\/help\/docs\/workflow-permissions\/\">workflow permissions<\/a>.<\/p>\n<h2>Add the all organization group<\/h2>\n<p>If you removed the all organization group, you can easily add it again if needed.<\/p>\n<p>Start typing the words \u201cAll Organization\u201d into the name\/email field where you would normally assign an individual builder, and select the group to add it.
