You can integrate <a href=\"https:\/\/hubspot.com\/\">HubSpot<\/a> with <a href=\"https:\/\/www.process.st\/\">Process Street<\/a>\u00a0to make your <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflows<\/a> super powerful and automate your work via <a href=\"https:\/\/www.process.st\/help\/docs\/webhooks\/\">Webhooks<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/hubspot\/#connect-hubspot-to-process-street-via-zapier\">Zapier<\/a>.<\/p>\n<h2>Connect HubSpot with Process Street via Webhook<\/h2>\n<p>A Webhook integration\u00a0can bring information from\u00a0HubSpot that would trigger a new <a href=\"https:\/\/www.process.st\/help\/docs\/running-workflows\/\">workflow run<\/a> in your Process Street account.\u00a0<em>Webhooks are\u00a0automated messages or payloads sent from apps as a trigger to cause an action in a receiving app.<\/em><\/p>\n<p>In this example, we will create a Webhook that runs the Customer Onboarding workflow when a deal in HubSpot reaches the Closed Won stage.<\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Customer Onboarding workflow in Process Street<\/li>\n<li>We will create a Sales Pipeline in HubSpot and then create a few deals. When a deal reaches Closed Won stage, this will act as our trigger<\/li>\n<li>We will create a webhook that listens for our desired trigger in HubSpot and runs the Customer Onboarding workflow in Process Street<\/li>\n<\/ul>\n<p>Now, let\u2019s jump into the integration.<\/p>\n<h3>1. Preparations in Process Street<\/h3>\n<p>First, create a <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\" target=\"_blank\" rel=\"noopener\">Workflow\u00a0<\/a>in Process Street and ensure to add <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> that are relevant to the data fields in HubSpot. This will help you to map the relevant information from HubSpot to Process Street.<\/p>\n<p>This information is stored in HubSpot when a deal was created. So, we need to create relevant form fields in our workflow to push that information through to Process Street.\u00a0For our example, these form fields should include the deal name, contact name (short text fields), deal revenue (number field), contact email address (email field), close date (date field), and so on.<\/p>\n<p>This will mean that whoever is onboarding the customer won&#8217;t have to look up their information in HubSpot, but can instead see all their details in Process Street.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14296\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>2. Preparations in HubSpot<\/h3>\n<p>Log into your HubSpot account or <a href=\"https:\/\/www.hubspot.com\/products\/get-started\">create a new account<\/a>. Since we want to trigger a new run in Process Street when a sales deal is closed as won, we will be working with the Sales dashboard in HubSpot. To set this up, click <strong>Sales<\/strong> &gt; <strong>Deals<\/strong>, then <strong>Create Deal<\/strong>. If you have existing deals in your sales dashboard, you can use that to create your trigger as well.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14297\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/hubspot-prep.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Note: You want to ensure that the form fields you have in your workflow match the deal properties you have in HubSpot. If you find any properties missing, you can <a href=\"https:\/\/knowledge.hubspot.com\/crm-setup\/manage-your-properties#create-custom-properties\">create custom properties<\/a> to add to your deals.<\/p>\n<h3>3. Create a Webhook trigger to run your workflow in Process Street<\/h3>\n<p>To get the webhook URL from Process Street, when you&#8217;re editing your workflow, click the + icon above your task list on the left. Here, you can look for HubSpot as a Trigger to Run this workflow.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14299\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/create-webhook1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can name your webhook as the app name or any phrase that helps you identify the Trigger. Then copy your Webhook URL.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14300\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/webhook-url.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Set up the Webhook Trigger in HubSpot<\/h3>\n<p>Click on Automation &gt; Workflows. You can choose to use an existing workflow or you can create one from scratch or using a template.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14301\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/webhook-hubspot.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Since our webhook triggers when a deal stage is updated, we&#8217;re creating a Deal-based workflow in HubSpot.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14302\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/create-hubspot-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Now set up the Trigger as Deal stage being updated to Closed Won then\u00a0<strong>Save<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14303\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/hubspot-trigger.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Next, click on the + icon below the Trigger and select <strong>Send a Webhook<\/strong> as the action event. Then select the Method as <strong>Post,<\/strong>\u00a0paste the Webhook URL you had copied in your Process Street setup, and <strong>Save<\/strong>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14304\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/webhook-setup.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can also update the workflow name in HubSpot.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14305\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/save-webhook-in-hubspot.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you have created this workflow, go back to your Sales pipeline and make sure you have at least one Deal in the Closed Won stage. This will act as our test trigger to finish our setup in Process Street.<\/p>\n<p><em>If you&#8217;re looking for more help on how to set up your webhook in HubSpot, you can refer to their <a href=\"https:\/\/knowledge.hubspot.com\/workflows\/how-do-i-use-webhooks-with-hubspot-workflows?_ga=2.89893405.700386802.1667993470-2007462582.1667386642\">help doc<\/a> here.<\/em><\/p>\n<h3>5. Finish the setup in Process Street<\/h3>\n<p>Now come back to Process Street and test your trigger. Your payload should return as a success but if it doesn&#8217;t, you might want to go back to HubSpot and ensure you have a Deal closed as Won.