This means, no more interruptions for your team working on active workflow runs.<\/p>\n<p>You can also preview your <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-workflow\/\">workflows<\/a> before making them available for your team to ensure you only publish the best version.<\/p>\n<p>Note: This feature is available for customers on <strong>all plans<\/strong>.<\/p>\n<p><strong><em>Users: To preview workflows, you must be an Administrator or a <a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-full-member\/\">Builder<\/a> who has been given &#8216;<a href=\"https:\/\/www.process.st\/help\/docs\/permissions\/\">edit<\/a>&#8216; access by your Administrator.<\/em><\/strong><\/p>\n<h4><span style=\"font-weight: 400;\"><strong>Common use cases include:<\/strong><\/span><\/h4>\n<ul>\n<li>A Compliance Manager testing a monthly audit workflow<\/li>\n<li>An Accounts Manager testing approvals in a monthly invoice workflow<\/li>\n<li>A Property Manager testing <span style=\"font-weight: 400;\">conditional logic rules in a property listing workflow<\/span><\/li>\n<li><span style=\"font-weight: 400;\">An HR Manager testing the send email widget in an employee onboarding workflow<\/span><\/li>\n<\/ul>\n<h2>Preview workflows<\/h2>\n<p>Go to a workflow you want to <a href=\"https:\/\/www.process.st\/help\/docs\/workflows\/\">edit<\/a> and go into the editor. Make changes by adding or editing any <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/\">form fields<\/a>, <a href=\"https:\/\/www.process.st\/help\/docs\/conditional-logic\/\">conditional logic<\/a>, tasks, or <a href=\"https:\/\/www.process.st\/help\/docs\/task-permissions\/\">task permissions<\/a> then click <strong>Preview<\/strong> in the top right corner.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7975\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/05\/preview-pwfr.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>The preview workflow run opens in a new tab where you can test it out. Go through the workflow run by filling in form fields and completing tasks, as shown above.<\/p>\n<p><em><strong>Note:<\/strong> For the preview workflow run to open in a new tab, ensure that you have pop-ups enabled for Process Street.<\/em><\/p>\n<h3>Test and edit workflows simultaneously<\/h3>\n<p>If you need to edit your workflow, switch to the workflow editor tab and make changes.  Then switch back to the preview workflow run and click <strong>Refresh<\/strong> in the top right corner to test the new edits, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7976\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/05\/preview-refresh-changes.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Restart preview workflow runs<\/h3>\n<p>While testing your workflow, you can reset your preview workflow run to test different outcomes. This can be especially helpful if you have dropdowns in your workflow or conditional logic.<\/p>\n<p>To reset your preview workflow run, click <strong>Restart<\/strong> next to the workflow name in the top left of the preview bar, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7977\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/05\/preview-restart.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h3>Preview as different users or roles<\/h3>\n<p>You can preview the workflow as different roles and <a href=\"https:\/\/www.process.st\/help\/docs\/managing-members\/\">user types<\/a>, to test how an active workflow run would look to other people in your organization or your external clients.<\/p>\n<p>To test the workflow as different users or roles, first set <a href=\"https:\/\/www.process.st\/help\/docs\/task-permissions\/\">task permissions<\/a> so you can distinguish the views for each user type or role.<\/p>\n<p>Once you have set custom permissions on some tasks, go to the preview workflow run. Navigate to the top of your screen and from the <strong>&#8216;preview as&#8217; selector<\/strong>, choose to preview as different users and roles.<\/p>\n<p>You can choose to preview the workflow as any user in your organization, as an <a href=\"https:\/\/www.process.st\/help\/docs\/guest-external\/\">external guest<\/a> in your organization, or as someone with a <a href=\"https:\/\/www.process.st\/help\/docs\/workflow-share-link\/\">share link<\/a> to the workflow, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8014\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/06\/preview-preview-as-selector.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>If you have added an <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/#email-field\">email form field<\/a> or a <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/#members-field\">user field<\/a> in your workflow, you can choose to preview as one of these roles.