That&#8217;s when by using <a href=\"https:\/\/zapier.com\/\">Zapier<\/a>, you can complete tasks in your Process Street <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow-run\/\">workflow runs<\/a> when you complete them in Monday<\/span><span style=\"font-weight: 400;\">, without duplicating your efforts.\u00a0<\/span><\/p>\n<p><b><i>Users: To sync tasks, you must be an Admin or a Builder with permission to Edit workflows.<\/i><\/b><\/p>\n<p><span style=\"font-weight: 400;\">For example, by syncing your Process Street tasks, you can automatically update them when you:<\/span><\/p>\n<ul>\n<li>Update a database item in Notion<\/li>\n<li>Complete a task in Asana<\/li>\n<li>Change column values in Monday<\/li>\n<li>Update an issue in Jira<\/li>\n<\/ul>\n<h3>Preparations in Process Street<\/h3>\n<p>In order to sync your tasks, you first need to create a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflow<\/a>. To do this, go to your Process Street <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">library<\/a> or go into a folder and click the <strong>+ New button<\/strong> in the top right corner. Select <strong>Workflow<\/strong> and click <strong>Start a Blank Workflow<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7652\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/sync-tasks-create-workflow.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Give your workflow a name and add tasks to the left. If this is your first workflow, follow the detailed steps <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\">here<\/a> to create your workflow.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-7653\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/sync-tasks-create-workflow.png\" alt=\"\" width=\"1024\" height=\"512\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/sync-tasks-create-workflow.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/sync-tasks-create-workflow-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/sync-tasks-create-workflow-768x384.png 768w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p>If you have an existing workflow that you want to work with, you can do that too.<\/p>\n<h3>Preparations in Monday<\/h3>\n<p>For this example, we&#8217;re working with <a href=\"https:\/\/monday.com\/\">monday.com<\/a>.<\/p>\n<p>Log in to your Monday account or <a href=\"https:\/\/auth.monday.com\/users\/sign_up_new?origin=hp_fullbg_page_header\">create one<\/a>. Click the <strong>+ button<\/strong> in the left panel to add a new item to your workspace and select <strong>New board<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-17709\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/monday-new-board.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Give your new board a name and manage your tasks, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-17710\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/monday-board.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Create a zap<\/h3>\n<p>To sync your tasks between Process Street and Monday, you need to create a zap that will automatically complete tasks in your Process Street workflow runs when you update tasks in Monday.<\/p>\n<p>Log in to your Zapier account or <a href=\"https:\/\/zapier.com\/sign-up\">create a new one<\/a>. Click the <strong>+ Create button<\/strong> and click <strong>Create zap<\/strong>.<\/p>\n<p>Select the <strong>Trigger<\/strong> as <strong>Monday<\/strong> or the app you&#8217;re working with and select the <strong>Action<\/strong> as <strong>Process Street<\/strong>, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-17711\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/create-zap.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h4>Setting up the Trigger<\/h4>\n<p>Once you&#8217;ve selected Monday as your Trigger, select the <strong>Event<\/strong> as <strong>Specific Column Value Changed in Board<\/strong>. You can also go through the rest of the options and select what suits you best.<\/p>\n<p>Proceed to connect your monday.com account using an API token. You can learn how to do that <a href=\"https:\/\/support.monday.com\/hc\/en-us\/articles\/115005934989-How-to-create-an-integration-using-Zapier\">here<\/a>.<\/p>\n<p>Then select your Board ID and Column ID, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-17712\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/zap-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Then test your connection. To make sure your test returns successful, you must have at least one task in your board in Monday.<\/p>\n<h4>Setting up the Action<\/h4>\n<p>Before we set up the actual action of updating a task in a workflow run, we need to first find a workflow run.<\/p>\n<p>To do this, once you select the <strong>Action<\/strong> as Process Street, select the <strong>Event<\/strong> as <strong>Find Workflow Run in Process Street<\/strong>.<\/p>\n<p>Connect your Process Street account with Zapier using an API key. You can learn how to do that <a href=\"https:\/\/www.process.st\/help\/docs\/zapier\/#2-connecting-your-account\">here<\/a>.<\/p>\n<p>Then select the workflow that you want to update. To ensure that you find a workflow run relevant to the task you update, select the workflow run name using the task name in Monday, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-17713\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/zap-find.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Then test your step. To make sure your test returns successful, you must have at least one active workflow run for that workflow.<\/p>\n<p>To set up the action to update a task in the workflow you just found in your zap, click the <strong>+ button<\/strong> below this step to add another action. Select <strong>Process Street<\/strong> as the <strong>App<\/strong> and select <strong>Update Task<\/strong> as the <strong>Event<\/strong>.<\/p>\n<p>To connect your Process Street account, select the same one you connected in the previous step and then select the workflow that you selected in the previous step.<\/p>\n<p>For the workflow run, look for <strong>ID<\/strong> from the previous action where you found an active workflow run. Then select the task that you want to update and select the task status as <strong>Completed<\/strong>, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-17714\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/zap-action.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Then test your step. To ensure your test returns as successful, the task that you want to update via Zapier must be actionable. This means it should not be blocked by an approval or a stop task before it or any required fields within it.<\/p>\n<p>As an extra step to ensure that your zap works as expected, go to Monday and update a task&#8217;s status. Then go to the relevant workflow run in Process Street.
