For example, as soon as you hire a candidate in Workable, it could trigger a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow-run\/\">Workflow Run<\/a> in Process Street.<\/p>\n<p>You can integrate <a href=\"https:\/\/www.workable.com\/\">Workable<\/a> with <a href=\"https:\/\/www.process.st\/\">Process Street<\/a> via <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">Webhooks<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/workable\/#connecting-process-street-with-workable-via-zapier\" target=\"_blank\" rel=\"noopener\">Zapier<\/a>.<\/p>\n<h2>Connect Workable with Process Street via Webhook<\/h2>\n<p>A Webhook integration can bring information from Workable that would trigger a new <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">workflow run<\/a>\u00a0in your Process Street account.\u00a0<em>Webhooks are\u00a0automated messages or payloads sent from apps as a trigger to cause an action in a receiving app.<\/em><\/p>\n<p>In this example, we will create a Webhook that runs the Call Center Employee Onboarding Workflow when a candidate is Hired for an open position in Workable.<\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Call Center Employee Onboarding Workflow in Process Street<\/li>\n<li>We will create an open position in Workable and then create a few candidates for it. When a candidate is moved to Hired, this will act as our trigger<\/li>\n<li>We will create a webhook that listens for our desired trigger in Workable and runs the Call Center Employee Onboarding workflow in Process Street<\/li>\n<\/ul>\n<p>Now, let\u2019s jump into the integration.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow\u00a0<\/a>in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are the same as the data fields in Workable. This will help you to map the relevant information from Workable to Process Street.<\/p>\n<p>Their information is stored in Workable while creating a new candidate for an open position. So, we need to create relevant form fields in our workflow to push that information through to Process Street. These form fields should include the candidate&#8217;s first and last names (short text fields), email addresses (email field), phone numbers (number field), and so on.<\/p>\n<p>This will mean that whoever is onboarding the candidate won&#8217;t have to look up their information in Workable, but can instead see everything in Process Street along with their instructions.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15216\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workable-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in Workable<\/h3>\n<p>Log into your Workable account or <a href=\"https:\/\/admin.hireflix.com\/en\/register\">create a new account<\/a>. Then click on <strong>Create a new job<\/strong> in the top-right corner. For our example, we&#8217;re adding a new position of <strong>Account Executive.<\/strong><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15230\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/create-job-in-workable2.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Then enter the job details and click on <strong>Save &amp; continue<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15231\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/save-new-job.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now click on the new position you just created and click on <strong>Add candidate<\/strong> in the top-right corner. For our example, we will enter candidate details manually.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15232\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/add-candidate-workable.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Here, you can enter their full name, email address, and phone number. This will be the information we pass through to Process Street via Webhook.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15219\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/new-candidate.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you already have a job listing in Workable, you can use the same one to set up this webhook. You can also use your existing list of candidates or create new ones for an existing position.<\/p>\n<h3>3. Create a Webhook trigger to run your workflow in Process Street<\/h3>\n<p>To get the webhook URL from Process Street, when you\u2019re editing your workflow, click <strong>&#8220;Triggers&#8221;<\/strong> above your task list on the left or click the <strong>+ icon<\/strong> next to your existing triggers as shown below.<\/p>\n<p>Here, you can look for <strong>Workable<\/strong> as a Trigger to Run this workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15220\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/new-webhook-workable.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can name your webhook as the app name or any phrase that helps you identify the Trigger. Then copy your Webhook URL.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15221\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/name-webhook-workable.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Set up the Webhook Trigger in Workable<\/h3>\n<p>Since Workable doesn&#8217;t have a webhook interface, we&#8217;re going to use their API to set it up. To do this, first we need to generate an API token in Workable.<\/p>\n<p>Click on your <strong>profile icon<\/strong> in the top right corner then select <strong>Settings<\/strong>. In the left panel, look for <strong>Integrations<\/strong>. Now scroll to the bottom till you see <strong>Access Token<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15223\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workable-integration.