{"id":6808,"date":"2023-05-25T12:09:44","date_gmt":"2023-05-25T12:09:44","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/linked-dropdowns\/"},"modified":"2026-05-15T06:25:00","modified_gmt":"2026-05-15T06:25:00","slug":"linked-dropdowns","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/linked-dropdowns\/","title":{"rendered":"Data Sets: Linked Dropdowns in Workflows"},"content":{"rendered":"<p>Linked Dropdowns are <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/#dropdown-field\">dropdown form fields<\/a> that you have connected with a <a href=\"https:\/\/www.process.st\/help\/docs\/data-sets\/\">Data Set<\/a>.<\/p>\n<p>After creating a Data Set, you can connect it to a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">Workflow<\/a> making that data available as dropdown selection options in that workflow\u2019s runs.<\/p>\n<p>To connect a Data Set to a workflow, you first need to create a saved view of your Data Set.<\/p>\n<h2>Create a saved view of your Data Set<\/h2>\n<p>To create a saved view, first set the filters and fields you would like to display. This determines what data is shown in your Linked Dropdown. Next, click the button <strong>Create a Saved View<\/strong> and give it a name.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14594\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Created-a-saved-view.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> If you have sensitive data in your Data Set, be sure to hide those columns first, before creating a saved view.<\/p>\n<h2>Creating a Linked Dropdown<\/h2>\n<h3>New Workflows<\/h3>\n<p>If you\u2019re <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\">building<\/a> a new Workflow, add a <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">dropdown form field<\/a> and click the three dots at the right of the form field, shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14596\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Connect-a-dropdown-to-a-data-set.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select the <strong>saved view<\/strong> you\u2019d like to use and the <strong>field<\/strong> that will become the pick list in your Workflow runs, as shown above.<\/p>\n<p><a href=\"https:\/\/www.process.st\/help\/publish-and-run\/\">Publish and Run<\/a> your workflow. Now you can select from the options in your dropdown that are connected to your saved view.<\/p>\n<h3>Existing Workflows and form fields<\/h3>\n<p>If you already have a workflow with a dropdown in use, you can edit your workflow and connect a saved view to it. This effectively overwrites the selections in your existing dropdown with new ones.<\/p>\n<p>If you publish changes to your workflow and <strong><em>don\u2019t update<\/em><\/strong> active workflow runs, then nothing will change in the existing runs.<\/p>\n<p>If you <strong><em>do<\/em><\/strong> push changes to all active workflow runs, any selections that were previously made in the dropdown will be retained. Anywhere there was no selection made, the dropdown will show the new list.<\/p>\n<p>Any new workflow runs created will show the new options in your dropdown field.<\/p>\n<h3>Duplicating Linked Dropdowns<\/h3>\n<p>When you duplicate a Linked Dropdown, the saved view will also be duplicated. You can then <a href=\"https:\/\/www.process.st\/help\/move-form-fields-content-blocks\/\" target=\"_blank\" rel=\"noopener\">move this field to another task<\/a>.<\/p>\n<p>If you\u2019d prefer to use another saved view for the duplicate, click the three dots and disconnect the original saved view, then connect a different one.<\/p>\n<h2>Using Data Sets as variables<\/h2>\n<p>Once you\u2019ve created a Linked Dropdown, all of the fields in that saved view can be used as <a href=\"https:\/\/www.process.st\/help\/docs\/variables\/\">variables<\/a>.<\/p>\n<p>In the variables menu, you can identify which ones you need from the headings for global, workflow and Data Sets variables, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14597\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Using-saved-view-variables-scaled.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can also use Data Set variables to <a href=\"https:\/\/www.process.st\/help\/docs\/auto-fill-form-fields\/\">auto-fill form fields<\/a>. For example, when you make a selection in a dropdown, form fields that you\u2019ve connected with Data Set variables will be filled with information from that Data Set.<\/p>\n<h2>Populate a linked dropdown via automation<\/h2>\n<p>In addition to selecting values manually, you can populate a linked dropdown programmatically. This works through the Process Street API, third-party integration tools, run links, run multiple via CSV, incoming webhooks, and native automations.<\/p>\n<p>When you populate a linked dropdown through any of these methods, it behaves the same as a manual selection \u2014 conditional logic and variables fire as expected.<\/p>\n<h3>Text value vs. Record ID<\/h3>\n<p>You can identify the dropdown selection in two ways:<\/p>\n<ul>\n<li><strong>Text value<\/strong> \u2014 Pass the display text of the option (for example, <code>Bananas<\/code>). This is the simplest approach when each option has a unique name.