<\/p>\n<p><em><strong>Note:<\/strong> To preview as an email field or user field role, you first need to enter an email address in the email field or select a person in the user field.<\/em><\/p>\n<p>Previewing a workflow can also help you to test the advanced features in your workflow.<\/p>\n<h4>Approvals<\/h4>\n<p>In your workflow, if you have any <a href=\"https:\/\/www.process.st\/help\/docs\/approvals\/\">approval<\/a> tasks, ensure they are assigned to someone. Then click <strong>Preview<\/strong> and select the user or role assigned to the approvals task.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7979\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/05\/preview-approvals.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><strong>Note:<\/strong> If an approver doesn&#8217;t have permission to view the task they have to approve, they won&#8217;t be able to see the task details in the approval. To ensure you efficiently test this, customize the task permissions for the tasks that need approval, as shown above.<\/p>\n<h4>Conditional logic<\/h4>\n<p>If you have <a href=\"https:\/\/www.process.st\/help\/docs\/conditional-logic\/\">conditional logic<\/a> in your workflow, you can test the various outcomes by selecting the different dropdown options in your preview workflow run, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7981\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/05\/preview-CL.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p>You can also edit your conditional logic rules as you test to ensure you have set them up correctly.<\/p>\n<h4>Email widget<\/h4>\n<p>If you have an <a href=\"https:\/\/www.process.st\/help\/docs\/email-widget\/\">email widget<\/a> in your workflow, you can test how the <em>auto-send email<\/em> feature triggers the email as soon as that task is completed, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-7980\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/05\/preview-auto-send-email.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<h4>AI Tasks<\/h4>\n<p>If you have <a href=\"https:\/\/www.process.st\/help\/kb\/process-ai\/\">AI tasks<\/a> in your workflow, you can preview a workflow to test their output, as shown below.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8015\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/06\/preview-AI-task.gif\" alt=\"\" width=\"100%\" \/><\/p>\n<p><em><strong>Note:<\/strong> In the preview mode, all other automations and integrations apart from AI Tasks are not available.<\/em><\/p>\n<h3>Receiving preview notifications<\/h3>\n<p>While previewing a workflow, you will receive all the notifications and emails for task assignments, approvals, <a href=\"https:\/\/www.process.st\/help\/docs\/custom-notifications\/\">custom notifications<\/a>, and emails sent via the email widget.<\/p>\n<p>If you don&#8217;t want to receive these notifications while you&#8217;re testing, you can turn the toggle to <strong>Receive email notifications<\/strong> off.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-8012\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/06\/preview-notifications.png\" alt=\"\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/06\/preview-notifications.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/06\/preview-notifications-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2024\/06\/preview-notifications-768x384.png 768w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<p><em><strong>Note:<\/strong> When you turn the notifications toggle on or off, the changes will apply only when you enter the preview mode after changing this setting.<\/em><\/p>\n<h2>FAQ<\/h2>\n<p><em><strong>If I preview a workflow, will it show in my Reports Dashboard?<br \/>\n<\/strong><\/em>No, the preview workflow runs do not show in Reports.<\/p>\n<p><em><strong>Does the preview workflow run add to the stats in the Workflow Dashboard?<br \/>\n<\/strong><\/em>No, the preview workflow runs do not affect the stats in your Workflow Dashboard.<\/p>\n<p><em><strong>Do the task assignees get notified when I preview a workflow run?<br \/>\n<\/strong><\/em>No, when you preview a workflow run, all the notifications meant for the task assignees are sent to you as part of the testing.<\/p>\n<p><em><strong>While previewing a workflow, will I see my task assignments in My Work?<br \/>\n<\/strong><\/em>No, the tasks assigned to you in a preview workflow run are not shown in My Work as this is a test run.<\/p>\n<p><em><strong>Can I share the preview workflow run with my team?<br \/>\n<\/strong><\/em>No, when you preview a workflow, it is private to you and nobody else can access that preview workflow run.