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you have an existing token, you can use the same. If not, you can click on <strong>Generate new token<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15224\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/generate-API-token.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now, go to <a href=\"https:\/\/workable.readme.io\/reference\/webhook-subscriptions\">Workable&#8217;s API<\/a> documentation. In the left panel, look for <strong>Webhooks<\/strong> and click on <strong>\/subscriptions (POST)<\/strong><\/p>\n<p>We&#8217;re going to need your Workable account&#8217;s subdomain. To get this, go back to your <a href=\"https:\/\/mayaland.workable.com\/backend\">Workable account&#8217;s home page<\/a> and navigate to your browser URL. Your subdomain is your account name that goes before .workable.com\/backend.<\/p>\n<p>Now paste your subdomain in the API doc as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15225\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/subdomain.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Next, you need your API token. From your <a href=\"https:\/\/mayaland.workable.com\/backend\/settings\/integrations\">integrations page<\/a>, copy the Access Token you generated earlier and paste it in the API doc in the Header field as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15226\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/bearer-token.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Lastly, go back to Process Street and copy the webhook URL. Paste this in the <strong>Target<\/strong> field as shown below.<\/p>\n<p>Here, since we want to trigger the webhook when a candidate is moved to the Hired stage, we will enter the <strong>event<\/strong> as <strong>candidate_moved<\/strong> and the <strong>stage_slug<\/strong> as <strong>hired<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15227\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/setup-webhook-api.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you have filled in all the fields mentioned above, your setup should look like what we have below. Then click on <strong>Try It<\/strong> on the right side of your screen. A successful setup should result in a <strong>201 response<\/strong> when you click on try It.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15233\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/webhook-final-setup.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>5. Finish the setup in Process Street<\/h3>\n<p>Now come back to Process Street and test your trigger. Your payload should return as a success but if it doesn\u2019t, you might want to go back to Workable and ensure you move a candidate to the Hired stage.<\/p>\n<p>When your test returns successful, you can proceed to map your fields from Workable&#8217;s properties to your Process Street form fields.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15228\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/field-mapping.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Lastly, turn your webhook\u00a0<strong>On<\/strong>\u00a0and\u00a0<strong>Save<\/strong>\u00a0it. Then\u00a0<strong>Publish<\/strong>\u00a0your workflow and you\u2019re all set!<\/p>\n<p>As an extra step, you can go to Workable, move a candidate to Hired then come back to Process Street in the Reports Dashboard to confirm a new workflow is run with the information filled by the webhook.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-15229\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workable-run.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h2 id=\"how-to-run-a-process-street-workflow-from-asana\">Connecting Process Street with Workable via Zapier<\/h2>\n<p><a href=\"https:\/\/zapier.com\/\" target=\"_blank\" rel=\"noopener\">Zapier<\/a>\u00a0is an integration platform that connects over 2000 different apps. An action in any of the supported apps (like forwarding an email or adding an attachment to a task) can trigger another app\u2019s features automatically. Zapier integrates with both Workable and Process Street. The whole &#8220;recipe&#8221; sequence (&#8220;if X happens, do Y&#8221;) is known as a Zap.<\/p>\n<p>In this example, we\u2019ll be walking you through how to set up a Zap that connects Workable and Process Street.<\/p>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3 id=\"process-overview\">Process overview:<\/h3>\n<ul>\n<li>We will create a Zap in Zapier to run a new workflow in Process Street when a candidate enters the &#8216;Hired&#8217; stage of the hiring process in Workable<\/li>\n<\/ul>\n<p>Let\u2019s look at how you can do this.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow\u00a0<\/a>in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">Form Fields<\/a> that are the same as the data fields in Workable. This will help you to map the relevant information from Workable to Process Street.<\/p>\n<p>In this example, we are triggering the Employee Onboarding and Review workflow when a candidate reaches the &#8216;Hired&#8217; stage of an open position.<\/p>\n<p>Their information is stored in Workable via a form which the candidate has filled in while applying for the job. So, we need to create relevant Form Fields in our workflow to push that information through to Process Street. These Form Fields should include the candidate&#8217;s first and last names (short text fields), email addresses (email field), phone numbers, and so on.