{"id":7416,"date":"2021-09-13T07:00:43","date_gmt":"2021-09-13T07:00:43","guid":{"rendered":"https:\/\/www.process.st\/help\/docs\/tags-2\/"},"modified":"2026-05-05T09:30:41","modified_gmt":"2026-05-05T09:30:41","slug":"tags","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/tags\/","title":{"rendered":"Creating and Managing Tags"},"content":{"rendered":"<p>Tags are a powerful way to organize and locate your <a href=\"https:\/\/www.process.st\/help\/docs\/templates\/\">Workflows<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/pages\/\">Pages<\/a>, and <a href=\"https:\/\/www.process.st\/help\/docs\/document-management\/\">Files<\/a> in Process Street.<\/p>\n<p>Tags allow you to filter your Library to display items with a specific tag, regardless of which <a href=\"https:\/\/www.process.st\/help\/docs\/folders\/\">folders<\/a> they are stored in.<\/p>\n<h3>Example use case<\/h3>\n<p>Imagine your Library is organized into folders like Marketing, HR, and Support. You can tag workflows or pages across these folders with labels like Content Creation or Onboarding. Clicking a tag (e.g., Content Creation) in your dashboard instantly displays all related workflows and pages, streamlining access.<\/p>\n<p><strong><em>Users: Only Admins or <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-member\/\">Builders<\/a> with &#8216;edit&#8217; permission can create &amp; manage tags.<\/em><\/strong><\/p>\n<h2>Creating and assigning tags to workflows<\/h2>\n<p>To create and assign a tag to a workflow, you first need to locate the workflow you want to assign a tag to.<\/p>\n<p>Start in your <a href=\"https:\/\/www.process.st\/help\/docs\/library\/\">Library<\/a> and click the three dots next to your workflow&#8217;s name (or click its name) to open up the right-hand menu.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-14897\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Managing-tags.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Click the <strong>three dots<\/strong> shown in the image above and scroll down to the &#8220;\u200b<strong>Manage tags<\/strong>&#8221; field. Start typing the name of the tag you want to apply to your workflow in the box provided. If the tag already exists then a dropdown will appear, letting you click on the existing entry to add it to your workflow.<\/p>\n<p>If the tag does not already exist in your organization, then type out its full name and hit &#8220;Enter&#8221; on your keyboard. This will add it to the workflow and your Library.<\/p>\n<p>Refresh your Library to see the updated number of workflows that have that tag on the left side of your screen, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11265\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Tags-in-Library.png\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Tags will appear in alphabetical order on the left side of your screen.<\/p>\n<h2>Creating and assigning tags to Pages<\/h2>\n<p>You can add tags to your <a href=\"https:\/\/www.process.st\/help\/docs\/pages\/\">Pages<\/a> which help you navigate to them faster from your Library.<\/p>\n<p>Click on your Page&#8217;s name to view it. Then from the top of your screen click the <strong>three dots<\/strong>, and select &#8220;<strong>Manage tags<\/strong>&#8220;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11564\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Pages-manage-tags-min.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>Start typing your tag name into the box provided. Hit your <strong>enter<\/strong> key to add a new tag, or use an existing tag from the list that appears.<\/p>\n<p>Once they appear in your library you can click your tag to take you to a list of any pages with that tag, as shown above.<\/p>\n<h2>Managing tags<\/h2>\n<h3>Viewing or removing tags<\/h3>\n<p>You can see which tags are already attached to a workflow or Page by looking below the tag entry field (the one described above). Current tags are displayed in blue boxes.<\/p>\n<p>You can remove a tag by clicking the &#8220;X&#8221; at the end of any of the blue tag boxes.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11264\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Tags-view-existing.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Filtering workflows and Pages using tags<\/h3>\n<p>To filter your Library using tags, click on any of the tags on the left-hand side of your screen.<\/p>\n<p>This will limit your view to only displaying workflows or Pages with that particular tag.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11263\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Tags-filter-workflows.png\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Editing and deleting tags<\/h3>\n<p>To edit a tag&#8217;s name, click on it to filter your Library, then click the cog icon next to its name at the top of your screen.<\/p>\n<p>Then select &#8220;<strong>Rename<\/strong>&#8220;.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-11266\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/02\/Tags-update-name.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>From here you can either alter the tag name and then click &#8220;<strong>Update<\/strong>&#8221; to save your changes, or click &#8220;<strong>Delete<\/strong>&#8221; to delete the tag entirely.
