If you&#8217;re an administrator <a href=\"https:\/\/www.process.st\/help\/docs\/invite\/\">inviting<\/a> new builders, please <a href=\"https:\/\/www.process.st\/help\/docs\/using-process-street-as-a-member\/\">forward this to them<\/a> to help them get started.\u00a0<\/em><\/p>\n<hr \/>\n<p>&nbsp;<\/p>\n<p>If you&#8217;ve been invited to work in a <a href=\"https:\/\/www.process.st\/\">Process Street<\/a> organization as a Builder, there are a few questions you might have about what you can and can&#8217;t do, and how to get started.<\/p>\n<p>In this article we&#8217;re going to look at:<\/p>\n<ul>\n<li>What a Builder is<\/li>\n<li>What happens when you get invited to work in Process Street<\/li>\n<li>Learning Process Street lingo<\/li>\n<li>What a Builder can do in Process Street<\/li>\n<li>Frequently asked questions<\/li>\n<\/ul>\n<h2>What is a Builder?<\/h2>\n<p>A Builder is a user with a <a href=\"https:\/\/www.process.st\/pricing\/\">paid seat<\/a> in Process Street, someone who needs regular access to <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-checklist\/\">Workflow runs<\/a>, tasks, <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-template\/\">Workflows<\/a>,\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/folders\/\">folders<\/a> or to create and share <a href=\"https:\/\/www.process.st\/help\/docs\/pages\/\">Pages<\/a>.<\/p>\n<p>A Builder is the next step down from an admin in an organization and can be given up to five different levels of access to that organization, depending on what they need to work on.<\/p>\n<p>Builders could be:<\/p>\n<ul>\n<li>A team leader, responsible for editing all Workflows and running them (with <strong>Edit &#038; View All<\/strong> permission)<\/li>\n<li>A person who needs to edit and view only their own Workflows (with <strong>Edit &#038; View Own<\/strong> permission \u2014 available on certain plans)<\/li>\n<li>A person who needs to run lots of different Workflows, but doesn&#8217;t need to edit Workflows (with <strong>View All<\/strong> permission)<\/li>\n<li>A person who only needs to work on, or run their own Workflows (with <strong>Run<\/strong> permission)<\/li>\n<li>A person who only works on Workflow runs, but doesn&#8217;t run any themselves (with <strong>View<\/strong> permission)<\/li>\n<\/ul>\n<p>Learn more about builder permissions below.<\/p>\n<h2>How do I become a Builder?<\/h2>\n<p>Someone you work with is already using Process Street, and they are the one that will instigate your invite.<\/p>\n<p>You&#8217;ll receive an invite in your email inbox, which contains a button that you should click, to &#8220;<em>Join (Name of Organization)<\/em>&#8221;<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-5600\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Accept-invite.png\" alt=\"\" width=\"100%\" \/>First, you&#8217;ll need to accept this invite, then you will receive a second email, asking you to sign into Process Street (if you haven&#8217;t done so already).\u00a0There will be no second email if you have used your Google credentials to sign in.<\/p>\n<h2>Library<\/h2>\n<p>Once you&#8217;re logged into Process Street, you will see a view similar to this &#8211; it&#8217;s your <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">Library<\/a>.<\/p>\n<p>This is where you&#8217;ll find any folders, Workflows or <a href=\"https:\/\/www.process.st\/help\/docs\/pages\/\">Pages<\/a> that you have been assigned or invited to view or work on.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15926\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Library.png\" alt=\"Library\" width=\"100%\" \/><\/p>\n<h2>Reports<\/h2>\n<p>Your <a href=\"https:\/\/www.process.st\/help\/docs\/reports\/\">Reports<\/a> area is where you&#8217;ll find any Workflow runs that have been assigned to you or shared with you.<\/p>\n<p>Select &#8220;<strong>Assigned to Me<\/strong>&#8221; from the left side of your screen to take you to the Workflow runs you need to view or work on.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13307\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ps-assigned-to-me.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h2>My Work<\/h2>\n<p><a href=\"https:\/\/www.process.st\/help\/docs\/inbox\/\">My Work<\/a> is your personal to-do list of tasks, Workflow runs, and approvals assigned to you. Bookmark it for easy access: <a href=\"https:\/\/app.process.st\/work\">https:\/\/app.process.st\/work<\/a><\/p>\n<p>My Work displays your assignments in a filterable table. Use the filter bar at the top to narrow down what you see \u2014 filter by item type (tasks, Workflow runs, or approvals), assignee, workflow, or grouping. Toggle completed items on or off and snooze tasks for later.