<\/p>\n<p>This will mean that whoever is onboarding the candidate won&#8217;t have to look up their information in Workable, but can instead see everything in Process Street along with their instructions.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12961\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/1.-workflow2.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in Workable<\/h3>\n<p>Log into your Workable account or <a href=\"https:\/\/www.workable.com\/get-started?llsd=homepage\">create a new account<\/a>. Then click on <strong>Create a new job<\/strong>. Fill in the details like job title, description, and more, then publish your job on the careers page (eg, <a href=\"https:\/\/process-street-2.workable.com\/jobs\/2231335\">this is the careers page<\/a> for our example).\u00a0\u00a0This will enable you to apply as a candidate to have some dummy candidates for your Zap.<\/p>\n<p>Next, you want to apply for the job you created to have at least one candidate for the open position. Make sure to fill in the first name, last name, and email address since we will require that data to create the Zap.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12962\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/1.-apply-job.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you have applied, you will see this candidate in the backend in Workable. You want to set their <strong>hiring stage<\/strong> to <strong>Hired<\/strong> so we can set that as the trigger for our Zap.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12964\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/3.-set-stage1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>3. Create a Zap to run the workflow in Process Street<\/h3>\n<p>Log into\u00a0<a href=\"https:\/\/zapier.com\/\">Zapier<\/a>\u00a0or\u00a0<a href=\"https:\/\/zapier.com\/sign-up\">create an account<\/a>, then click &#8220;<strong>Create Zap<\/strong>&#8220;. This will be your Zap to automatically run a new workflow when the candidate reaches the &#8216;Hired&#8217; stage.<\/p>\n<p>Here, choose <b>Workable\u00a0<\/b>as the Trigger and <strong>Updated Candidate Stage<\/strong>\u00a0as the Trigger Event.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12965\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/4.-workable-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Choose or connect your Workable account, then set up the Trigger by selecting your <strong>Account<\/strong> in Workable, the <strong>Job<\/strong> you&#8217;re hiring for and the stage as <strong>Hired<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12974\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/5.-trigger-setup1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>In terms of our example (as you can see above), this means whenever a candidate enters the &#8216;Hired&#8217; stage for the &#8216;Marketing Intern&#8217; job, Zapier will run the workflow in Process Street.<\/p>\n<p>Next, you want to test the Trigger to make sure the right account is selected in Workable and the Trigger was set up perfectly. A successful test would look like this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12967\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/6.-test-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>For the test to pull sample data into Zapier, you need to ensure you have a candidate for that job in the Interview stage as you set up while preparing your Workable account earlier.<\/p>\n<p>Once the test comes back successfully, <strong>set up the Action<\/strong> by choosing Process Street as the Action app. Next, select\u00a0<strong>Run Workflow.\u00a0<\/strong>This will make our Zap run a workflow in Process Street when the Trigger is detected.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12969\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/7.-action-setup3.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select or connect your Process Street account, then set up the Action by choosing the <strong>Employee Onboarding and Review<\/strong> workflow. Next, you want to map the fields from Workable to those in your workflow.<\/p>\n<p>For example, you can see below that we&#8217;ve mapped the Form Fields in the Workflow to the fields in the job application in Workable to store information like their first name, last name, email address, and so on.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12971\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/8.-map-fields3.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now, click <strong>Continue<\/strong> to test your Zap. A successful test should look something like in the image below. You can also preview the information here and verify if you have your data mapped correctly.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12972\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/9.-test-action1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>When your test returns successfully, you should also check the new run via your Reports dashboard in Process Street.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12973\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/10-run.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now, remember to give your Zap a name and turn it on.<\/p>\n<p>Congratulations, you&#8217;ve now automated your data transfer and workflow creation process!<\/p>\n<p>Zaps allow you to automate the busy work in your workflows, whether they&#8217;re HR-related or not.
