{"id":6402,"date":"2022-06-08T08:00:25","date_gmt":"2022-06-08T08:00:25","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/greenhouse\/"},"modified":"2025-07-28T11:40:56","modified_gmt":"2025-07-28T11:40:56","slug":"greenhouse","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/greenhouse\/","title":{"rendered":"Greenhouse + Process Street Integration"},"content":{"rendered":"<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13209\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Integrate-Greenhouse-04.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can integrate <a href=\"https:\/\/www.greenhouse.io\/\" target=\"_blank\" rel=\"noopener\">Greenhouse<\/a> with <a href=\"https:\/\/www.process.st\/\">Process Street<\/a> Process Street\u2019s <a href=\"https:\/\/www.process.st\/help\/docs\/automations\/\">Automations<\/a>.<\/p>\n<p>Greenhouse enables you to not only find and hire the right candidates but also manage the candidate pipeline from start to end.\u00a0However, you can supercharge your use of Greenhouse by integrating it with Process Street to automate your hiring and onboarding process.<\/p>\n<h3>Use Case:<\/h3>\n<ul>\n<li>A company wants to start the onboarding process as soon as a candidate is hired through Greenhouse<\/li>\n<li>To do this, they want their Employee Onboarding workflow in Process Street to automatically run when a new candidate is hired in Greenhouse<\/li>\n<\/ul>\n<p><em><strong>Users: In order to create this integration, you must be an Administrator or a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builder<\/a>\u00a0in Process Street and have &#8220;Can manage and configure webhooks&#8221; permission in Greenhouse.<\/strong><\/em><\/p>\n<h3 id=\"process-overview\">Process overview:<\/h3>\n<p>It&#8217;s important to <em><strong>follow these steps in order<\/strong> <\/em>to enable a successful connection between Process Street and Greenhouse.<\/p>\n<p>Also please note that you should not try to set this up concurrently in Process Street and Greenhouse, as your connection will not work correctly, take it one step at a time \ud83d\ude09<\/p>\n<ol>\n<li>Set up and publish your workflow in Process Street<\/li>\n<li>Set up and enable your Greenhouse automation in Process Street<\/li>\n<li>Configure user permissions in Greenhouse<\/li>\n<li>Create a webhook in Greenhouse<\/li>\n<li>Test your integration<\/li>\n<\/ol>\n<p>Let\u2019s look at how you can do this.<\/p>\n<h2 id=\"how-to-run-a-process-street-workflow-from-asana\">Connecting Process Street with Greenhouse<\/h2>\n<h3>1. Set up your workflow in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow<\/a> in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are the same as your data fields in Greenhouse. This will help you to map the relevant information from Greenhouse to Process Street.<\/p>\n<p>In this example, we are triggering the Employee Onboarding workflow to run when a new candidate is hired through Greenhouse.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13678\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-employee-details.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Their information is stored in Greenhouse via a form that the candidate has filled in while applying for the job. So, we need to create relevant form fields in our workflow to push that information through to Process Street. These form fields should include the candidate&#8217;s first and last names (short text fields), email addresses (email field), phone numbers (number field), and so on.<\/p>\n<p>This will mean that whoever is onboarding the candidate won&#8217;t have to look up their information in Greenhouse, but can instead see everything in Process Street.<\/p>\n<h3>2. Set up and enable your Greenhouse automation in Process Street<\/h3>\n<p>When viewing your workflow, click the <strong>+ <\/strong>button to open up the automations modal. Select <strong>Greenhouse<\/strong>, as shown below.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-13680\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhosue-setup.png\" alt=\"\" width=\"2830\" height=\"1415\" \/><\/p>\n<p>Next, select <strong>Run a workflow when<\/strong> as your trigger, select <strong>Greenhouse<\/strong> and you&#8217;ll see the action is automatically set to\u00a0 <strong>&#8230; a candidate is hired<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13681\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-auto-step-2.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click the <strong>candidate is hired<\/strong> field to continue in the automation setup wizard.<\/p>\n<p>Copy\/paste the URL and webhook secret into a separate note, or doc file as you&#8217;ll need them when you go to set up your webhook in Greenhouse.\u00a0<strong><em>Don&#8217;t add them to Greenhouse just yet as your connection won&#8217;t be set up correctly! Finish setting up your Process Street automation before opening Greenhouse.\u00a0<\/em><\/strong><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13683\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/URL-secret.