<\/p>\n<p>Click a task in the table to open it and start filling out the details. Click the green tick to complete tasks.<\/p>\n<p>A tick icon denotes a <strong>task<\/strong>, a page icon is a whole <strong>Workflow run<\/strong>, and a thumbs up is an <strong>approval task<\/strong>.<\/p>\n<h2>What&#8217;s all this new lingo?<\/h2>\n<p>Here&#8217;s a quick 101 to learning some of the words and phrases you&#8217;ll hear whilst using Process Street.<\/p>\n<ul>\n<li><em><strong>Organization<\/strong>\u00a0<\/em>&#8211; The company, team or business that you&#8217;ve been invited to work in<\/li>\n<li><em><strong>Page<\/strong><\/em> &#8211; <a href=\"https:\/\/www.process.st\/help\/docs\/pages\/\">A Page<\/a> is where you can capture and share your team&#8217;s operational knowledge<\/li>\n<li><em><strong>Workflow<\/strong>\u00a0<\/em>&#8211;\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-template\/\">A Workflow<\/a>\u00a0is the master copy or the main blueprint for a process<\/li>\n<li><em><strong>Workflow Run<\/strong>\u00a0<\/em>&#8211; A single,\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-checklist\/\">unique instance<\/a> of that Workflow or master process<\/li>\n<li><em><strong>Running a Workflow &#8211; <\/strong><\/em>When a Workflow run has been <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">created or started<\/a><\/li>\n<li><em><strong>Tasks<\/strong>\u00a0<\/em>&#8211; Individual steps to complete within a Workflow run<\/li>\n<li><em><strong>Form fields<\/strong>\u00a0<\/em>&#8211; The places you enter details like words, dates, email addresses or website links into tasks<\/li>\n<li><em><strong>Subtasks<\/strong><\/em>\u00a0&#8211; A sub-set of tasks within a task<\/li>\n<li><em><strong>Assignees<\/strong>\u00a0<\/em>&#8211; The person or people responsible for a Workflow run or a task<\/li>\n<li><em><strong>Permission<\/strong>\u00a0<\/em>&#8211; What you&#8217;re allowed to see, and therefore work on<\/li>\n<li><em><strong>Required Fields<\/strong><\/em>\u00a0&#8211; Data you have to complete (mandatory fields) before being allowed to move on to the next task<\/li>\n<li><em><strong>Due date<\/strong><\/em> &#8211; The date or deadline a Workflow run or task needs to be completed by<\/li>\n<li><em><strong>My Work<\/strong><\/em> &#8211; Your personal to-do list of all the tasks and Workflow runs you&#8217;ve been assigned to work on<\/li>\n<li><b><i>Reports<\/i><\/b> &#8211; Where you&#8217;ll find all Workflow runs that you can create reports from and export<\/li>\n<li><em><strong>Library<\/strong><\/em> &#8211; Where you&#8217;ll find all Workflows and folders assigned to you<\/li>\n<\/ul>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.youtube.com\/embed\/1ms-On17P34\" width=\"100%\" height=\"406\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/p>\n<p>This is what you might see when you&#8217;re looking at a Workflow run. The current task is highlighted in blue on the left of the page and there are form fields to complete in the center for that task.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13308\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ps-workflow-task.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h2>What can a Builder do in Process Street?<\/h2>\n<p><span style=\"font-weight: 400;\">Whilst some builders may have been granted access to <a href=\"https:\/\/www.process.st\/help\/docs\/editing-templates\/\">edit Workflows<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/pages\/\">Pages<\/a>, most builders will just want to run or complete Workflow runs, checking off tasks as they go. <\/span><\/p>\n<p>What you can see and do within Process Street, depends on what level of permission you&#8217;re given by an Admin in the organization. Permission can be given to you on folders, Workflows, Workflow runs, tasks or in a group.<\/p>\n<p>These are the differences between the five levels of builder permissions for Workflows and Workflow runs:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14982\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Screenshot-2023-02-13-at-20.47.24.