{"id":7226,"date":"2021-08-26T08:00:05","date_gmt":"2021-08-26T08:00:05","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/dropbox-process-street-integration\/"},"modified":"2024-03-07T11:32:43","modified_gmt":"2024-03-07T11:32:43","slug":"dropbox-process-street-integration","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/dropbox-process-street-integration\/","title":{"rendered":"Dropbox + Process Street Integration"},"content":{"rendered":"<p><img decoding=\"async\" class=\"alignnone size-full wp-image-9871\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Integrate-Dropbox-01.png\" alt=\"\" width=\"100%\" height=\"512\" \/><\/p>\n<p>You can integrate <a href=\"https:\/\/www.process.st\/\">Process Street<\/a> with other tools used within your company.<\/p>\n<p>This integration creates automated workflows, increasing your productivity and output.<\/p>\n<p>In this article, we will look at how you can transfer files from a workflow run into your <a href=\"https:\/\/www.dropbox.com\/en_GB\/?landing=dbv2\">Dropbox account<\/a>.<\/p>\n<h3>Use case:<\/h3>\n<p>A manager wants the results from an internal audit to be saved to their Dropbox for backup, reference, and easy future sharing.<\/p>\n<p><em><strong>Plan: This integration is available to customers on <a href=\"https:\/\/www.process.st\/pricing\/\">all plans<\/a>.<\/strong><\/em><\/p>\n<p><em><strong>Users: In order to create an API key for integrations, you must be an Administrator.<\/strong><\/em><\/p>\n<h3>Process overview:<\/h3>\n<ul>\n<li>You will <a href=\"https:\/\/www.process.st\/help\/docs\/running-checklists\/\">run a workflow<\/a> from an internal audit process with an <em>export this report<\/em> task<\/li>\n<li>You will connect this workflow run to Dropbox using Zapier<\/li>\n<li>You will set up a Zap to save the internal audit results as a text file in Dropbox when the task is checked<\/li>\n<\/ul>\n<p>Read on to see how you can do this.<\/p>\n<h2>How to connect Dropbox with Process Street<\/h2>\n<p>To connect Dropbox with Process Street we will be using the third-party automation service, <a href=\"https:\/\/zapier.com\/app\/dashboard\">Zapier<\/a>. Zapier has over 2,000 different web apps and services that you can connect to.<\/p>\n<p>The connection between different web apps and services is completed using a Zap.<\/p>\n<p>A Zap is made up of a &#8216;Trigger&#8217; step and an &#8216;Action&#8217; step.<\/p>\n<p>You only need to set up the Zap one time. You can then turn this Zap &#8216;On&#8217; or &#8216;Off&#8217; as required to control the automation.<\/p>\n<h2>Run your workflow<\/h2>\n<p>In this example, you will be working from the <a href=\"https:\/\/app.process.st\/templates\/Hotel-Sustainability-Audit-hhfoWo0TtxVM-Tw4mXpIcA\/view\/tasks\/mYCrFeecXxQKgaWdvTxLcA\">Hotel Sustainability Audit<\/a> workflow. This workflow can be found as part of our <a href=\"https:\/\/www.process.st\/hotel-management\/\">Hotel Management<\/a> template pack.<\/p>\n<p>The Hotel Sustainability Audit workflow assesses a company&#8217;s sustainability efforts, for continual sustainable development. Click &#8220;Edit checklist&#8221; below to add it to your Process Street account.<\/p>\n<p><iframe loading=\"lazy\" src=\"https:\/\/www.process.st\/templates\/hotel-sustainability-audit\/\" width=\"100%\" height=\"600\" frameborder=\"0\"><\/iframe><\/p>\n<h2>Make sure your workflow has an export this report task<\/h2>\n<p>You need to make sure that your workflow records the required information you want in your final audit report.<\/p>\n<p>Open your workflow, and select &#8220;<strong>Edit<\/strong>&#8220;<em>\u00a0<\/em>found at the right-hand side of your screen. You can add form fields and tasks as required.<\/p>\n<p>Make sure that you have an &#8220;<em>Export the report&#8221;<\/em> task. In the hotel sustainability workflow, this is the final task, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11336\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Dropbox-export-report.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Once you have edited your workflow as required, save your changes, then run the workflow. Checking off tasks and filling out form fields in the workflow run provides sample data to make your Zap work correctly.<\/p>\n<h2>Connect Process Street as your trigger<\/h2>\n<p>Make sure you have a <a href=\"https:\/\/zapier.com\/app\/dashboard\">Zapier<\/a> account and log in. Click &#8220;<strong>Make A Zap<\/strong><em>&#8221;\u00a0<\/em>on the top left-hand side of Zapier&#8217;s home screen.<\/p>\n<p>You are now ready to create the trigger step for your Zap.<\/p>\n<p>Select <strong>Process Street<\/strong> as your trigger application and &#8220;<strong>New task checked<\/strong>&#8221; as the trigger event.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11337\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Dropbox-new-task-checked.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>In this integration, checking off the relevant trigger task in your workflow run is going to trigger your Zap.<\/p>\n<p>Connect to your Process Street account containing the workflow run you are working from and click &#8220;<strong>Continue<\/strong>&#8221; to move onto the next step.<\/p>\n<h3>Set up your trigger<\/h3>\n<p>In this case, you are working from your <strong>Hotel Sustainability Audit<\/strong> workflow, so select that workflow. Select the trigger task &#8220;<strong>Export the report<\/strong>&#8220;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11338\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Dropbox-trigger-step.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Important:<\/strong> Before you continue, ensure that you have run your workflow and checked off all the tasks down to the one you&#8217;ll be using as the trigger. If this completes your workflow run, you will need to reactivate it.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11312\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Evernote-reactivate.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Test the step before moving onto the next stage.<\/p>\n<p>You are now ready to create the action step for your Zap.<\/p>\n<h2>Connecting Process Street to Dropbox<\/h2>\n<p>Select <strong>Dropbox<\/strong> as your action application and choose your action step\u00a0<strong>Create Text File, <\/strong>then click &#8220;<strong>Continue<\/strong>&#8220;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11341\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/DropBox-action-step.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Zapier will ask you to authorize your Dropbox account through a Dropbox login. Select the Dropbox account that you wish to be associated with the Zap.<\/p>\n<p>Click &#8220;<strong>Continue<\/strong>&#8221; to start setting up your action step.<\/p>\n<p><em>\u00a0<\/em>Select where in Dropbox you would like the text file to be saved. In this case, we have selected the folder &#8216;Sustainability Reports&#8217;, which is present in our Dropbox account.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11342\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/DropBox-reports-folder.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Name your file as you wish. You can enter data from your workflow run by selecting the form fields from the earlier part of your zap. In this instance, we used form fields <strong>Hotel Name<\/strong> and <strong>Date Of Audit Completion<\/strong><em>.<\/em><\/p>\n<p>Data is pulled from these form fields from your workflow runs to name your file in Dropbox.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11343\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/DropBox-file-name.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Continue mapping data from your workflow run into\u00a0the file content field in Zapier.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11344\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/DropBox-file-content.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>When you&#8217;ve finished mapping fields, click &#8220;<strong>Continue<\/strong>&#8221; and test whether your Zap is working.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11345\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/DropBox-action-success.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>This will send a test file to your Dropbox account, where you can\u00a0view your audit results as a text file.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11346\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/DropBox-output.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Give your Zap a name and turn it on.
