You can also\u00a0<strong>pre-schedule a one-off workflow run<\/strong>\u00a0for a particular event at a set date and time.<\/p>\n<p>Scheduling workflow runs not only saves you heaps of time, but it also means that you and your team won&#8217;t ever forget to work on that process at the time it needs doing.<\/p>\n<p>The scheduler automatically runs a workflow for you. Anyone assigned to the workflow run or tasks within it will receive an <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">email notification<\/a> and also see these items in their Process Street\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/getting-started-using-inbox\/\">Inbox<\/a>.<\/p>\n<p>Take a look at some examples of when you might want to use scheduled or recurring workflow runs:<\/p>\n<ul>\n<li>To create and send regular monthly invoices to your clients<\/li>\n<li>To create an annual report at the end of each financial year<\/li>\n<li>To schedule an onboarding workflow run for your new employee&#8217;s first day<\/li>\n<li>To run a monthly maintenance check on your properties<\/li>\n<li>To schedule bi-annual performance reviews for your team<\/li>\n<\/ul>\n<hr \/>\n<h3><\/h3>\n<h3>What does scheduling a workflow run actually mean?<\/h3>\n<p>Scheduling a workflow run means that you can have a new workflow run automatically created on a <strong>recurring<\/strong> basis or run once on a <strong>specified date or time<\/strong>.<\/p>\n<p>It&#8217;s also possible to set <strong>multiple different<\/strong>\u00a0workflow runs to be created from the same workflow on different schedules. So if you need the same process to recur at different dates and times you can do that. If you&#8217;re doing this and you&#8217;ve set up at least one scheduled workflow run already, you can <strong>copy<\/strong> it and change some of the details, to save time setting up the next one.<\/p>\n<p>You can also <a href=\"https:\/\/www.process.st\/help\/docs\/assigning-checklists\/\">assign<\/a> people to the workflow run from within the scheduler, set the <a href=\"https:\/\/www.process.st\/help\/docs\/time-zones\/\">time zone<\/a>, and also set a &#8216;due after&#8217; date. So if you\u00a0work with colleagues in different time zones,\u00a0 you can set the workflow run to be run for them in their specific time zone. Setting a due after date allows you to give the whole workflow run a date that it needs to be completed by.<\/p>\n<hr \/>\n<h3><\/h3>\n<blockquote>\n<h3>How you schedule a workflow run step-by-step<\/h3>\n<\/blockquote>\n<ol>\n<li>Navigate to your <strong>Library<\/strong> in Process Street and click <strong>Scheduled<\/strong>\u00a0from the left-hand menu<\/li>\n<li>Click on the blue link that says\u00a0<strong>Schedule One<\/strong>\u00a0in the center of the screen or click on <strong>Schedule a Workflow<\/strong> in the top right corner of the screen<\/li>\n<li>Fill out the details for how you would like your workflow run to be scheduled<\/li>\n<\/ol>\n<ul>\n<li>Select the <strong>workflow<\/strong> from which you\u2019d like to schedule<\/li>\n<li>Add a<strong>\u00a0name<\/strong> for your workflow run<\/li>\n<li><strong>Assign<\/strong>\u00a0it to a member of your organization (perhaps yourself) so that they\/you will receive a <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">notification<\/a> the workflow run has been activated and is ready to work on<\/li>\n<li>Choose your <strong>repeat<\/strong> settings\u00a0if applicable.\u00a0<em>If you\u2019d like a recurring workflow run, select the appropriate daily weekly, monthly or yearly choice and customize the following options. If you only want your workflow to run once, select \u2018Nope.\u2019<\/em><\/li>\n<li>Choose your relevant <strong>time zone<\/strong><\/li>\n<li>Set a <strong>start date<\/strong> in the future (including the time you want your workflow to run) and click\u00a0<strong>save<\/strong><\/li>\n<li>Set the <strong>Due after<\/strong> \u2018offset\u2019 date if needed<\/li>\n<li>Click the button <strong>Schedule<\/strong> and you\u2019re all set!<\/li>\n<\/ul>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13393\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/scheduled-a-workflow.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you need to <strong>edit<\/strong> or <strong>delete<\/strong> a schedule you&#8217;ve set for your workflow run, you can click on the scheduled workflow in the &#8220;Scheduled&#8221; area and change what you need. Click the button &#8216;<strong>Update<\/strong>&#8216; to save the changes. If you want to delete the schedule click on the &#8216;<strong>D<\/strong><strong>elete<\/strong>&#8216; button to permanently delete it.<\/p>\n<p><em>Note that this only deletes the schedule settings, not the workflow itself, or any workflow runs.\u00a0<\/em><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13394\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/update-scheduled.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>If you find yourself stuck<\/h3>\n<p>Since you&#8217;re still getting used to the basics of using the platform, we&#8217;ve got some best-practice solutions to make sure that when you start setting your scheduled processes up, you don&#8217;t have to go back and correct something you may have missed the first time.\u00a0We&#8217;ve also got some pro-tips to help you get out of a pickle!