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14983\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Screenshot-2023-02-13-at-20.47.411.png\" alt=\"\" width=\"100%\" \/><\/p>\n<blockquote><p><strong>Note:<\/strong> On certain plans, an additional <strong>Edit &#038; View Own<\/strong> permission level is available. This level lets a Builder edit and view only the Workflows they own, rather than all Workflows in the folder or organization.<\/p><\/blockquote>\n<p>And the permission levels available for Pages:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14980\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Screenshot-2023-02-13-at-20.36.26.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you&#8217;d like to do more than you are currently able to (i.e. change permission level) please contact an administrator in your organization (or the person who invited you into Process Street) for access. You can see who your admin\/s is\/are from your <a href=\"https:\/\/app.process.st\/organizations\/manage\/users\" target=\"_blank\" rel=\"noopener\">users page<\/a>.<\/p>\n<h2>Starting work<\/h2>\n<p>Before you dive into My Work, first make sure you have your profile set up and your notifications configured.<\/p>\n<h3>Profile settings<\/h3>\n<p>You can access your <a href=\"https:\/\/app.process.st\/users\/me\/manage\/profile\" target=\"_blank\" rel=\"noopener\">profile settings<\/a> by clicking on the dropdown in the top right corner of your screen. Next, click &#8220;<strong>My Profile<\/strong>&#8221; as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13309\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/ps-profile.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>From here you can add a profile picture, change your name, add your role, add another email address, reset your password, add your contact number and\u00a0set your <a href=\"https:\/\/www.process.st\/help\/docs\/time-zones\/\">time zone<\/a>.<\/p>\n<h3>Notification settings<\/h3>\n<p>The next tab to the right of your profile settings is for your personal <a href=\"https:\/\/app.process.st\/users\/me\/manage\/notifications\" target=\"_blank\" rel=\"noopener\">notifications<\/a>. This is where you can choose what you receive <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">email notifications<\/a> for.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10735\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Notifications-tab.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>While you&#8217;re getting started it&#8217;s a good idea to leave all the toggles switched to &#8220;on&#8221; as you can always come back and edit your notifications at a later date.<\/p>\n<h3>Communicating with others<\/h3>\n<p>Now that you have access to tasks and Workflow runs assigned to you, you can use the <a href=\"https:\/\/www.process.st\/help\/docs\/comments\/\">comments<\/a> at the bottom of each task to communicate with other users in the same organization.<\/p>\n<p>You can @mention other users in the organization to notify them of your comments, which also sends them an <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">email notification<\/a> at the same time. This is also where you can <a href=\"https:\/\/www.process.st\/help\/docs\/comment-attachments\/\">add comment attachments<\/a>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11149\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Comments-at-mention-user.png\" alt=\"\" width=\"100%\" \/><\/p>\n<hr \/>\n<h2><\/h2>\n<h2>FAQ<\/h2>\n<p><em><strong>What&#8217;s the difference between a Workflow and a Workflow run again?<\/strong><\/em><\/p>\n<p>Take a look at <a href=\"https:\/\/www.youtube.com\/watch?v=1ms-On17P34&amp;feature=emb_logo\">this video<\/a> for a quick refresher.<\/p>\n<p><em><strong>Why can&#8217;t I run a Workflow?<\/strong><\/em><\/p>\n<p>If you cannot run a Workflow, it&#8217;s probably because you don&#8217;t have permission to do this. However, you can run Workflows if an admin in the organization sends you a <a href=\"https:\/\/www.process.st\/help\/docs\/checklist-run-link\/\">Workflow run link.<\/a><\/p>\n<p><em><strong>Why can&#8217;t I create a new Workflow?<\/strong><\/em><\/p>\n<p>For the same reason above, you probably don&#8217;t have permission to start new Workflows. Builders with editing permission or Admins can do this. Ask your admin for edit permission.<\/p>\n<p><b><i>Where did my completed tasks or Workflow run go?<\/i><\/b><\/p>\n<p>Once you have completed tasks or a <a href=\"https:\/\/www.process.st\/help\/docs\/completed-checklists\/\">whole Workflow run<\/a>, it disappears from your My Work list.
