When you start or complete a process in BambooHR, it can trigger a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow-run\/\">Workflow Run<\/a> in\u00a0<a href=\"https:\/\/www.process.st\/\">Process Street<\/a> via <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">Webhooks<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/bamboohr\/#connectbamboohrto-process-street-via-zapier\">Zapier<\/a>. For example, when your candidate is hired in BambooHR, that could trigger a Call Centre Employee Onboarding <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflow<\/a> in Process Street.<\/p>\n<h2>Connect\u00a0BambooHR with Process Street via Webhook<\/h2>\n<p>A Webhook integration\u00a0can bring information from\u00a0BambooHR that would trigger a new <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow-run\/\">workflow run<\/a> in your Process Street account.\u00a0<em>Webhooks are\u00a0automated messages or payloads sent from apps as a trigger to cause an action in a receiving app.<\/em><\/p>\n<p>In this example, we will create a Webhook that runs the Call Centre Employee Onboarding workflow when a candidate in BambooHR reaches the Hired stage.<\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Call Centre Employee Onboarding workflow in Process Street<\/li>\n<li>We will create a Hiring Pipeline in\u00a0BambooHR\u00a0and then create a few candidates. When a candidate reaches Hired stage, this will act as our trigger<\/li>\n<li>We will create a webhook that listens for our desired trigger in\u00a0BambooHR\u00a0and runs the Call Centre Employee Onboarding workflow in Process Street<\/li>\n<\/ul>\n<p>Now, let\u2019s jump into the integration.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow\u00a0<\/a>in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are relevant to the data fields in\u00a0BambooHR. This will help you to map the relevant information from\u00a0BambooHR\u00a0to Process Street.<\/p>\n<p>This information is stored in\u00a0BambooHR\u00a0when a candidate was created. So, we need to create relevant form fields in our workflow to push that information through to Process Street. For our example, these form fields should include the candidate&#8217;s name, job title (short text fields), phone number (number field), email address (email field), start date (date field), and so on.<\/p>\n<p>This will mean that whoever is onboarding the candidate won&#8217;t have to look up their information in\u00a0BambooHR, but can instead see all their details in Process Street.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14327\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/call-centre-employee-onboarding-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in BambooHR<\/h3>\n<p>Log into your\u00a0BambooHR\u00a0account or <a href=\"https:\/\/www.bamboohr.com\/signup\/\">create a new account<\/a>. Since we want to trigger a new run in Process Street when a candidate is hired, we will be working with the Hiring dashboard for that position in\u00a0BambooHR. To set this up, go to the <strong>Hiring <\/strong>tab\u00a0then click <strong>+ Add Job Opening<\/strong> in the top right corner. You can set up a new job here or if you have existing positions or candidates, you can use that to create your trigger as well.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14339\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-create-job.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>When you have created your job opening, add a few candidates then change the hiring status of a candidate to Hire.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14340\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-hire-status.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you have hired a candidate, you would be prompted to add them as an Employee. While adding your new employee, remember to fill in all the details that you want to send over to your Process Street workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14342\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-new-employee1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can learn more about Webhooks in BambooHR <a href=\"https:\/\/help.bamboohr.com\/hc\/en-us\/articles\/115012241187-Webhooks\">here<\/a>.<\/p>\n<h3>3. Create a Webhook trigger to run your workflow in Process Street<\/h3>\n<p>To get the webhook URL from Process Street, when you&#8217;re editing your workflow, click the <strong>+ icon<\/strong> above your task list on the left. Here, you can look for\u00a0BambooHR\u00a0as a Trigger to Run this workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14343\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-search.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can name your webhook as the app name or any phrase that helps you identify the Trigger. Next, for our example, we&#8217;re selecting the event as <strong>Add employee<\/strong>. Then copy your Webhook URL.