{"id":5952,"date":"2023-11-03T08:00:30","date_gmt":"2023-11-03T08:00:30","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/automations\/"},"modified":"2025-07-28T13:41:20","modified_gmt":"2025-07-28T13:41:20","slug":"automations","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/automations\/","title":{"rendered":"Workflow Automations"},"content":{"rendered":"<p><img decoding=\"async\" class=\"alignnone size-full wp-image-9975\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Automating-with-Process-Street-Rev2-01.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Since teams and businesses use many software apps on a day-to-day basis, the data within each app can become siloed.<\/p>\n<p>Automations allow you to pass that data to <em>and<\/em> from other apps, reducing the amount of manual copy-pasting your team needs to do, therefore reducing errors and becoming more efficient as a result.<\/p>\n<p><a href=\"https:\/\/www.process.st\/\">Process Street<\/a> has a number of integrations that you can utilize to build automations, which help streamline your business and make your workflows run fast and faultlessly.<\/p>\n<p><iframe loading=\"lazy\" title=\"YouTube video player\" src=\"https:\/\/www.youtube.com\/embed\/OKJCLbLiKlg\" width=\"100%\" height=\"406\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\">\ufeff<\/span><\/iframe><\/p>\n<p><em><strong>Users: In order to create or update Automations, you must be an Administrator or a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builder<\/a> with &#8220;<a href=\"https:\/\/www.process.st\/help\/docs\/user-permissions\/\">edit<\/a>&#8221; permissions.<\/strong><\/em><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10056\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Automations-min.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>In each automation, you have the ability to map data fields from one app to the other.<\/p>\n<h2>Example use cases<\/h2>\n<ul>\n<li>You edit an opportunity in <strong>Salesforce<\/strong> and save it as Closed Won, which starts a new workflow run from your customer onboarding workflow, with account and contact details mapped and the opportunity details pre-filled inside it<\/li>\n<li>You fill out a lease agreement workflow run which is approved by management, and then sent to the client for an electronic signature in\u00a0<strong>Docusign<\/strong><\/li>\n<li>You collect information about an issue from your support desk. When a specific task is completed, a bug ticket is raised for your engineering team to investigate in\u00a0<strong>Jira<\/strong>, and the Jira ticket number\u00a0is attached to the support conversation<\/li>\n<li>You complete a workflow run in <strong>Process Street<\/strong> and that kicks off another workflow run, which is assigned to one of your colleagues. Selected data from your completed workflow run is pre-filled in the new run<\/li>\n<li>When your IT team update their server reports for clients, all the data is pushed into a <strong>Google sheet<\/strong> for reporting and tracking progress<\/li>\n<li>When you complete a discovery call workflow run, you want to share the details of that call in your team <strong>Slack<\/strong> channel<\/li>\n<li>You hire a candidate in <strong>Greenhouse<\/strong> and that kicks off an employee onboarding workflow run, with the new hire&#8217;s information pre-filled in it.<\/li>\n<\/ul>\n<h2>How to create an automation<\/h2>\n<p>When you&#8217;re editing a workflow, you will find the &#8220;<strong>Triggers<\/strong>&#8221; button below the workflow name. From the available options, select an app and action that would trigger a new workflow run.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15908\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/automations.gif\" alt=\"automations\" width=\"100%\" \/><\/p>\n<p>You can also configure an automation to send out your data into other apps or a new Process Street workflow run when a task or a workflow run is completed, as shown above.<\/p>\n<p>Each automation has its own set of actions and triggers, which you can learn about in these help articles:<\/p>\n<ul>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/salesforce\/\" target=\"_blank\" rel=\"noopener\">Salesforce<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/docusign\/\" target=\"_blank\" rel=\"noopener\">DocuSign<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/jira\/\" target=\"_blank\" rel=\"noopener\">Jira<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/greenhouse\/\" target=\"_blank\" rel=\"noopener\">Greenhouse<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/slack\/\" target=\"_blank\" rel=\"noopener\">Slack<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/google-sheets\/\" target=\"_blank\" rel=\"noopener\">Google Sheets<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/process-street\/\" target=\"_blank\" rel=\"noopener\">Process Street<\/a><\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/microsoft-teams-app\/\">Microsoft Teams App<\/a><\/li>\n<\/ul>\n<p>If you want to connect to apps that are not on the list, you can do so via <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">webhooks<\/a>.<\/p>\n<p><strong>Note:\u00a0<\/strong>You should only create an automation once your workflow has been fully built out, as recommended in the\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/getting-started\/\">5 Stages of Process Building<\/a>.<\/p>\n<h3>Limitations<\/h3>\n<p>There are no filters, delays, or formulas built into automations. To be able to utilize these types of functions, you might want to consider using a <a href=\"https:\/\/www.process.st\/help\/docs\/zapier\/\">Zapier integration<\/a>\u00a0or create a <a href=\"https:\/\/www.process.st\/help\/docs\/microsoft-power-automate\/\">Power Automate<\/a> flow instead.<\/p>\n<h3>Request another app<\/h3>\n<p>If you would like to request that we add another app to our automations, you can do that from the help button in the bottom right corner of your screen. Click &#8220;<strong>Suggestions<\/strong>&#8221; and send us your request.<\/p>\n<h3>Troubleshooting<\/h3>\n<p>If your automation stopped running or isn&#8217;t working as expected, there might be a couple of reasons for this. Check the following:<\/p>\n<ul>\n<li>Did you turn the automation on once you set it up? Each automation has a separate &#8220;on\/off&#8221; toggle switch<\/li>\n<li>Did you edit your workflow, change or delete a form field that you were mapping in your automation? If you did, then this may cause your automation to stop running<\/li>\n<li>Did you edit your workflow but not save the changes? You need to have Published any edits to your workflow to have the latest version pull through to your automation<\/li>\n<li>Each time your automation runs you will see a record in your automation run log. Any errors in your automation will be shown here<\/li>\n<li>If you are unable to edit an automation, toggle it &#8220;<strong>off<\/strong>&#8221; then try again.
