{"id":8396,"date":"2024-10-18T08:00:32","date_gmt":"2024-10-18T08:00:32","guid":{"rendered":"https:\/\/www.process.st\/help\/?post_type=ht_kb&#038;p=8396"},"modified":"2026-05-06T12:46:55","modified_gmt":"2026-05-06T12:46:55","slug":"data-sets-linked-dropdowns-in-forms","status":"publish","type":"ht_kb","link":"https:\/\/www.process.st\/help\/docs\/data-sets-linked-dropdowns-in-forms\/","title":{"rendered":"Data Sets: Linked Dropdowns in Forms"},"content":{"rendered":"<p>Data Sets allow you to create and store tables of data to use in Forms.<\/p>\n<p>Linking data sets in your Forms helps prevent manual data entry errors and ensures that you pull data from your source of truth.<\/p>\n<p>Linked Dropdowns are <a href=\"https:\/\/www.process.st\/help\/docs\/form-fields\/#dropdown-field\">dropdown form fields<\/a> that you have connected with a <a href=\"https:\/\/www.process.st\/help\/docs\/data-sets\/\">Data Set<\/a>.<\/p>\n<p><strong><em>Users: Admins and <a href=\"https:\/\/www.process.st\/help\/docs\/user-permissions\/\" target=\"_blank\" rel=\"noopener\">Builders<\/a> can create or view data sets and forms.<\/em><\/strong><\/p>\n<h2>Permission and visibility<\/h2>\n<ul>\n<li>Admins can see Data Sets and saved views created by all users<\/li>\n<li>Builders can be granted permission to edit all views, or only view them<\/li>\n<li><a href=\"https:\/\/www.process.st\/help\/docs\/what-is-a-guest-internal\/\">Users<\/a> and <a href=\"https:\/\/www.process.st\/help\/docs\/guest-external\/\">Guests<\/a> <strong>do not<\/strong> have access to Data Sets. The Data Sets tab is hidden for these users<\/li>\n<\/ul>\n<h2>Create a Data Set<\/h2>\n<p>First, create a Data Set if you don&#8217;t already have one. Learn how to <a href=\"https:\/\/www.process.st\/help\/docs\/data-sets\/\" target=\"_blank\" rel=\"noopener\">create a Data Set<\/a>.<\/p>\n<h2>Create a saved view of your Data Set<\/h2>\n<p>By default, all new Data Sets have a view called <strong>All Data<\/strong>.<\/p>\n<p>You can also create different views by sorting and filtering the default saved view. This creates a pick-on-pick behavior \u2014 for example, selecting a country in one dropdown and seeing only that country&#8217;s states in the next.<\/p>\n<h3>Prerequisites<\/h3>\n<p>To set up filtered linked dropdowns, you need:<\/p>\n<ul>\n<li>Two Data Sets \u2014 one for each dropdown (for example, a Countries data set and a States data set)<\/li>\n<li>A shared column between the two data sets that links them (for example, the country name appears in both)<\/li>\n<\/ul>\n<h3>Set up the first dropdown<\/h3>\n<ol>\n<li>Add a <strong>dropdown<\/strong> form field to your form (for example, &#8220;Country&#8221;).<\/li>\n<li>Click the <strong>three dots<\/strong> on the right of the dropdown and select <strong>Connect Data Set<\/strong>.<\/li>\n<li>Choose your first data set (for example, Countries) and select the column to display (for example, country name).<\/li>\n<\/ol>\n<h3>Set up the filtered dropdown<\/h3>\n<ol>\n<li>Add a second <strong>dropdown<\/strong> form field to your form (for example, &#8220;State&#8221;).<\/li>\n<li>Click the <strong>three dots<\/strong> on the right of the dropdown and select <strong>Connect Data Set<\/strong>.<\/li>\n<li>Choose your second data set (for example, States) and select the column to display (for example, state name).<\/li>\n<li>In the <strong>Filter<\/strong> section, select the column to filter by (for example, country name in the States data set).<\/li>\n<li>Set the filter to use the value from the first dropdown form field (for example, the Country field).<\/li>\n<\/ol>\n<p>Publish your form and test it. When you select a value in the first dropdown, the second dropdown automatically shows only the matching options.<\/p>\n<h3>Supported form field types<\/h3>\n<p>The filter can match against values from these form field types:<\/p>\n<ul>\n<li>Text<\/li>\n<li>Long text<\/li>\n<li>Dropdown<\/li>\n<li>Dates<\/li>\n<li>Numbers<\/li>\n<li>Hidden fields<\/li>\n<li>URL<\/li>\n<li>Email<\/li>\n<\/ul>\n<p>You&#8217;re all set.
