You can supercharge your hiring process by creating an integration between Process Street and Spark Hire. So for example, as soon as you create an interview for an open job in\u00a0Spark Hire, the integration could trigger a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow-run\/\">Workflow Run<\/a> in Process Street.<\/p>\n<h3>Use Cases:<\/h3>\n<ul>\n<li>A company wants to start the hiring and onboarding process as soon as an interview is created in Spark Hire<\/li>\n<li>To do this, they want their Hiring and Onboarding workflow in Process Street to run automatically when an interview is created for an open position in Spark Hire<\/li>\n<\/ul>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3 id=\"process-overview\">Process overview:<\/h3>\n<ul>\n<li>We will create a Zap in Zapier to run a new workflow in Process Street when an interview is created in Spark Hire<\/li>\n<\/ul>\n<p>Let\u2019s look at how you can do this.<\/p>\n<h2 id=\"how-to-run-a-process-street-workflow-from-asana\">Connecting Process Street with Spark Hire<\/h2>\n<p><a href=\"https:\/\/zapier.com\/\" target=\"_blank\" rel=\"noopener\">Zapier<\/a>\u00a0is an integration platform that connects over 2000 different apps. An action in any of the supported apps (like forwarding an email or adding an attachment to a task) can trigger another app\u2019s features automatically. Zapier integrates with both Spark Hire and Process Street. The whole &#8220;recipe&#8221; sequence (&#8220;if X happens, do Y&#8221;) is known as a Zap.<\/p>\n<p>In this article, we\u2019ll be walking you through how to set up a Zap that connects Spark Hire and Process Street.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow\u00a0<\/a>in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are the same as the data fields in Spark Hire. This will help you to map the relevant information from Spark Hire to Process Street.<\/p>\n<p>In this example, we are triggering the Hiring and Onboarding Workflow to run when an interview is created in Spark Hire. When a candidate takes this interview, their information is collected and stored in Spark Hire and will be pulled by the Zap for the integration. So we need to create relevant form fields in our workflow like the candidate&#8217;s first and last names, email addresses, and so on.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13204\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/1.-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in Spark Hire<\/h3>\n<p>Log into your Spark Hire account or <a href=\"https:\/\/www.sparkhire.com\/register\">create a new account<\/a>. Then click on <strong>Create new interview. <\/strong>Select the job and interview type then add your questions and save. This will generate an interview link for your candidates and will also act as a Trigger to create this Zap.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13220\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/2.-create-interview1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you have the new interview in the backend, it would trigger the Zap to run a workflow in Process Street.<\/p>\n<h3>3. Create a Zap to run the workflow in Process Street<\/h3>\n<p>Log into\u00a0<a href=\"https:\/\/zapier.com\/\">Zapier<\/a>\u00a0or\u00a0<a href=\"https:\/\/zapier.com\/sign-up\">create an account<\/a>, then click &#8220;<strong>Create Zap<\/strong>&#8220;. This will be your Zap to automatically run a new workflow when you create a new interview.<\/p>\n<p>Here, choose <b>Spark Hire<\/b> as the Trigger and <strong>Interview Created<\/strong>\u00a0as the Trigger Event.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13222\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/3.-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Choose or <a href=\"https:\/\/www.sparkhire.com\/settings\/user\/integrations\/zapier\">connect your Spark Hire account<\/a>, then set up the Trigger by selecting the <strong>Job<\/strong>\u00a0for which you created an Interview. If you want to set this Trigger for multiple job roles at once, you can select multiple jobs as well.<\/p>\n<p>In this instance, we&#8217;re only selecting one job, Finance Consultant.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13223\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/4.-select-job.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now, you want to test your Trigger to make sure you connected the right account and selected the right job. A successful test would look like this.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13224\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/5.-trigger-test.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Remember that for the test to pull sample data into Zapier, you would first have to create an interview for a selected job role as you set up while preparing your Spark Hire account earlier.<\/p>\n<p>Once the test comes back successfully, <strong>set up the Action<\/strong> by choosing Process Street as the Action app. Next, select\u00a0<strong>Run Workflow.\u00a0<\/strong>This will make our Zap run a workflow in Process Street when the Trigger is detected.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13225\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/6.-action.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select or <a href=\"https:\/\/app.process.st\/organizations\/manage\/integrations\">connect your Process Street account<\/a>, then set up the Action by choosing the <strong>Hiring and Onboarding\u00a0<\/strong>workflow. Next, you want to map the fields from Spark Hire to those in your workflow.<\/p>\n<p>For example, you can see below that we&#8217;ve mapped the Form Fields in the Workflow to the fields in the interview in Spark Hire to store information like their first name, last name, email address, and so on.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13226\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/7.-action-setup.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now, click <strong>Continue<\/strong> to test your Zap. A successful test should look something like in the image below. You can also preview the information here and verify if you have your data mapped correctly.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13227\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/8.-action-test.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>When your test returns successful, you can also locate the new run in your reports dashboard in Process Street.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13228\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/9.-run.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now, remember to give your Zap a name and turn it on.<\/p>\n<p>Congratulations, you&#8217;ve now automated your data transfer and workflow creation process!<\/p>\n<p>To continue this automation, you can create further integrations between Process Street and any HRMS tool of your choice to manage either your employee onboarding or to manage your employee database and HR activity.<\/p>\n<p>Zaps allow you to automate the busy work in your workflows, whether they&#8217;re HR-related or not.