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click <strong>Next<\/strong>, and map the fields from your Greenhouse candidate record to the form fields you&#8217;d like to populate in your Process Street workflow run.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13682\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-map-fields.png\" alt=\"\" width=\"100%\" \/><strong>Note:<\/strong> If you&#8217;ve created <em>custom fields<\/em> in Greenhouse, you can add these in manually in the mapping fields,\u00a0in lower case letters.<\/p>\n<ul>\n<li>For all <strong><em>candidate<\/em><\/strong> custom fields prefix your field with <em><strong>candidate.\u00a0<\/strong><\/em>e.g. <em><strong>candidate.home_address<\/strong><\/em><\/li>\n<li>For all <em><strong>job<\/strong><\/em> custom fields, prefix your field with <em><strong>job.<\/strong><\/em> e.g. <em><strong>job.office_location<\/strong><\/em><\/li>\n<li>For all <em><strong>offer<\/strong><\/em> custom fields, prefix your field with <em><strong>offer.<\/strong><\/em> e.g. <em><strong>offer.base_salary<\/strong><\/em><\/li>\n<li>When you&#8217;ve typed in your custom field name, click <strong>Set to (custom field name)<\/strong> or click\u00a0<strong>Enter<\/strong> to save it.<\/li>\n<\/ul>\n<p>When you&#8217;re done mapping fields, click <strong>Finish<\/strong> and turn on your automation.<\/p>\n<p><strong>Run Names:<\/strong> Workflow run names are automatically generated in this format: <strong>&lt;candidate name&gt; &#8211; &lt;position&gt; <\/strong>e.g. Santosh Patel &#8211; Full Stack Engineer.<\/p>\n<h3>3. Configure setup permissions in Greenhouse<\/h3>\n<p>To configure the Greenhouse Recruiting \/ Process Street integration, you\u2019ll need the permission <strong>Can manage and configure webhooks<\/strong>.<\/p>\n<p>To assign this permission, find a Greenhouse Recruiting user in your organization with Site Admin permission and the user-specific permission <strong>Can edit another user&#8217;s advanced permissions<\/strong> to update your account.<\/p>\n<p>Your Greenhouse site admin can update your permissions by navigating to your user page:\u00a0Select Configure icon &gt; Users &gt; Your Name.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13684\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-user-permissions.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>The Site Admin should scroll to the User-Specific Permissions panel on your user page and expand the Developer Permissions dropdown menu.<\/p>\n<p>Select <strong>Can manage and configure webhooks<\/strong> in the Developer Permissions section and click <strong>Save<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13685\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-permission.png\" alt=\"\" width=\"50%\" \/><\/p>\n<p>Repeat as necessary for any other user that needs to set up the integration.<\/p>\n<h3>4. Create a webhook in Greenhouse<\/h3>\n<p>Log into your Greenhouse account or <a href=\"https:\/\/app.greenhouse.io\">create a new account<\/a>.<\/p>\n<p>Click\u00a0the Configure icon (cog) in the upper right corner and select <strong>Dev Center<\/strong> on the left.<\/p>\n<p>Click <strong>Web Hooks<\/strong> on the Dev Center. Click <strong>Web Hooks<\/strong> again on the next page, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13686\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-create-webhook-scaled.gif\" alt=\"\" width=\"100%\" \/>Enter the following information on the next page to configure a new webhook:<\/p>\n<ul>\n<li><strong>Name:<\/strong> A descriptive name for your integration e.g. \u201c<strong>Process Street<\/strong>\u201d<\/li>\n<li><strong>When:<\/strong> The time that the event will be sent to Process Street. Select\u00a0<strong>Candidate has been hired<\/strong><\/li>\n<li><strong>Endpoint URL:<\/strong> The Endpoint URL that you saved in step 2 above<\/li>\n<li><strong>Secret Key:<\/strong> The Secret Key that you saved in step 2 above<\/li>\n<li><strong>Disabled:<\/strong> Make sure this is set to <strong>No<\/strong><\/li>\n<\/ul>\n<p>Optional: Add your email into the Error recipient email field, if you&#8217;d like to be notified of any errors.<\/p>\n<p>When you\u2019re finished, click <strong>Create Webhook<\/strong>.<\/p>\n<p><strong>Note:<\/strong> If you&#8217;ve created custom fields in Greenhouse, make sure that the name of the field and the immutable field key are exactly the same.<\/p>\n<h3>5. Test your integration<\/h3>\n<p>Now that your integration is set up you can test it out.<\/p>\n<p>In Greenhouse, click on <strong>All Candidates<\/strong> from the top of your screen.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13687\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-candidate-hired.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select a candidate who is ready to hire, click offer details and select <strong>Mark Candidate as Hired<\/strong>.