You can create them as one-off tasks or attach them to active workflow runs to ensure nothing gets missed.<\/p>\n<p><b><i>Users: To create and edit Tasks, you must be an Administrator, a Builder, or a User.<\/i><\/b><\/p>\n<p><strong>You can create tasks for:<\/strong><\/p>\n<ul>\n<li>Personal to-do lists that don&#8217;t relate to any workflow runs<\/li>\n<li>Assign your colleagues to complete tasks by a given deadline<\/li>\n<li>Attach tasks to workflow runs as ad-hoc pieces of work that need to be completed alongside that process<\/li>\n<\/ul>\n<h2>Creating a task<\/h2>\n<p>To create a task, click the <strong>+New<\/strong> button and select <strong>Task<\/strong>.<\/p>\n<p>While creating a task, you can give it a due date, and add subtasks and attachments. To add additional context or instructions to your tasks, you can add a description in rich text or with hyperlinks.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8032\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-create.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can find all your tasks in <a href=\"https:\/\/www.process.st\/help\/docs\/my-work\/\">My Work<\/a>. As you work through your list in My Work, if you want to create a new task, click the <strong>+Tasks<\/strong> button in the top right corner to create a new task, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8033\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-my-work.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> You can also <a href=\"https:\/\/www.process.st\/help\/docs\/create-tasks-via-email\/\">create tasks via email<\/a> by clicking the mail icon next to the <strong>+ Task<\/strong> button in <strong>My Work<\/strong>.<\/p>\n<h2>Attached tasks<\/h2>\n<p>Tasks can be attached to active <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow-run\/\">workflow runs<\/a>, as ad-hoc tasks, making it a part of a process.<\/p>\n<p>All the active and completed tasks attached to a workflow run will show below the task list on the left. They will also be shown in the <a href=\"https:\/\/www.process.st\/help\/docs\/exporting-workflow-runs\/\">print and PDF versions<\/a> of the workflow run.<\/p>\n<h3>Creating attached tasks<\/h3>\n<p>To attach a task to a workflow run, go to the workflow run and click the <strong>+ button<\/strong> next to Tasks Attached below your task list on the left, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8034\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-attached-1.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Tasks created within a workflow run are automatically attached to that workflow run.<\/p>\n<p><em><strong>Note<\/strong>: Anybody with viewing access to a workflow run can view its attached tasks and create new ones.<\/em><\/p>\n<p>While you work through your list in My Work, you can create a task and attach it to a workflow run from there as well.<\/p>\n<p>Click the <strong>+Tasks<\/strong> button in the top right corner of your screen. As you create this task, choose to link it to a workflow run. Select the workflow then select an active workflow run to which you want to attach this task, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8031\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/mw-create-task.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>To ensure that an attached task is completed before your workflow run can be completed, mark it as required.<\/p>\n<h3>Editing and deleting tasks<\/h3>\n<p>Once you&#8217;ve created a task, you can edit it to add more details or add an attachment. You can also assign it to someone or change its due date.<\/p>\n<p>To edit a task, expand it and click the edit icon in the top right corner of the task. Make changes then click update, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8035\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-edit-delete-1.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>To delete a task, expand it and click the three dots next to the task due date, as shown above.<\/p>\n<p>If you have assigned a task to another user, deleting it will remove the task from the assignee&#8217;s My Work as well.<\/p>\n<p>When you have a task attached to a workflow run and you archive or delete the workflow run, the attached task will remain in My Work.<\/p>\n<p><em><strong>Note<\/strong>: Only Admins and the task creator can delete a task.<\/em><\/p>\n<h3>Assigning and completing a task<\/h3>\n<p>When you create a task, it is assigned to you by default. You can assign tasks to other colleagues or groups. However, if an assignee removes themself from the task, it goes back to being assigned to the task creator.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8036\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-assignee.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em><strong>Note:<\/strong> Anyone who can edit a task (Admins, the task creator, or non-Guest assignees) can also reassign it.<\/em><\/p>\n<p>To complete a task, locate it in My Work or in a workflow run and mark it complete.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8037\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-complete.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>When you have tasks attached to a workflow run, completing the run will not automatically complete its attached tasks. If you need to complete an attached task after completing a workflow run, you will have to reactivate the workflow run, as shown above.<\/p>\n<p><em><strong>Note<\/strong>: Only Admins and task assignees (direct or via group membership) can complete a task. If the task creator unassigns themselves, they can no longer complete it.<\/em><\/p>\n<h3>Commenting on Tasks<\/h3>\n<p>You can add <a href=\"https:\/\/www.process.st\/help\/docs\/comments\/\">comments<\/a> and attachments to your tasks, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8038\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-comments-1.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em><strong>Note<\/strong>: Attachments support a file size limit of up to 250 MB<\/em><\/p>\n<p>To find all the comments on your tasks, click the Comments bubble in the top right corner, next to your profile picture.<\/p>\n<h3>Viewing tasks in My Work<\/h3>\n<p>When you&#8217;re going through your tasks in My Work, you can filter your view by Tasks. This shows all the tasks and attached tasks assigned to you.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8039\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-my-work.png\" sizes=\"(max-width: 1024px) 100vw, 1024px\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-my-work.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-my-work-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/tasks-my-work-768x384.png 768w\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Viewing completed items<\/h3>\n<p>You can also view your own, or a colleague&#8217;s completed items in My Work.<\/p>\n<p>Remove grouping by due date, then click the toggle to view completed one-off tasks, Workflow run tasks, Approvals and completed workflow runs.<\/p>\n<h3>Notifications for completed one-off tasks<\/h3>\n<p>When an assignee completes a one-off task, the task creator receives an instant email notification. This helps you stay informed about task progress without needing to check manually.<\/p>\n<p><strong>Note:<\/strong> Completion notifications apply to one-off tasks only, not workflow run tasks. You won&#8217;t receive a notification if you complete a task that you created.