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14347\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-name-webhook1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Set up the Webhook Trigger in BambooHR<\/h3>\n<p>To set up webhooks in your\u00a0BambooHR\u00a0account, click on the <strong>Settings<\/strong> cog in the top left corner then click on <strong>Webhooks<\/strong> in the left menu.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14345\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-webhook-setup.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> If you don&#8217;t find Webhooks in the menu, please contact BambooHR&#8217;s support team to get that activated.<\/p>\n<p>Once you see Webhooks, click on <strong>+ Add Webhook<\/strong>. Then set up the webhook with the information you want to send over to your Process Street run. Here, ensure to select <strong>JSON<\/strong> as the format to send the data.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14346\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-webhook-format.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>5. Finish the setup in Process Street<\/h3>\n<p>Now, come back to Process Street and test your trigger. Your payload should return as a success but if it doesn&#8217;t, you might want to go back to\u00a0BambooHR\u00a0and add a new employee.<\/p>\n<p>When your test returns successful, you can proceed to map your fields from\u00a0BambooHR\u00a0properties to your Process Street form fields.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14334\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/breezy-mapping.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Lastly, turn your webhook <strong>On<\/strong> and <strong>Save<\/strong> it. Then <strong>Publish<\/strong> your workflow and you&#8217;re all set!<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14348\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bamboo-webhook-run.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>As an extra step, you can go to\u00a0BambooHR, move a candidate to Hired then come back to Process Street in the Reports Dashboard to confirm a new workflow is run.<\/p>\n<h2>Connect\u00a0BambooHR\u00a0to Process Street via Zapier<\/h2>\n<p><a href=\"https:\/\/zapier.com\/\">Zapier<\/a> connects over 1,000 apps together. It&#8217;s an &#8220;if this, then that&#8221; tool, meaning that once a trigger has occurred, an action will then take place. This helps to save you time and effort by <a href=\"https:\/\/www.process.st\/business-process-automation-guide\/\" target=\"_blank\" rel=\"noopener\">automating processes<\/a>.<\/p>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.youtube.com\/embed\/FfczOqDBT28\" width=\"100%\" height=\"406\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\">\ufeff<\/span><\/iframe><\/p>\n<p>In this example, we\u2019ll be walking you through how to set up a Zap that links BambooHR and Process Street to trigger actions on both platforms.<\/p>\n<h3>Use Cases:<\/h3>\n<ul>\n<li>A company wants to add a new employee to their database<\/li>\n<li>The company wants to create a new employee record in BambooHR when a task is checked off in their Employee Hiring &amp; Onboarding workflow in Process Street<\/li>\n<li>The company also wants to manage its paid time off requests effortlessly<\/li>\n<li>The company wants to run a PTO workflow in Process Street when a new Time Off Request is created in BambooHR<\/li>\n<\/ul>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3 id=\"process-overview\">Process overview:<\/h3>\n<ul>\n<li>We will create a Zap in Zapier to add a new employee in\u00a0BambooHR when a new task is checked off in Process Street<\/li>\n<li>We will create a Zap to run a workflow in Process Street when a new PTO request is added in BambooHR<\/li>\n<\/ul>\n<p>Let\u2019s look at how we can do this.<\/p>\n<h3>Prepare your workflow before creating your zap<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow<\/a> in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are the same as the data fields in BambooHR. This will help you to map the relevant fields from both platforms together to push data from one to the other.<\/p>\n<p>For example, use short text fields to store the employee&#8217;s first and last names, a date field for their birth date, and so on.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12783\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Create a Zap to add a new employee in your BambooHR database<\/h3>\n<p>Log into\u00a0<a href=\"https:\/\/zapier.com\/\">Zapier<\/a>\u00a0or\u00a0<a href=\"https:\/\/zapier.com\/sign-up\">create an account<\/a>, then click &#8220;<strong>Create Zap<\/strong>&#8220;. This will be our Zap to automatically create a new employee in BambooHR.<\/p>\n<p>Here, choose <strong>Process Street<\/strong> as the Trigger and <strong>New Task Checked<\/strong> as the Trigger Event.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12784\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/2-ps-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Choose or connect your Process Street account, then set up the Trigger by selecting the <strong>Workflow<\/strong> and <strong>Task<\/strong>. This should be a task that contains the form fields for capturing the employee details you want to push into BambooHR.