You can integrate Airtable with <a href=\"https:\/\/www.process.st\/\">Process Street<\/a>\u00a0to make your <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflows<\/a> super powerful and automate your work via <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">Webhooks<\/a>\u00a0or <a href=\"https:\/\/zapier.com\/apps\/airtable\/integrations\/process-street\">Zapier<\/a>.<\/p>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<h2>Connect Airtable with Process Street via Webhook<\/h2>\n<p>A Webhook integration can bring information from Airtable that would trigger a new <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">workflow run<\/a> in your Process Street account.\u00a0<em>Webhooks are\u00a0automated messages or payloads sent from apps as a trigger to cause an action in a receiving app.<\/em><\/p>\n<p>In this example, we will create a Webhook that runs the <strong>Call Center Employee Onboarding<\/strong> workflow when a candidate is <strong>Hired<\/strong> for an open position in Airtable.<\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Call Center Employee Onboarding Workflow in Process Street<\/li>\n<li>We will create an open position in Airtable and then create a few candidates for it. When a candidate is moved to Hired, this will act as our trigger<\/li>\n<li>We will create a webhook that listens for our desired trigger in Airtable and runs the Call Center Employee Onboarding workflow in Process Street<\/li>\n<\/ul>\n<p>Now, let\u2019s jump into the integration.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow<\/a>\u00a0in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are the same as the data fields in Airtable. This will help you to map the information from Airtable to Process Street.<\/p>\n<p>Their information is stored in Airtable while creating a new candidate for an open position. So, we need to create form fields in our workflow to push that information through to Process Street. These form fields should include the candidate&#8217;s name (short text field), email address (email field), phone number (number field), and so on.<\/p>\n<p>This will mean that whoever is onboarding the candidate won&#8217;t have to look up their information in Airtable, but can instead see everything in Process Street.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15216\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workable-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in Airtable<\/h3>\n<p>Log into your Airtable account or <a href=\"https:\/\/airtable.com\/signup\">create a new account<\/a>. Then navigate to your Main Workspace to create a new base.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15347\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/airtable-create-base.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>For our example, we have created an Employee Hiring base. If you have an existing base that you would like to work with, you can select that base to create your webhook.<\/p>\n<p>If you&#8217;re creating a new base, you can add a few employee details by clicking on <strong>+ Add record<\/strong> as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15348\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/2-airtable-create-record.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>3. Create a Webhook trigger to run your workflow in Process Street<\/h3>\n<p>To get the webhook URL from Process Street, when you\u2019re editing your workflow, click <strong>&#8220;Triggers&#8221;<\/strong> above your task list on the left or click the <strong>+ icon<\/strong> next to your existing triggers as shown below.<\/p>\n<p>Here, you can look for <strong>Airtable<\/strong>\u00a0as a Trigger to Run this workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15349\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/airtable-webhook.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can name your webhook as the app name or any phrase that helps you identify the Trigger. Then copy the webhook URL as you will need it later.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15350\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/3-airtable-name-webhook.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Set up the Webhook Trigger in Airtable<\/h3>\n<p>To create a webhook in Airtable, you need to add an automation. Navigate to the Automations tab in the top left corner of your screen. Then click <strong>+ Add trigger<\/strong> and select your trigger. For our example, we have selected <strong>When record updated<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15351\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/4-airtable-add-automation.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Configure the trigger by selecting the Table, View, and Field that would trigger the webhook. We have selected <strong>Status<\/strong> as the field so the automation will trigger when the status of any record changes to <strong>Hired<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15352\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/5-airtable-automation-set-up.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Set up the action by clicking <strong>+ Add advanced logic<\/strong> or action and select <strong>Run script<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15354\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/7-airtable-run-script.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>To set up the webhook, you need to enter a custom code with the webhook URL from Process Street. Then test your script as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15357\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/8-airtable-webhook-code1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>We have entered the following code. Once it returns successful, <strong>turn on<\/strong> the automation in Airtable.<\/p>\n<p>If it doesn\u2019t, you might want to go back to your base and move a candidate to the Hired stage.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15356\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/9-airtable-automation-on.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>5. Finish the setup in Process Street<\/h3>\n<p>You can now map your form fields from Airtable to Process Street.<\/p>\n<p>Lastly, turn your webhook\u00a0<strong>On<\/strong>\u00a0and\u00a0<strong>Save<\/strong>\u00a0it. Then\u00a0<strong>Publish<\/strong>\u00a0your workflow and you\u2019re all set!<\/p>\n<p>As an extra step, you can go to Airtable, move a candidate to Hired then come back to Process Street in the Reports Dashboard to confirm a new workflow is run by the webhook.