{"id":6763,"date":"2024-07-05T08:00:56","date_gmt":"2024-07-05T08:00:56","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/workflow-run-due-dates\/"},"modified":"2026-08-12T05:55:40","modified_gmt":"2026-08-12T05:55:40","slug":"workflow-run-due-dates","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/workflow-run-due-dates\/","title":{"rendered":"Workflow Run Due Dates"},"content":{"rendered":"<p>You can set due dates on <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow-run\/\">workflow runs<\/a> to make sure that your whole process is completed on schedule.<\/p>\n<p>You have two options for setting workflow run due dates. You can either set a date on active workflow runs or set \u201c<i data-stringify-type=\"italic\">Dynamic due dates<\/i>\u201d which can be anchored to other tasks or date fields within your workflow run, or the workflow run start date.<\/p>\n<p><em><strong>Users: Admins and <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builders<\/a> can set task due dates on active workflow runs.\u00a0<\/strong><\/em><strong><em><i>To add dynamic due dates to workflows, you must be an Administrator or a Builder who has been given <\/i><a href=\"https:\/\/www.process.st\/help\/docs\/permissions\/\"><i>\u2018edit\u2019<\/i><\/a><i>\u00a0access by your Administrator.<\/i><\/em><\/strong><\/p>\n<h2>Workflow run dynamic due dates<\/h2>\n<p>To have due dates automatically set every time you run a workflow, or based on a date field that you have added to your workflow, you can add <a href=\"https:\/\/www.process.st\/help\/docs\/dynamic-due-dates\/\">dynamic due dates<\/a> to your workflow runs.<\/p>\n<p>Navigate to your\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">Library,<\/a>\u00a0click the <strong>three dots<\/strong> next to your workflow&#8217;s name, and select <strong>Edit<\/strong>.<\/p>\n<p>First, add a <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">date form field<\/a> into your workflow as the anchor point of your dynamic due date, if you haven&#8217;t already. Alternatively, you can base your workflow run due date to be after a task is completed or the workflow is run.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8280\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-settings.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-settings.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-settings-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-settings-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p>To set a default dynamic due date for your workflow run, click the <strong>workflow settings cog<\/strong> in the top right corner and click <strong>Select Due Date<\/strong>. Then use the date picker to set the date and time.<\/p>\n<p>The difference when setting <em>dynamic<\/em> due dates (compared to regular workflow run due dates) is that you have a few more options to choose from:<\/p>\n<p>Start by selecting the <strong>time period. <\/strong>&#8220;This task will be due:&#8221; in # months, # days, # hours, or # minutes.<\/p>\n<p>Next, select <strong>after \/ before<\/strong> and then choose your rule, which is what the dynamic due date will work from, or be anchored to (such as the date field you added earlier).<\/p>\n<p>When you click<strong> Choose rule<\/strong>, you will be prompted to choose from the workflow run start date, when a task is checked, or from any date <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">form fields<\/a> that you have in your workflow, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8281\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/set-dynamic-due-date.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>For example, you could set the workflow run to be due 1 day and 2 hours after the first task is completed.<\/p>\n<p>To control how due dates interact with weekends, use the <strong>Business Days Handling<\/strong> dropdown below the date picker. Three options are available:<\/p>\n<ul>\n<li><strong>All Days<\/strong> \u2014 due dates can fall on any day, including weekends.<\/li>\n<li><strong>Shift to Next Business Day<\/strong> \u2014 if a calculated due date lands on a weekend, it moves to the following Monday. This is the default.<\/li>\n<li><strong>Business Days Only<\/strong> \u2014 only business days (Monday\u2013Friday) count toward the time period. Weekends are skipped entirely when calculating the due date.<\/li>\n<\/ul>\n<p>For example, if you select <strong>Shift to Next Business Day<\/strong> and a due date falls on a Saturday, it automatically moves to Monday. If you select <strong>Business Days Only<\/strong> and set a due date of 2 days after a task completed on Thursday, the due date lands on Monday (skipping Saturday and Sunday).<\/p>\n<p>Once you&#8217;ve set the due date, click &#8220;<strong>Save<\/strong>&#8221; to confirm, then &#8220;<strong>Publish<\/strong>&#8221; your workflow.<\/p>\n<h2>Workflow run due dates on active workflow runs<\/h2>\n<p>To set a due date on an active <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-checklist\/\">workflow run<\/a>, first expand the right-hand menu. Then scroll to the bottom and click <strong>Set due date<\/strong>. Use the date picker to select the date and time (setting the time is optional) then click &#8220;<strong>Save<\/strong>&#8221; to finish.