<\/p>\n<p>When your test returns successful, you can proceed to map your fields from HubSpot&#8217;s properties to your Process Street form fields.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14308\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/prefill1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Lastly, turn your webhook <strong>On<\/strong> and <strong>Save<\/strong> it. Then <strong>Publish<\/strong> your workflow and you&#8217;re all set!<\/p>\n<p>As an extra step, you can go to HubSpot, update a deal stage to Closed Won then come back to Process Street in the Reports Dashboard to confirm a new workflow is run.<\/p>\n<h2>Connect HubSpot to Process Street via Zapier<\/h2>\n<p><a href=\"https:\/\/zapier.com\/\">Zapier<\/a> connects over 1,000 apps together. It&#8217;s an &#8220;if this, then that&#8221; tool, meaning that once a trigger has occurred, an action will then take place. This helps to save you time and effort by <a href=\"https:\/\/www.process.st\/business-process-automation-guide\/\" target=\"_blank\" rel=\"noopener\">automating processes<\/a>.<\/p>\n<p>In this example, we will look at how HubSpot can be integrated with Process Street so that when a new company name is added to HubSpot CRM, a new client onboarding workflow is run.<\/p>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Zap in Zapier<\/li>\n<li>We will create a trigger for the Zap for whenever a new company name is added to HubSpot<\/li>\n<li>We will create an action for the zap which generates runs a client onboarding workflow in Process Street<\/li>\n<\/ul>\n<p>Now, let\u2019s jump into the integration.<\/p>\n<h3>1. Setting up the trigger<\/h3>\n<p>Once you&#8217;ve <a href=\"https:\/\/zapier.com\/sign-up\/\" target=\"_blank\" rel=\"noopener\">made an account<\/a> or logged into Zapier, click &#8220;<strong>Create Zap<\/strong>&#8221; on your dashboard. The next step is to set the trigger app. You will be selecting <strong>HubSpot<\/strong>\u00a0here.\u00a0After that, you&#8217;ll want to select &#8220;<strong>New Company<\/strong>&#8221; as the trigger.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10764\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Hubspot-choose-app.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click continue and connect your HubSpot account. This will happen automatically if you&#8217;re already logged in on HubSpot.<\/p>\n<p>If successful, your screen should look similar to this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10765\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Hubspot-choose-app1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8221; on the Set up trigger page.<\/p>\n<p>Click &#8220;<strong>Test trigger<\/strong>&#8221; to pull in some sample data to make sure the trigger has been set up correctly. You will need to have at least one client profile already in HubSpot for this to work.<\/p>\n<p>If successful, your screen should look similar to this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10766\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Hubspot-find-company.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>We&#8217;re now halfway through the integration setup. Click &#8220;<strong>Continue<\/strong>&#8220;.<\/p>\n<h3>2. Setting Process Street as the action<\/h3>\n<p>Choose <strong>Process Street<\/strong> at the action app.\u00a0As this use case requires a new &#8220;<a href=\"https:\/\/www.process.st\/templates\/client-onboarding-checklist-for-a-managed-service-provider\/\" target=\"_blank\" rel=\"noopener\">Client Onboarding<\/a>&#8221; workflow run to be created, the correct action here is &#8220;Run Workflow&#8221;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10767\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Hubspot-run-workflow.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8220;.<\/p>\n<p>You will then need to add your Process Street API key. This can be found by clicking on your profile picture in the top right of Process Street, then clicking &#8220;Settings&#8221; and finally &#8220;<a href=\"https:\/\/app.process.st\/organizations\/manage\/integrations\" target=\"_blank\" rel=\"noopener\">Integrations<\/a>&#8220;.<\/p>\n<p>Once you&#8217;ve added the API key to Zapier, your screen should look similar to this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10768\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Hubspot-Connect-PS.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8220;.<\/p>\n<p>Now it&#8217;s time to edit how the onboarding workflow run will appear in Process Street.\u00a0Make sure the &#8220;Client Onboarding for a Managed Service Provider&#8221; <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflow<\/a>\u00a0is added to your Process Street account.<\/p>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.process.st\/templates\/client-onboarding-checklist-for-a-managed-service-provider\/\" width=\"100%\" height=\"600\" frameborder=\"0\"><span data-mce-type=\"bookmark\" style=\"display: inline-block; width: 0px; overflow: hidden; line-height: 0;\" class=\"mce_SELRES_start\">\ufeff<\/span><\/iframe><\/p>\n<p>Then in Zapier, select that workflow in the &#8220;Workflow&#8221; field.<\/p>\n<p>For &#8220;Workflow Run Name&#8221;, add the field &#8220;Company Information: Name:&#8221;<\/p>\n<p>You can also add more details in the fields below this one. For instance, if you have specific employees who will start the onboarding process every time, you can add them to the &#8220;Add Users To Workflow Run&#8221; field. They will then be assigned all future onboarding workflow runs.<\/p>\n<p>Map as many fields as you would like to pull into your new workflow run in Process Street from HubSpot. Click &#8220;<strong>Continue<\/strong>&#8221; when you&#8217;ve finished mapping.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10769\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Hubspot-map-fields.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>The action has now been set up. It&#8217;s time to test and make sure it&#8217;s working.<\/p>\n<p>Hit the &#8220;<strong>Test &amp; Continue<\/strong>&#8221; button.\u00a0Your screen should then look similar to this:<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-10770\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Hubspot-test-successful.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>3. Double-checking the Zap works yourself<\/h3>\n<p>To ensure it&#8217;s working yourself, look at your Process Street <a href=\"https:\/\/www.process.st\/help\/docs\/reports\/\">reports<\/a> area.