<\/p>\n<p>For us, this means selecting our &#8220;Employee Hiring and Onboarding&#8221; workflow and the &#8220;New hire&#8217;s details&#8221; task within it.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12786\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/3-ps-trigger1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Next, you\u2019ll want to test your Trigger. For the test to pull sample data into Zapier, you\u2019ll need to first run the chosen workflow in Process Street then complete it up to and including the task you&#8217;ve selected as your Trigger. Remember to fill in your form fields with the data you&#8217;re going to push into BambooHR.<\/p>\n<p>If the task you checked off completes the workflow run, make sure to &#8216;reactivate&#8217; it before running your test in Zapier by clicking the <strong>Reactivate<\/strong>\u00a0button on the top right of the right-hand workflow run menu.<\/p>\n<p>Once the test comes back successfully, <strong>set up the Action<\/strong> by choosing <strong>BambooHR<\/strong> as the Action app. Next, select\u00a0<strong>Create Employee<\/strong> as the Action event. This will make our Zap create a new employee in BambooHR when the Trigger is detected.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12787\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/4-ps-action.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select or connect your BambooHR account, then map the fields from your Process Street Workflow to those in BambooHR. Here we&#8217;re using the fields like, First Name, Last Name, Birth Date, Email ID and so on.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12788\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/5-ps-setup-action.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now, click <strong>Continue<\/strong> to test your Zap. A successful test should look something like in the image below. You can also preview the information here and verify if you have your data mapped correctly.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12789\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/6-ps-test.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You should also check your BambooHR account to make sure that you have a new employee at the top of your People list. This should be full of your sample data and look similar to this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12823\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/13-bamboo-employee.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>When your test returns successful, remember to give your Zap a name and turn it on. Congratulations, you&#8217;ve now automated your employee record creation!<\/p>\n<h2>Sending information from BambooHR to Process Street<\/h2>\n<p>Now, let&#8217;s see how we can send information from BambooHR to Process Street.<\/p>\n<h3>Create a relevant workflow in Process Street<\/h3>\n<p>First, you will need to have a workflow in Process Street that&#8217;s\u00a0relevant to the task you&#8217;re setting as the Trigger in BambooHR.<\/p>\n<p>For this example, we&#8217;re looking at a Paid Time Off Request. Once again, make sure that you&#8217;ve included form fields to capture the data you want to push through from BambooHR.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12790\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/7-action-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Create a Zap to run a Workflow to manage new PTO requests from BambooHR<\/h3>\n<p>This time, we will click on <strong>Create Zap<\/strong>, select the Trigger app as <strong>BambooHR<\/strong>, and the Trigger event as <strong>New Time Off Request<\/strong>. This means that our new Zap will trigger every time a new PTO request is created in BambooHR.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12791\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/8-bamboo-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Next, click on <strong>Continue<\/strong> and select your account in BambooHR. Now, you&#8217;ll want to test your Trigger. For this, you need to create a time off request in BambooHR with the Start Date, End Date, and Leave Type filled in, so that Zapier can pull it in as sample data.<\/p>\n<p>When your test returns successful, continue to set up\u00a0<strong>Process Street<\/strong>\u00a0as the Action app and the Action event as <strong>Run Workflow<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12792\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/9-bamboo-action.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Then, continue to set up your Action. For this, choose the PTO Workflow that you created in advance and map the form fields in it to the fields in BambooHR.<\/p>\n<p>Here, we have mapped the Requester Name, Start Date, End Date, Leave Type Name and Notes.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12793\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/10-bamboo-action-setup.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Lastly, test your Action.
