With Zapier, you can mark tasks as completed in your Process Street workflow runs as soon as they&#8217;re finished in Asana, improving your team productivity and reducing duplicate work.<\/p>\n<p><b><i>Users: To sync tasks, you must be an Admin or a Builder with permission to edit workflows.<\/i><\/b><\/p>\n<p>For example, by syncing your Process Street tasks, you can automatically update them when you do any of the following actions in Asana:<\/p>\n<ul>\n<li>Complete a task<\/li>\n<li>Add an attachment to a task<\/li>\n<li>Add a comment in a task<\/li>\n<li>Update a task<\/li>\n<\/ul>\n<p><em>You can check the complete list of Asana&#8217;s triggers in Zapier.<\/em><\/p>\n<h3>Preparations in Process Street<\/h3>\n<p>To sync your tasks, first, you need to\u00a0create a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflow<\/a>\u00a0with some <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">form fields<\/a>.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7845\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-new-workflow.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-new-workflow.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-new-workflow-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-new-workflow-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p>If this is your first workflow, follow the detailed steps <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\">here<\/a> to create your workflow. If you have an existing workflow that you want to work with, you can do that too.<\/p>\n<h3>Preparations in Asana<\/h3>\n<p>Log in to your Asana account or <a href=\"https:\/\/auth.monday.com\/users\/sign_up_new?origin=hp_fullbg_page_header\">create one<\/a>. Go to the project you want to use for this integration and ensure you have a few tasks created.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7846\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-asana.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-asana.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-asana-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-synt-task-asana-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p>If this is your first project, refer to <a href=\"https:\/\/help.asana.com\/hc\/en-us\/articles\/14069807653147-Understanding-projects\">Asana&#8217;s guide<\/a> on creating a project.<\/p>\n<h3>Create a zap<\/h3>\n<p>To sync your tasks between Process Street and Asana, you need to create a zap that will automatically complete tasks in your Process Street workflow runs when you update tasks in Asana.<\/p>\n<p>Log in to your Zapier account or\u00a0<a href=\"https:\/\/zapier.com\/sign-up\">create a new one<\/a>.<\/p>\n<p>Click the\u00a0<strong>+ Create button<\/strong>\u00a0and click\u00a0<strong>Create zap<\/strong>. Select the\u00a0<strong>Trigger<\/strong> as <strong>Asana<\/strong> and select\u00a0<strong>Action<\/strong>\u00a0as\u00a0<strong>Process Street<\/strong>, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7847\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-sync-tasks-create-zap.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Setting up the Trigger<\/h3>\n<p>Once you\u2019ve selected Asana as your Trigger, select the <strong>Event<\/strong>\u00a0as\u00a0<strong>Updated Task<\/strong>. You can also go through the remaining options and choose what suits you best.<\/p>\n<p>Proceed to connect your Asana account with Zapier. For your test to return successful, you must have at least one task in your project that you have added or updated recently.<\/p>\n<h3>Setting up the Action<\/h3>\n<p>Before we set up the action of updating a task in a workflow run, we need to first find the related workflow run.<\/p>\n<p>To do this, once you select the\u00a0<strong>Action<\/strong>\u00a0as Process Street, select the\u00a0<strong>Event<\/strong>\u00a0as\u00a0<strong>Find Workflow Run in Process Street<\/strong>.<\/p>\n<p>Connect your Process Street account with Zapier using an API key. You can learn how to do that\u00a0<a href=\"https:\/\/www.process.st\/help\/docs\/zapier\/#2-connecting-your-account\">here<\/a>.<\/p>\n<p>Then select the <strong>workflow<\/strong> you want to update. To ensure you find a workflow run relevant to the task you want to update, select the <strong>workflow run name<\/strong> using the task name in Asana, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7849\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-sync-task-find-run.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-sync-task-find-run.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-sync-task-find-run-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/04\/asana-sync-task-find-run-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p>Then test your step. To make sure your test returns successful, you must have at least one active workflow run for that workflow, preferably with the same name as you selected.<\/p>\n<p>To set up the action of updating a task in the workflow run you just found in your zap, click the <strong>+ button<\/strong>\u00a0below this step to add another action. Select\u00a0<strong>Process Street<\/strong>\u00a0as the\u00a0<strong>App<\/strong>\u00a0and select\u00a0<strong>Update Task<\/strong>\u00a0as the\u00a0<strong>Event<\/strong>.<\/p>\n<p>To connect your Process Street account, select the same one you connected in the previous step and then select the workflow you selected in the previous step.<\/p>\n<p>For the workflow run, look for\u00a0<strong>ID<\/strong>\u00a0from the previous action where you found an active workflow run. For your test to return as successful, the task you want to update via Zapier must be actionable. This means it should not be blocked by an approval or a stop task before it or any required fields within it.<\/p>\n<p>As an extra step to ensure your zap works as expected, go to Asana and update a task\u2019s status. Then go to the relevant workflow run in Process Street.
