If you work in the lettings and estates industry, this will not only keep integral documents safe, but also help you save time again and again.<\/p>\n<h3>Use case:<\/h3>\n<ul>\n<li>A lettings company uses a Process Street <a href=\"https:\/\/www.process.st\/help\/docs\/running-checklists\/\" target=\"_blank\" rel=\"noopener\">workflow runs<\/a> to carry out rental inspections<\/li>\n<li>They also use ShareFile to store important documents securely<\/li>\n<li>They want their completed rental workflow run report to be automatically uploaded from Process Street to ShareFile<\/li>\n<\/ul>\n<p><em><strong>Plan: This integration is available to customers on <a href=\"https:\/\/www.process.st\/pricing\/\">all plans<\/a>.<\/strong><\/em><\/p>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>We will create a Zap in Zapier<\/li>\n<li>We will create a trigger for the Zap, which in this case is when a certain task has been checked off<\/li>\n<li>We will create an action for the Zap, which transfers a file that has been uploaded to a Process Street workflow run directly to a folder in ShareFile<\/li>\n<\/ul>\n<p>Let&#8217;s get building the Zap.<\/p>\n<h2>Using a Process Street workflow<\/h2>\n<p>For this use case, I used the &#8220;<a href=\"https:\/\/www.process.st\/templates\/rental-inspection-checklist\/\" target=\"_blank\" rel=\"noopener\">Rental Inspection process<\/a>&#8220;, which is free from the Process Street <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-the-difference-between-templates-and-checklists\/\" target=\"_blank\" rel=\"noopener\">workflow<\/a> library.<\/p>\n<p>You&#8217;ll also find it embedded below.<\/p>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.process.st\/templates\/rental-inspection-checklist\/\" width=\"100%\" height=\"600\" frameborder=\"0\"><\/iframe><\/p>\n<p>Before making the Zap itself, add the <a href=\"https:\/\/www.process.st\/help\/docs\/templates\/\" target=\"_blank\" rel=\"noopener\">workflow<\/a> to your account and launch a workflow run. Then add information to the <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\" target=\"_blank\" rel=\"noopener\">form fields<\/a> in each task (uploading the file in task 19 is particularly crucial).<\/p>\n<p>This will ensure Zapier can pull in the necessary data.<\/p>\n<h2>Creating the Zap in Zapier<\/h2>\n<p><a href=\"https:\/\/www.process.st\/help\/docs\/zapier\/\" target=\"_blank\" rel=\"noopener\">Zapier<\/a> is a powerful tool which connects over 1,000 apps together. By connecting apps, you can improve your workflows and automate <a href=\"https:\/\/www.process.st\/recurring-tasks\/\" target=\"_blank\" rel=\"noopener\">recurring tasks<\/a> and processes.<\/p>\n<p>This saves you time and effort which could be spent on other important duties.<\/p>\n<p><a href=\"https:\/\/zapier.com\/sign-up\/\" target=\"_blank\" rel=\"noopener\">Make an account<\/a> or log into Zapier, then hit the &#8220;Make a Zap!&#8221; button.<\/p>\n<h2>Setting up Process Street as the trigger<\/h2>\n<h3>1. Find Process Street by using the search bar<\/h3>\n<p>In the Zapier Editor, use the middle search bar to type in and find Process Street.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-1-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select it as the trigger app.<\/p>\n<h3>2. Choose the trigger in Process Street<\/h3>\n<p>The trigger, when set off, is what enables the action to happen.<\/p>\n<p>For this use case, the trigger is &#8220;New Task Checked&#8221;.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-2.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>3. Allow Zapier access to your Process Street account<\/h3>\n<p>To connect Process Street with Zapier, you&#8217;ll need to provide your Process Street account&#8217;s API key.<\/p>\n<p>This can be found by clicking on your organization&#8217;s name at the top right-hand corner of the app. Then, click on the &#8220;Settings &amp; API&#8221; tab and scroll down.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-3-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once the API key has been added, your screen should look similar to the screenshot below.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-4-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Select the Process Street workflow and task<\/h3>\n<p>The next step is to select the workflow that the workflow runs will be launched from, and the task that will trigger the Zap once it&#8217;s been marked as complete.<\/p>\n<p>Select &#8220;Rental Inspection process&#8221; as the workflow, and then &#8220;Generate your report and email a copy to the tenants&#8221; as the task.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-5-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>5. Test the trigger<\/h3>\n<p>You&#8217;ll now want to test that the trigger works by pulling in samples.<\/p>\n<p>Make sure you have the appropriate task &#8211; task 19, which requires you to upload the file to Process Street &#8211; checked off in an active workflow run. This means you will need to uncheck task 18 so the workflow run remains active.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-6-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>The sample will be called &#8220;Task A&#8221;.<\/p>\n<p>Hit the &#8220;Continue&#8221; button to set up the second half of the integration.<\/p>\n<h2>Setting up ShareFile as the action<\/h2>\n<h3>1. Find ShareFile by using the search bar<\/h3>\n<p>Using the middle search bar in the Zapier Editor, type in and find ShareFile.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-7-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Select it as the action app.<\/p>\n<h3>2. Select the ShareFile action<\/h3>\n<p>The action is what happens after the trigger has been set off.<\/p>\n<p>For this use case, the action is &#8220;Upload File&#8221;.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-8-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>3. Allow Zapier access to your ShareFile account<\/h3>\n<p>To allow Zapier access, all you need to do is log in via the new window using your ShareFile email and password.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-9-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once Zapier has access, your screen should look similar to the screenshot below.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-10-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>4. Create a new folder in &#8220;Shared Folders&#8221;<\/h3>\n<p>So the uploaded rental inspection reports have a specific folder to go in, click on &#8220;Shared Folders&#8221; in the ShareFile app, and then create a folder called &#8220;Inspection Reports&#8221;.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-11-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>5. Set up the file transfer<\/h3>\n<p>The next step is to set up what you want to be transferred from Process Street to ShareFile, and where you want it to go.<\/p>\n<p>For the Folder field, choose &#8220;Shared Folders&#8221; from the dropdown list. After waiting a few seconds, click on the field again, and choose &#8220;Inspection Reports&#8221;.<\/p>\n<p>For the File field, choose &#8220;Form Fields Inspection Report&#8221; from the dropdown list. This means whenever an inspection report is uploaded to a workflow run launched from the &#8220;Rental Inspection&#8221; workflow, and the corresponding task (task 19) has been checked off, the file will then be automatically uploaded to the &#8220;Inspection Reports&#8221; ShareFile folder.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-12-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>6. Send a test to ShareFile<\/h3>\n<p>To see if the action has been set up correctly, press the blue &#8220;Send Test to Citrix ShareFile&#8221; button.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-13-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once sent, a green banner should appear telling you the test was successfully sent.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-14-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>7. Look for the sent file in ShareFile<\/h3>\n<p>To double-check, the test worked, go to the &#8220;Inspection Reports&#8221; folder you made earlier. You should then see the <a href=\"https:\/\/www.process.st\/help\/docs\/file-upload-limits\/\" target=\"_blank\" rel=\"noopener\">file you uploaded<\/a> in task 19 of the &#8220;Rental Inspection process&#8221;.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/03\/PSShareFile-15-1024x512-1.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>8. Name your Zap and switch it from &#8220;Off&#8221; to &#8220;On&#8221;<\/h3>\n<p>The Zap has now been built!<\/p>\n<p>Make sure the Zap is &#8220;On&#8221;, otherwise it won&#8217;t run in the background.<\/p>\n<p>Also, name your Zap so you can remember what it&#8217;s for.
