Why did you need it? How will it help you?<\/p>\n<p>Here are some points you might want to consider pitching, on ways you can improve your current process problems:<\/p>\n<ul>\n<li>You would like an effective way to help your business <strong>scale<\/strong>\n<ul>\n<li>You can document all your processes in one place and give your team access to them. We want everyone to feel they are responsible for executing on something rather than just reading something&#8221;<\/p><\/blockquote>\n<h2>Who do you need to get buy-in from?<\/h2>\n<p>Next, you need to think about who you&#8217;re pitching this to, which could be colleagues or anyone higher up in your business that you need to garner approval from before implementation.<\/p>\n<h3>Managers or owners<\/h3>\n<p>First things first you\u2019re going to present to the owner, your manager, or to other team leaders because their sign-off and support will make adoption much easier.<\/p>\n<p>Think about the big picture, what is your manager going to be most interested in hearing about, or be most responsive to?\u00a0For example, what does the return on investment (ROI) look like?<\/p>\n<p><em><strong>This tool will cost $XXX per year but we could save $XXX by adopting it in our business.<\/strong><\/em><\/p>\n<p>Present the pain points you&#8217;ve discovered from speaking with your colleagues so that your manager knows this affects a larger part of the (or indeed the whole) business, not just one or two employees.<\/p>\n<p><em><strong>It will improve team efficiency, decrease human error, utilize automations, which will also save us time.<\/strong><\/em><\/p>\n<h3>Your team<\/h3>\n<p>Share and discuss your vision with your team if you haven&#8217;t done so already. State the reasons why you are going to be using Process Street and what the benefits are.<\/p>\n<p>Better still, personalize the benefits to each department and employee, think about the individual changes they will see or how it will improve your way of working as a team.<\/p>\n<h2>Reviews<\/h2>\n<p>One of the easiest ways to sell the benefits of using a new tool is to look at what are <em>other<\/em> users saying about it.<\/p>\n<blockquote><p>&#8220;Love this software! It really helps to prevent laborious time consuming mistakes. They are bound to have questions!<\/p>\n<p>Make a note of all the features that you\u2019re currently using in your workflows, and brush up on your knowledge, from <a href=\"https:\/\/www.process.st\/help\/docs\/getting-started\/\">The 5 Stages of Process Building<\/a>.<\/p>\n<p>Remember, your processes will evolve over time, so you can always add (and learn) more features, as and when you need them.<\/p>\n<h2>Challenges<\/h2>\n<p>You may come across a few challenges from your team when implementing a new tool, such as:<\/p>\n<ul>\n<li>Team members have different learning curves or different learning styles\n<ul>\n<li>Build in a mixture of text, images or videos into your training<\/li>\n<li>Consider running 1:1 and group training sessions<\/li>\n<li>Mix up the sessions with hands-on learning, slides or webinars<\/li>\n<\/ul>\n<\/li>\n<li>They may have different technical abilities which affects their speed of uptake on a new tool\n<ul>\n<li>Set achievable goals for each person<\/li>\n<li>Be patient with those who need extra support<\/li>\n<li>For those who adopt more quickly, let them set their own goals<\/li>\n<\/ul>\n<\/li>\n<li>They can find change overwhelming or may be reluctant to change for other reasons\n<ul>\n<li>Discuss what those reasons are and address them one by one<\/li>\n<li>Reiterate the benefits of using the tool for the team and them individually<\/li>\n<li>Address any issues your team might have as you come across them<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h2>User types, roles &amp; access<\/h2>\n<p>Think about <em>who<\/em> you need to work with in your Process Street organization and <em>what<\/em> they need to do in the platform.<\/p>\n<p>If you have a company organizational chart, you can use that as the framework for the types of users you have in your Process Street organization.\u00a0For example:<\/p>\n<ul>\n<li>Your managers could be <strong>Admins<\/strong> or <strong>Builders<\/strong> with workflow editing permissions<\/li>\n<li>Your team leaders could be <strong>Builders<\/strong> with workflow editing permissions or with permission to run workflows for the rest of your team<\/li>\n<li>Your regular team members can be those who don\u2019t run workflows but just need to complete lots of daily tasks. They can be <strong>Builders<\/strong> with&#8217; view own&#8217; permissions<\/li>\n<li>Your clients, freelancers or VA\u2019s might be <strong>Users<\/strong> or <strong>Guests<\/strong><\/li>\n<\/ul>\n<p>The different options outlined here will help you determine which\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/user-permissions\/\">user permissions<\/a> to grant for each person or <a href=\"https:\/\/www.process.st\/help\/docs\/group-permissions\/\">group<\/a>.<\/p>\n<h3>Set up for success<\/h3>\n<p>When you\u2019re ready to <a href=\"https:\/\/www.process.st\/help\/docs\/invite\/\">invite other users<\/a> into your organization, you can add them to your <a href=\"https:\/\/app.process.st\/organizations\/manage\/users\" target=\"_blank\" rel=\"noopener\">organization users and guests page<\/a>.<\/p>\n<p>Next think about who needs access to which <a href=\"https:\/\/www.process.st\/help\/docs\/folder-permissions\/\">folders<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/template-permissions\/\">workflows<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/checklist-permissions\/\">workflow runs<\/a>, or <a href=\"https:\/\/www.process.st\/help\/docs\/task-permissions\/\">tasks<\/a>. Assign users or groups and set permissions on these accordingly.<\/p>\n<h2>Predefined conventions<\/h2>\n<h3>Naming<\/h3>\n<p>Agreed and communicate a <a href=\"https:\/\/www.process.st\/file-naming-conventions\/\">naming convention<\/a> for folders, workflows, workflow runs or tasks so that anyone building workflows will follow the same conventions.<\/p>\n<p>This will help when you create reports in your <a href=\"https:\/\/www.process.st\/help\/docs\/reports\/\">Reports<\/a> dashboard and will also allow other users to find what they are looking for with ease.<\/p>\n<h3>Building<\/h3>\n<p>Make a small number of people responsible for adding or editing key features and functions into your workflows. For example with features like <a href=\"https:\/\/www.process.st\/help\/docs\/conditional-logic\/\">Conditional Logic<\/a> or when setting up <a href=\"https:\/\/www.process.st\/help\/docs\/getting-started-building-your-own-automations\/\">Automations<\/a>.<\/p>\n<p>That way your workflows will follow the same principles and structure, and anyone hopping in to edit a workflow won&#8217;t be confused by another user&#8217;s way of working.<\/p>\n<h2>Training<\/h2>\n<p>When it comes to training your team, you will have the best understanding of the new tool and therefore will be able to answer any questions that may arise.<\/p>\n<p>If you\u2019re happy that you\u2019ve got this covered and can train your team yourself, then we have a few tips to help you get going:<\/p>\n<ul>\n<li>Set up team training dates with department heads and managers<\/li>\n<li>Mix your training methods to cater to all types of learning styles and abilities<\/li>\n<li>Run group or one-to-one training sessions on zoom or with slide decks or videos<\/li>\n<li>Use help articles or premade workflows they can refer to for guidance<\/li>\n<li>Let them get stuck in and do some hands-on learning and be sure to have follow-up sessions with them<\/li>\n<li>Set aside time with each user if necessary, to help them one-to-one and answer questions they might have<\/li>\n<\/ul>\n<p>In some cases, our team here at Process Street can help with\u00a0onboarding your whole team. Share the love and post these in your team chat channel too.\u00a0Friendly competition creates positive involvement \ud83d\ude42<\/p>\n<p>Make sure you don&#8217;t shame anyone for <em>not<\/em> hitting their goals, instead find ways to help them.