<\/li>\n<li><strong>Record ID<\/strong> \u2014 Pass the unique identifier for the Data Set record. Use this when multiple records might share the same display value (for example, two people with the same last name).<\/li>\n<\/ul>\n<p><strong>Pro tip:<\/strong> To copy a Record ID, open your Data Set and click the <strong>Record ID<\/strong> button on any row. This copies the ID to your clipboard without needing to extract it from a URL.<\/p>\n<h3>Supported methods<\/h3>\n<p>The following methods support populating linked dropdowns with either a text value or a Record ID:<\/p>\n<ul>\n<li><strong>API<\/strong> \u2014 Set the linked dropdown field value when creating or updating a <a href=\"https:\/\/www.process.st\/help\/docs\/workflow-run-link\/\">workflow run<\/a> through the Process Street API.<\/li>\n<li><strong>Run links<\/strong> \u2014 Include the linked dropdown value as a parameter in a <a href=\"https:\/\/www.process.st\/help\/docs\/workflow-run-link\/\">workflow run link<\/a>. The dropdown is pre-populated when the run starts.<\/li>\n<li><strong>Run multiple via CSV<\/strong> \u2014 Include a column in your CSV file that maps to the linked dropdown field. Each row populates the dropdown for that workflow run.<\/li>\n<li><strong>Incoming webhooks<\/strong> \u2014 Pass the value in the webhook payload when using a <a href=\"https:\/\/www.process.st\/help\/docs\/webhook-triggers\/\">webhook trigger<\/a> to start a workflow run.<\/li>\n<li><strong>Native automations<\/strong> \u2014 Use <a href=\"https:\/\/www.process.st\/help\/docs\/automations\/\">workflow automations<\/a> built in the Process Street editor to push a value from one workflow into a linked dropdown in another.<\/li>\n<li><strong>Zapier, Make, and Power Automate<\/strong> \u2014 Map the linked dropdown field in your integration and pass either the text value or Record ID. Refer to the <a href=\"https:\/\/www.process.st\/help\/docs\/integration-links\/\">integration links<\/a> documentation for setup details.<\/li>\n<li><strong>Slack<\/strong> \u2014 Trigger a workflow run from Slack and include the linked dropdown value in the trigger payload.<\/li>\n<\/ul>\n<h3>What happens after a value is set<\/h3>\n<p>Once a linked dropdown is populated through any automation method:<\/p>\n<ul>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/conditional-logic\/\">Conditional logic<\/a> that depends on the dropdown selection fires automatically.<\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/variables\/\">Variables<\/a> referencing the linked dropdown or its related Data Set fields resolve with the correct values.<\/li>\n<li>Any <a href=\"https:\/\/www.process.st\/help\/docs\/auto-fill-form-fields\/\">auto-filled form fields<\/a> connected to the Data Set update accordingly.<\/li>\n<\/ul>\n<h2>Filter a dropdown by another form field<\/h2>\n<p>You can filter a data set-connected dropdown based on the value of another form field. This creates a pick-on-pick behavior \u2014 for example, selecting a country in one dropdown and seeing only that country\u2019s states in the next.<\/p>\n<h3>Prerequisites<\/h3>\n<p>To set up filtered linked dropdowns, you need:<\/p>\n<ul>\n<li>Two Data Sets \u2014 one for each dropdown (for example, a Countries data set and a States data set)<\/li>\n<li>A shared column between the two data sets that links them (for example, the country name appears in both)<\/li>\n<\/ul>\n<h3>Set up the first dropdown<\/h3>\n<ol>\n<li>Add a <strong>dropdown<\/strong> form field to your workflow (for example, \u201cCountry\u201d).<\/li>\n<li>Click the <strong>three dots<\/strong> on the right of the dropdown and select <strong>Connect Data Set<\/strong>.<\/li>\n<li>Choose your first data set (for example, Countries) and select the column to display (for example, country name).<\/li>\n<\/ol>\n<h3>Set up the filtered dropdown<\/h3>\n<ol>\n<li>Add a second <strong>dropdown<\/strong> form field to your workflow (for example, \u201cState\u201d).<\/li>\n<li>Click the <strong>three dots<\/strong> on the right of the dropdown and select <strong>Connect Data Set<\/strong>.<\/li>\n<li>Choose your second data set (for example, States) and select the column to display (for example, state name).<\/li>\n<li>In the <strong>Filter<\/strong> section, select the column to filter by (for example, country name in the States data set).<\/li>\n<li>Set the filter to use the value from the first dropdown form field (for example, the Country field).<\/li>\n<\/ol>\n<p>Publish your workflow and run it. When you select a value in the first dropdown, the second dropdown automatically shows only the matching options.<\/p>\n<h3>Supported form field types<\/h3>\n<p>The filter can match against values from these form field types:<\/p>\n<ul>\n<li>Text<\/li>\n<li>Long Text<\/li>\n<li>Dropdown<\/li>\n<li>Dates<\/li>\n<li>Numbers<\/li>\n<li>Hidden fields<\/li>\n<li>URL<\/li>\n<li>Email<\/li>\n<\/ul>\n<p>Learn more about <a href=\"https:\/\/www.process.st\/help\/docs\/data-sets\/\">Data Sets<\/a> and <a href=\"https:\/\/www.process.st\/help\/docs\/automations\/\">workflow automations<\/a>.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Linked Dropdowns are dropdown form fields that you have connected with a Data Set.