<\/p>\n<p>Remember, you&#8217;ll find the scheduling manager by clicking on the <strong>Library<\/strong> button at the top of your screen, and then the <strong>Scheduled<\/strong> button on the left side of your screen &#8211; this is the best place to head to. You could also schedule a new workflow run by clicking on the three dots next to a workflow&#8217;s name, but we recommend you always go via your Library, as you can manage your work from there.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13392\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ps-scheduled.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em><strong>Assign a colleague or yourself<\/strong><\/em><\/p>\n<p>Always assign someone when you set up your scheduling. If you don&#8217;t <strong>assign<\/strong> someone to a workflow run, it will run automatically but no one will be notified that it&#8217;s ready to work on.<\/p>\n<p><strong>Note:<\/strong> Admins, <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builders<\/a>, and Users can all be assigned to scheduled workflow runs.<\/p>\n<p><em><strong>Setting the start date<\/strong><\/em><\/p>\n<p>Remember that you can only set <em>future<\/em> start dates and times for scheduled workflow runs. If you&#8217;re trying to start the process on Monday just gone and it&#8217;s already Wednesday, you won&#8217;t be able to. The earliest you can set the scheduler is 1 hour ahead of when you create it.<\/p>\n<p><em><strong>Know when that workflow run is due<\/strong><\/em><\/p>\n<p>If you want to keep track of when a workflow run is due, always set a <strong>Due after date<\/strong>. This way, whoever is assigned to the workflow run will receive an <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">email reminder<\/a> that they need to work on it. You can also follow which workflow runs have been completed in your <a href=\"https:\/\/www.process.st\/help\/docs\/reports\/\">Reports<\/a> tab.<\/p>\n<p><em><strong>Change the date of a scheduled workflow run<\/strong><\/em><\/p>\n<p>You might want to change the date and time that the workflow runs, but you&#8217;re not sure where to edit it. Head to your Library, click &#8220;scheduled&#8221; from the left-hand menu, then choose which one you&#8217;d like to change by clicking the relevant blue card. From here you can make changes and click &#8220;update&#8221; to save them.<\/p>\n<p><em><strong>Delete a scheduled workflow run<\/strong><\/em><\/p>\n<p>If you no longer need to create a scheduled workflow run automatically for you, you can delete it from the same place you edit your schedule (see this last point above). When you click the red &#8220;<strong>delete<\/strong>&#8221; button you&#8217;re only deleting the scheduler, not the workflow runs that have been run from it (or the workflow).<\/p>\n<hr \/>\n<h3><\/h3>\n<h3>What is possible when you start using scheduled workflow runs<\/h3>\n<p>You can set up processes to run automatically, allowing you to literally set them and forget them!<\/p>\n<p>You don\u2019t have to worry that anything is getting missed out since you\u2019ll be automatically reminded whenever your process needs attention.<\/p>\n<p>If you\u2019re <a href=\"https:\/\/www.process.st\/help\/docs\/getting-started-start-collaborating\/\">collaborating<\/a> with colleagues, they will also be notified as soon as the process needs to be completed.<\/p>\n<hr \/>\n<h3><\/h3>\n<h3><span style=\"color: #333333;\">Case study<\/span><\/h3>\n<p>Since using Process Street, one of our customers, <a href=\"https:\/\/www.process.st\/case-study-pocketsuite\/\">Pocketsuite<\/a>\u00a0have not only saved time, reduced costs, increased productivity, improved customer support service but also increased growth.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-16295 size-full\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/quotes.png\" alt=\"\" width=\"30\" height=\"25\" \/><\/p>\n<p style=\"text-align: center; font-size: 24px; line-height: 1.5; letter-spacing: 2px;\">\u201cI remember listening to a podcast with [Vinay Patankar, CEO of Process Street] that explained how to use Process Street to manage recurring tasks really well. We\u2019re more productive..!\u201d<\/p>\n<p>&nbsp;<\/p>\n<hr \/>\n<h3><\/h3>\n<h3>Let&#8217;s put scheduling into practice&#8230;<\/h3>\n<ol>\n<li>Follow the \u2018how to\u2019 steps above and schedule your workflow\u00a0<strong>now<\/strong> to run daily<\/li>\n<li>Assign yourself (you can change this later, but this will ensure you get notifications)<\/li>\n<li>Set it to repeat daily (even if your process doesn\u2019t actually need to run daily, do this for now because you\u2019ll be coming back each day to continue building out your workflow. This will allow you to see it in action every day and you can always update your schedule later)<\/li>\n<li>Set the start date to tomorrow at 9 AM (or whatever time you prefer)<\/li>\n<li>Set a &#8216;Due after date&#8217; of 8 hours, so you&#8217;ll get a reminder at the end of each day<\/li>\n<\/ol>\n<h3>Action stations!<\/h3>\n<p>Each day for the next two weeks, log into your Process Street account and complete the workflow run (if you aren\u2019t actually completing the steps, you should mentally complete them so you can refine your process as we continue guiding you through getting fully up and running).
