All your data will be created in text format.<\/p>\n<p>If you&#8217;d like to rename your Data Set, click the <strong>settings cog<\/strong> in the left side of your view. You can use your tab and cursor keys to navigate the table.<\/p>\n<h2>Create a saved view<\/h2>\n<p>To be able to connect your Data Set to a Workflow, you&#8217;ll first need to create a saved view from it.<\/p>\n<p>By default, all new Data Sets have a view called <strong>All Data<\/strong>, which you can connect to a Workflow or a Form.<\/p>\n<p>However if you wish to only share part of your Data Set in a Workflow, you&#8217;ll want to filter, sort or hide some of the fields first.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-8418\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/New-saved-view.png\" alt=\"New data set saved view \" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/New-saved-view.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/New-saved-view-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/New-saved-view-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p>All saved views you create from this Data Set will show on the tabs at the top of your view.<\/p>\n<h2>Connecting a saved view to a Workflow<\/h2>\n<h3>New Workflows<\/h3>\n<p>If you&#8217;re <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\">building<\/a> a new Workflow, add a <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">dropdown form field<\/a> and click the three dots at the right of the form field, shown below.<\/p>\n<div style=\"position: relative; padding-bottom: 47.87234042553191%; height: 0;\"><iframe style=\"position: absolute; top: 0; left: 0; width: 100%; height: 100%;\" src=\"https:\/\/www.loom.com\/embed\/f330db1e81924c3381d17d34bd0a7718?sid=1ae8352f-7d90-4e0e-a3e9-cc33f53e102e\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/div>\n<p>Select the <strong>saved view<\/strong> you&#8217;d like to use and the <strong>field<\/strong> that will become the pick list in your Workflow runs, as shown above.<\/p>\n<p><strong>Note:<\/strong> If you have sensitive data in your Data Set that you don&#8217;t want to share, be sure to hide those columns first, before creating a saved view.<\/p>\n<p>Publish your Workflow and run it. Now you can select from the options in your dropdown that are connected to your saved view.<\/p>\n<p>In the video above, you can also see how to <a href=\"https:\/\/www.process.st\/help\/docs\/auto-fill-form-fields\/\">auto-fill form fields<\/a> using variables from your Data Set.<\/p>\n<h3>Existing Workflows and form fields<\/h3>\n<p>If you already have a Workflow with a dropdown in use, you can edit your Workflow and connect a saved view to it. This effectively overwrites the selections in your existing dropdown with new ones.<\/p>\n<p>If you publish changes to your Workflow and <em><strong>don&#8217;t update<\/strong><\/em> active Workflow runs, then nothing will change in these runs.<\/p>\n<p>If you <strong><em>do<\/em><\/strong> push changes to all active Workflow runs, any selections that were previously made in the dropdown will be retained. Anywhere there was no selection made, the dropdown will show the new list.<\/p>\n<p>Any new Workflow runs created will show the new options in your dropdown field.<\/p>\n<h3>Duplicating form fields<\/h3>\n<p>When you duplicate a form field with a saved view connected, the saved view will also be duplicated.\u00a0You can then <a href=\"https:\/\/www.process.st\/help\/move-form-fields-content-blocks\/\" target=\"_blank\" rel=\"noopener\">move this field to another task<\/a>.<\/p>\n<p>If you&#8217;d prefer to use another saved view for the duplicate, click the three dots and disconnect the original saved view, then connect a different one.<\/p>\n<h2>Sharing Data Sets<\/h2>\n<p>You can share Data Sets and Saved views with other <strong>Admins<\/strong> or <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builders<\/a> who are already part of your organization.<\/p>\n<p>Builders can be granted one of two permission levels shown below.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-8419\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/Share-a-Data-Set.png\" alt=\"Share a Data Set\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/Share-a-Data-Set.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/Share-a-Data-Set-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2022\/01\/Share-a-Data-Set-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<h2>Exporting Data Sets &amp; saved views<\/h2>\n<p>To the right of the share button (shown above) is the export button. You can export Data Sets and saved views to help integrate your data with other tools.<\/p>\n<p>Click the export button to export your Data Set or saved view as a CSV file.<\/p>\n<h2>Automating Workflow runs &amp; Data Sets<\/h2>\n<p>You can create <a href=\"https:\/\/www.process.st\/help\/docs\/process-street\/\">automations<\/a> to add, update or delete records in your Data Set with data collected in your Workflow runs.<\/p>\n<p>Choose <strong>when a task is complete<\/strong> in a Workflow run or <strong>when a Workflow run is complete<\/strong>.<\/p>\n<h2>Integrating Data Sets<\/h2>\n<p>You can also integrate Data Sets with other tools or apps by using <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">Webhooks<\/a>, our <a href=\"https:\/\/www.process.st\/help\/docs\/process-street-api\/\">API<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/zapier\/\">Zapier<\/a>.<\/p>\n<h2>See where your saved views are connected<\/h2>\n<p>If you have saved views connected to a Workflow, you&#8217;ll be able to see this from the purple icon in the top right of your view.<\/p>\n<p>Click this icon to see a list of Workflows that this view is connected to.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14599\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Workflow-connections-with-Data-Sets.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h2>Deleting a saved view<\/h2>\n<p>Click the saved view you&#8217;d like to delete and the click the <strong>three dots<\/strong> to see the option to delete it. You&#8217;ll be reminded here that your saved view is connected to a Workflow.<\/p>\n<p>You can disconnect any form fields that you may have connected before you delete your saved view. If you choose not to, the data can still be seen in active Workflow runs, in dropdown selectors, and as variables.<\/p>\n<h2>Deleting a Data Set<\/h2>\n<p>If you choose to delete a Data Set, all the saved views created from it will also be deleted.<\/p>\n<p>Click the <strong>settings cog<\/strong> on the the side of your view and click delete. Variables that used the previously connected saved view will need to be removed or re-added.<\/p>\n<p>Data selected or used as variables in any completed or archived Workflow runs will be retained.<\/p>\n<p><em><strong>Can I use dropdowns that are connected to Data Sets in run links, with the API or with Zapier?<\/strong><\/em><\/p>\n<p>Not at the moment but we&#8217;ll be looking at updating this as soon as we can.<\/p>\n<p><em><strong>The dropdown selector doesn&#8217;t load in Slack<\/strong><\/em><\/p>\n<p>The <a href=\"https:\/\/www.process.st\/help\/docs\/slack-app\/\" target=\"_blank\" rel=\"noopener\">Slack App<\/a> is not supported in the Beta version. Open the Workflow run in a browser to use the dropdown selector.<\/p>\n<p><em><strong>I don&#8217;t see all the selections in my dropdown when editing a Workflow<\/strong><\/em><\/p>\n<p>When editing a Workflow, the dropdown list is in preview mode so you&#8217;ll only see the first three line items.