<\/p>\n<h2 id=\"how-to-run-a-process-street-workflow-from-asana\">Connecting Process Street with Airtable via Zapier<\/h2>\n<p><a href=\"https:\/\/zapier.com\" target=\"_blank\" rel=\"noopener\">Zapier<\/a> is an integration platform that connects over 2000 different apps. An action in any of the supported apps (like forwarding an email or adding an attachment to a task) can trigger another app\u2019s features automatically. Zapier integrates with both Airtable and Process Street. The whole &#8220;recipe&#8221; sequence (&#8220;if X happens, do Y&#8221;) is known as a Zap.<\/p>\n<p>For this example, we&#8217;re going to set up a trigger for each time a new task is checked in a Process Street workflow run, and an action to create a new Airtable record.<\/p>\n<h3>Use case:<\/h3>\n<ul>\n<li>A company uses Airtable for keeping track of its tasks<\/li>\n<li>They use Process Street for their client onboarding process<\/li>\n<li>They want to automatically create an Airtable task for making sure documents have been received after the task for sending an email is marked as complete in Process Street<\/li>\n<\/ul>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will prepare a Process Street workflow run<\/li>\n<li>We will create a Zap in Zapier<\/li>\n<li>We will set up a trigger for the Zap for each time a task is checked in a workflow run<\/li>\n<li>We will set up an action for the Zap that creates a new record in Airtable<\/li>\n<\/ul>\n<p>Let\u2019s get this set up!<\/p>\n<h3>1. Preparing a Process Street workflow run<\/h3>\n<p>You can either create your own <a href=\"https:\/\/www.process.st\/help\/docs\/templates\/\">workflow<\/a> and <a href=\"https:\/\/www.process.st\/help\/docs\/editing-workflows\/\">edit<\/a> it to include custom <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">form fields<\/a> for whatever purpose you need, or you can use one of our many pre-made workflow templates.<\/p>\n<p>For this example, we&#8217;ll be using the <a href=\"https:\/\/www.process.st\/templates\/client-onboarding-for-a-marketing-agency\/\">client onboarding workflow for a marketing agency<\/a>.<\/p>\n<p>Here it is embedded below:<\/p>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.process.st\/templates\/client-onboarding-for-a-marketing-agency\/\" width=\"100%\" height=\"600\" frameborder=\"0\"><\/iframe><\/p>\n<p>You can grab it for yourself and add it to your <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">library<\/a>, or use your own workflow.<\/p>\n<p>Once you&#8217;ve decided on the workflow, the next step is to create the Zap in Zapier.<\/p>\n<h3>2. Creating a Zap in Zapier<\/h3>\n<p><a href=\"https:\/\/zapier.com\/\">Zapier<\/a> is a tool that connects over 2,000 different apps. Any action in any of the supported apps (like forwarding an email or adding an attachment to a task) can be set up to trigger another app\u2019s features automatically. Zapier integrates with both Airtable and Process Street.<\/p>\n<p>The whole recipe for a basic integration (trigger + action) is called a Zap.<\/p>\n<p>Sign in to Zapier or <a href=\"https:\/\/zapier.com\/sign-up\/\">create an account<\/a>, then click &#8220;<strong>Create\u00a0zap<\/strong>&#8220;.<\/p>\n<h3>3. Setting up a trigger for the Zap in Process Street<\/h3>\n<p>In your new zap, select Process Street as the app and select &#8220;<strong>New Task Checked<\/strong>&#8221; as your trigger:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10992\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Airtable-new-task-checked.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8221; and connect your Process Street account. Click &#8220;<strong>Continue<\/strong>&#8221; once that&#8217;s done and progress to the Set up trigger stage.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10994\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Airtable-set-up-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Choose the Process Street workflow run you wish to use, and select a task that will act as your trigger. Click &#8220;Continue&#8221; and test your trigger.<\/p>\n<p>This step requires that Zapier pulls sample information from the workflow you specified, so you\u2019ll have to actually <a href=\"https:\/\/www.process.st\/help\/docs\/running-checklists\/\">run your workflow<\/a>\u00a0and complete it as far as and including your trigger task.<\/p>\n<p>When you test your trigger, you\u2019ll see something like this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10995\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Airtable-test-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now it\u2019s time to add an action step.<\/p>\n<h3>4. Setting up an action for the Zap in Airtable<\/h3>\n<p>Click &#8220;<strong>Continue<\/strong>&#8221; and select Airtable as the app and &#8220;<strong>Create Record<\/strong>&#8221; as the action.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10996\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Airtable-action-app.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8221; again and connect your Airtable account by visiting your <a href=\"https:\/\/airtable.com\/account\">Airtable account page<\/a> and copying your API key into the popup window:<\/p>\n<p><img decoding=\"async\" class=\"alignnone\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Airtable-API.png\" alt=\"Airtable integration\" width=\"100%\" \/><\/p>\n<p>Next, set up the action to tell Airtable what kind of new record to create.<\/p>\n<p>Base and Table are just locations in your Airtable account, so decide where you want the new record to go:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10997\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Airtable-Set-action.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8221; once you&#8217;ve finished mapping fields and test your action.\u00a0It&#8217;s also a good idea to jump into Airtable at this point and make sure the new record was actually created.<\/p>\n<p>If the test was successful, you&#8217;ll see something like this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10998\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Airtable-action-success.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>And finally, just give your Zap a name and turn it &#8220;ON&#8221;, and you&#8217;re good to go!<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Airtable is a flexible and powerful database management tool that allows teams to organize, track, and collaborate on data in real-time.