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8283\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-run-set-due-date.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note<\/strong>: Setting the default workflow run dynamic due date also sets the due date on active runs if they don&#8217;t have one, once you update the run to the latest version. However, if your active runs already have a due date, setting the default workflow run due date will not override the existing due date.<\/p>\n<h2>Viewing due dates<\/h2>\n<p>When you run a workflow, you can see the default run due date in the run modal.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8284\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-run-due-date.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-run-due-date.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-run-due-date-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/workflow-run-due-date-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p>In an active workflow run, you can see the run due date in the right-hand menu.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8285\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/active-run-due-date.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/active-run-due-date.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/active-run-due-date-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/active-run-due-date-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<h2>Changing due dates<\/h2>\n<p>To change the due date in an active workflow run, open it up and expand the right-hand menu. Then click <strong>Set due date<\/strong> or an existing due date and select a new date and time. Click &#8220;<strong>Save<\/strong>&#8221; to finish.<\/p>\n<p>You can also override a <em>dynamic due date<\/em> in a workflow run, as shown below. If you do override, this will break the dynamic link that you built in your workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8286\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/run-override-due-date.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>For any <a href=\"https:\/\/www.process.st\/help\/docs\/zapier\/\">automations<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/dynamic-due-dates\/\">dynamic due dates<\/a> where you <em>haven&#8217;t<\/em> set a time, the <strong>default time will always be 8 am PT<\/strong>.<\/p>\n<p>You can also change the due dates for your workflow runs from <a href=\"https:\/\/www.process.st\/help\/docs\/inbox\/\">My Work<\/a>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8287\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2023\/04\/run-change-due-date-my-work.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Find the workflow run in My Work and click the due date next to it, to reschedule it. You can also <a href=\"https:\/\/www.process.st\/help\/docs\/my-work\/#snooze\">snooze<\/a> the workflow run for a later time, until you&#8217;re ready to work on it.<\/p>\n<h2>Removing due dates<\/h2>\n<p>To remove due date from an active workflow run, open it up and expand the right-hand menu. Then click <strong>Set due date<\/strong> or an existing due date and click <strong>Remove<\/strong>.<\/p>\n<p>To remove the default dynamic due date from a workflow, head to your workflow editor and click the <strong>workflow settings cog<\/strong> in the top right corner. Then click on the existing due date and click <strong>Remove<\/strong>. Save changes and <strong>Publish<\/strong> your workflow.<\/p>\n<h2>Workflow run due dates on scheduled workflow runs<\/h2>\n<p>When scheduling workflows, if you specify a <a href=\"https:\/\/www.process.st\/help\/docs\/scheduled-workflow-runs\/#due-after\">Due After date<\/a>, it will take override the default <em>Workflow Run Due Date<\/em> that you may have set for that particular workflow.<\/p>\n<p>However, without a specified Due After date in a scheduled workflow, the default <em>Workflow Run Due Date<\/em> applies automatically.<\/p>\n<h2>What happens when a workflow run is due?<\/h2>\n<p>Anyone assigned to that workflow run will receive an <a href=\"https:\/\/www.process.st\/help\/docs\/email-notifications\/\">email notification<\/a>\u00a0(or a <a href=\"https:\/\/www.process.st\/help\/docs\/slack-app\/\">Slack<\/a>\/<a href=\"https:\/\/www.process.st\/help\/docs\/microsoft-teams-app\/\">Teams<\/a> notification) that the task is due. There will be a link in the email that they can click to take them directly to the workflow run in question.<\/p>\n<p>It will also get pushed to the top of your (or the user assigned to the run&#8217;s) <a href=\"https:\/\/www.process.st\/help\/docs\/inbox\/\">My Work<\/a>\u00a0and marked as overdue so that you (or they) know it&#8217;s a priority.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>You can set due dates on workflow runs to make sure that your whole process is completed on schedule.
