Users are people that you can add to your Process Street<\/a> organization to work with you occasionally. They can create, edit, share or view Pages.<\/a> They can also view folders<\/a>, workflows<\/a>, workflow runs<\/a>, and tasks that they have been assigned to.<\/p>\n

Users: To invite<\/a> a User you must be an Administrator or a Builder.<\/strong><\/em><\/p>\n

Billing<\/h2>\n

Whether Users count as billable seats depends on when your organization was created.<\/p>\n

\n

New organizations<\/strong> (created on or after August 1, 2025): Users are billable, along with Admins and Builders. All three roles count toward your subscription seat total.<\/p>\n<\/blockquote>\n

\n

Existing organizations<\/strong> (created before August 1, 2025): Only Admins and Builders are billable. Users do not count toward your seat total.<\/p>\n<\/blockquote>\n

What can a User do?<\/h2>\n

Workflows, workflow runs, and tasks<\/h3>\n

Users can view workflows<\/a>, and access workflow runs<\/a> or tasks<\/a> that they have been assigned to. They can also run workflows to which they have permission.<\/p>\n

Note: <\/strong>Users may be assigned to tasks when using the members form field and role assignments<\/a>.<\/p>\n

Pages<\/h3>\n

Users can be invited to your organization to “view<\/strong>” company documentation, policies and procedures stored in your Pages<\/a>.<\/p>\n

Users can create, edit and archive Pages in their Private Library<\/a>. If you grant them “edit<\/strong>” permissions to a Folder<\/a>, they can also edit Pages within it.<\/p>\n

Only admins can restore deleted pages<\/a>.<\/p>\n

Organization and personal settings<\/h3>\n

Users can only manage their personal profile.<\/p>\n

Are there any limits for the number of Users?<\/h2>\n

You can reach out to your account manager or our Process Pros<\/a> team to know more about the limits for Users in your account.<\/p>\n

How to invite Users?<\/h2>\n

You can invite Users from your organization’s users page. <\/a><\/p>\n

To open your organization settings, click your profile picture in the upper right corner of your screen, then click “Settings<\/strong>“. Then navigate to the “Users<\/a>” tab.<\/p>\n

Type their email address in the field provided. Next, select “Invite as User<\/strong>” from the dropdown and then click “Invite<\/strong>” as shown above.<\/p>\n

You’ll receive a flash notification at the top of your screen to confirm that their invite has been sent.<\/p>\n

Promote a User<\/h2>\n

To promote a User to a Builder<\/a>, click the dropdown next to their name and make your selection.<\/p>\n

Note:<\/strong> On paid plans, when you promote a User to a Builder, you pay for this person on a pro-rata basis for the remainder of your billing cycle.<\/p>\n

You should only promote someone to an admin if you are happy for them to have full<\/em> access<\/a> to your organization and billing.<\/p>\n

Remove a User<\/h2>\n

A User can be removed from your organization entirely (and any workflow runs or tasks they are assigned to) using the remove user icon shown below.<\/p>\n