<\/p>\n<p>Head back to Process Street and you&#8217;ll find your new workflow run with the candidate&#8217;s name and role as the run name, plus all the form field data populated in the fields you mapped earlier.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-13688\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Greenhouse-final-step.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>That&#8217;s it you&#8217;re all set!<\/p>\n<h3>Edit an automation<\/h3>\n<p>To be able to edit the fields you have mapped in your automation, or change the triggers or actions, you first need to turn off your automation using one of the toggle switches.<\/p>\n<h3>Delete an automation<\/h3>\n<p>To remove an automation from a workflow, you can delete it, but first, you will need to ensure that it has been switched off. Turn the toggle switch to the &#8220;off&#8221; position and then click the trashcan icon in the top right of your view to delete the automation.<\/p>\n<h3>Limitations<\/h3>\n<p>There are no filters, delays, or formulas built into automations. To be able to utilize these types of functions, you might want to consider using <a href=\"https:\/\/help.salesforce.com\/articleView?id=sf.customize_functions.htm&amp;type=5\">formulas and functions in<\/a>\u00a0a Zapier or Power Automate integration.<\/p>\n<h3>Request another app<\/h3>\n<p>If you would like to request that we add another app to our automations, you can do that from the help button in the bottom right corner of your screen. Click \u201cSuggestions\u201d and send us your request.<\/p>\n<h3>Troubleshooting<\/h3>\n<p>If your automation stopped running, isn&#8217;t working as expected, or is showing errors, there might be a few reasons for this. Please check the following:<\/p>\n<ul>\n<li>Do you have the permissions in Greenhosue to create integrations? You may need to check with your Greenhouse admin<\/li>\n<li>Did you turn the automation on once you set it up? Each automation has a separate &#8220;on\/off&#8221; toggle switch<\/li>\n<li>Did you edit your workflow, change or delete a form field that you were mapping in your automation? If you did, then this may cause your automation to stop running<\/li>\n<li>Did you edit your workflow but not save the changes? You need to have saved any edits to your workflow to have the latest version pull through to your automations<\/li>\n<li>Each time your automation runs you will see a record of success or failure, in your run logs<\/li>\n<\/ul>\n<p>If you find that you are unable to run an automation, this could be to do with your user permissions in Greenhouse. Please check with your Greenhouse admin to see if you have the correct permission level to allow you to run automations.<\/p>\n<h3>Run logs<\/h3>\n<p>You can check your automation run logs to see how your automations are running, or check for errors. You will find the automation run logs in two places, either when viewing a <strong>workflow<\/strong>\u00a0or on <strong>workflow runs<\/strong>.<\/p>\n<p>In your <strong>workflow<\/strong> on the automations tab, select an existing automation from the left side of your screen (highlighted in blue below). At the bottom of your page, you will see a list of all of the automation runs for that workflow. If your automation hasn&#8217;t run yet, you&#8217;ll see a message letting you know.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10322\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/SF.-run-logs.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>In a <strong>workflow run<\/strong>, in the upper right-hand corner of your task list, you\u2019ll see the lightning bolt icon<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-9446\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/lightning-bolt.png\" alt=\"\" width=\"15\" height=\"16\" \/>\u00a0Click the icon to see the run logs for that particular workflow run.<\/p>\n<p>If you have any errors, click the word &#8220;Error&#8221; to expand more information on why your automation didn&#8217;t run.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10323\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/SF-Run-Logs-workflow-run.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>The lightning bolt icon\u00a0will only show up on workflow runs that have automations configured on them. This is an automation&#8217;s idle state.<\/p>\n<p>When an automation is running, you\u2019ll see the bolt change to the\u00a0<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-9447\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/recycle-icon.png\" alt=\"\" width=\"17\" height=\"17\" \/> icon.<\/p>\n<p>Once the automation finishes running, you\u2019ll see either\u00a0<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-9448\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/tick-icon.png\" alt=\"\" width=\"19\" height=\"19\" \/> for success or\u00a0<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-9449\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/x-icon.png\" alt=\"\" width=\"18\" height=\"18\" \/>\u00a0for failure.
