You can integrate\u00a0Insightly with <a href=\"https:\/\/www.process.st\/\">Process Street<\/a>\u00a0to make your <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflows<\/a> super powerful and automate your work via <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">Webhooks<\/a> or Zapier.<\/p>\n<h2>Connect Insightly with Process Street via Webhook<\/h2>\n<p>A Webhook integration\u00a0can bring information from\u00a0Insightly\u00a0that would trigger a new <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">workflow run<\/a> in your Process Street account.\u00a0<em>Webhooks are\u00a0automated messages or payloads sent from apps as a trigger to cause an action in a receiving app.<\/em><\/p>\n<p>In this example, we will create a Webhook that runs the Customer Onboarding workflow when a new opportunity is closed as won in\u00a0Insightly.<\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Customer Onboarding workflow in Process Street<\/li>\n<li>We will create a few opportunities in our\u00a0Insightly\u00a0organization. When a new opportunity is closed as won, this will act as our trigger<\/li>\n<li>We will create a webhook that listens for our desired trigger in\u00a0Insightly\u00a0and runs the Customer\u00a0Onboarding\u00a0workflow in Process Street<\/li>\n<\/ul>\n<p>Now, let\u2019s jump into the integration.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow\u00a0<\/a>in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are relevant to the data fields in\u00a0Insightly. This will help you to map the relevant information from\u00a0Insightly\u00a0to Process Street.<\/p>\n<p>This information is stored in\u00a0Insightly\u00a0when a new opportunity\u00a0is created. So, we need to create relevant form fields in our workflow to push that information through to Process Street.\u00a0For our example, these form fields should include the deal name, contact name (short text fields), ARR (number field), contact email (email field), and so on.<\/p>\n<p>This will mean that whoever is onboarding the new customer won&#8217;t have to look up that information in\u00a0Insightly, but can instead see all the details in Process Street.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14455\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/insightly-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in Insightly<\/h3>\n<p>Log into your\u00a0Insightly\u00a0account or <a href=\"https:\/\/login.insightly.com\/User\/Login?ReturnUrl=%2F\">create a new account<\/a>. Since we want to trigger a new run in Process Street when an opportunity is closed, we will be working in our opportunity dashboard in\u00a0Insightly. If you already have any existing opportunities, you can work with those to create the webhook.<\/p>\n<p>To create a new opportunity, click <b>New Opportunity <\/b>in the top right corner. In the pop-up, fill in all the details then <strong>Save<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14456\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/opp-create.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you would like to add any additional fields in the opportunity details, you can create <a href=\"https:\/\/support.insight.ly\/en-US\/Knowledge\/article\/1328\/How_to_create_a_custom_field\/\">custom fields<\/a>. To do this, click on your <strong>profile icon<\/strong> in the top right corner &gt; <strong>System Settings<\/strong> &gt; <strong>Objects and Fields<\/strong> in the left panel. Here, click on <strong>Opportunity<\/strong> &gt; <strong>Object Fields<\/strong> in the left panel.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14457\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/custom-fields.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> You want to ensure that the form fields you have in your workflow match the fields you have in Insightly.<\/p>\n<h3>3. Create a Webhook trigger to run your workflow in Process Street<\/h3>\n<p>To get the webhook URL from Process Street, when you&#8217;re editing your workflow, click the <strong>+ icon<\/strong> above your task list on the left. Here, you can look for\u00a0<strong>Insightly<\/strong>\u00a0as a Trigger to Run this workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14458\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/search-webhook.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can name your webhook as the app name or any phrase that helps you identify the Trigger. Then copy your Webhook URL.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14459\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/name-webhook.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Set up the Webhook Trigger in Insightly<\/h3>\n<p>You first need to set up a workflow automation then create a criteria and an action event triggered by the criteria. To do this, click on your <strong>profile icon<\/strong> in the top right corner &gt; <strong>System Settings<\/strong> &gt; <strong>Workflow Automation<\/strong> in the left panel. Then click on <strong>New Workflow Process<\/strong> in the top-right corner.<\/p>\n<p>Here, fill in the details as shown below and click <strong>Save<\/strong>. For our use case, we have selected the Record type as <strong>Opportunity<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14460\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Create-workflow-automation.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Next, click on <strong>Add Criteria<\/strong>, give it a name and <strong>Add a Filter Row<\/strong>, then click <strong>Save<\/strong>. For our use case, we have added the filter as <strong>Current State<\/strong> contains <strong>Won<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14461\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/create-criteria.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Lastly, click on <strong>Actions<\/strong> and select <strong>Add New Webhook<\/strong>. Here, paste the URL you copied from Process Street, give the webhook a name, and click <strong>Save<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14462\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Create-action.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em>If you&#8217;re looking for more help on how to set up your webhook in\u00a0Insightly, you can refer to their <a href=\"https:\/\/support.insight.ly\/en-US\/Knowledge\/article\/1509\">help doc<\/a> here.<\/em><\/p>\n<h3>5. Finish the setup in Process Street<\/h3>\n<p>Now come back to Process Street and test your trigger. Your payload should return as a success but if it doesn&#8217;t, you might want to go back to\u00a0Insightly\u00a0and close an opportunity as won.<\/p>\n<p>When your test returns successful, you can proceed to map your fields from your opportunity details to your Process Street form fields.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14463\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/insightly-field-mapping.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> If you have added any custom fields in your opportunity details, while mapping them in Process Street, you want to select <strong>Entity \/ CustomFields \/ x \/ Field Value<\/strong> to bring that data over.<\/p>\n<p>Lastly, turn your webhook <strong>On<\/strong> and <strong>Save<\/strong> it.
