You can do that from our in-app workflow template gallery, shown below.<\/p>\n<p>Click <strong>+ New workflow<\/strong>, select <strong>Explore Templates<\/strong>, choose the <strong>Compliance<\/strong> folder and then click the <strong>Change Request<\/strong> workflow.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-8925\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Screen-Cast-2025-07-09-at-4.18.02-PM-scaled.gif\" alt=\"Import the change request workflow\" width=\"100%\" \/><\/p>\n<p>Now that you have the change request workflow, you can set up approvals on any Workflow, <a href=\"https:\/\/www.process.st\/help\/docs\/pages\/\">Page<\/a> or <a href=\"https:\/\/www.process.st\/help\/docs\/document-management\/\">File<\/a> you choose.<\/p>\n<p>When editing your document, click the <strong>settings cog<\/strong>. Here, you can search for the change request workflow.<\/p>\n<p>Select the change request workflow from the dropdown and <strong>turn on the toggle switch<\/strong> for &#8220;Reviews are required to publish a new version&#8221;. When ready, click <strong>Request Review<\/strong>.<\/p>\n<p>At this point, the request workflow run opens up, and you can complete the steps, assigning the person you need to approve the changes.<\/p>\n<div style=\"position: relative; padding-bottom: 51.47759771210677%; height: 0;\"><iframe style=\"position: absolute; top: 0; left: 0; width: 100%; height: 100%;\" src=\"https:\/\/www.loom.com\/embed\/1f1a7116560744e3b6291821d8c9eb4e?sid=da03cf90-92cc-4544-92b0-90bf58c87ffb\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/div>\n<p>&nbsp;<\/p>\n<p>If you have <a href=\"https:\/\/www.process.st\/help\/docs\/version-control\/\">Version Control<\/a> enabled, you can enter details for the changes being made, as shown above.<\/p>\n<p><strong>Note:<\/strong> Once you have imported the Change Request workflow, you can edit it or rename it just like any other workflow. You could add a step for training, change the dropdown details or <span style=\"box-sizing: border-box; margin: 0px; padding: 0px;\">do anything else you prefer. However, you\u00a0<strong>must not<\/strong> remove the document widget<\/span> since this is the crucial component that enables this feature to work.<\/p>\n<h2>Owner &amp; author definitions<\/h2>\n<ul>\n<li><strong>The document owner<\/strong> is the person who created the workflow, page or file. When editing the document, you can set the owner to be a user or a group via the settings cog.<\/li>\n<li><strong>The author<\/strong> is the person who requested the review of the document.<\/li>\n<\/ul>\n<h2>Receiving a request for review<\/h2>\n<p>When a document review is requested, a workflow run is automatically created from the review request workflow. A document widget in the workflow links the document (in draft state) to the workflow run.<\/p>\n<p>The Author will always be assigned to the review run (and technically be the creator of that workflow run). This way, they will always have permission to access it.<\/p>\n<h3>Approving a document for review<\/h3>\n<p>You can review a document in your web browser or in <a href=\"https:\/\/www.process.st\/help\/docs\/microsoft-teams-app\/\">Microsoft Teams<\/a>. Once published, this tab can be closed and the approver returns to the review request workflow run where they can approve the task.<\/p>\n<p>Anyone editing or viewing the document in draft mode will see that it is under review and can access the link to the review request workflow run.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-8930\" src=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Document-under-review.png\" alt=\"Document under review\" width=\"100%\" srcset=\"https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Document-under-review.png 2560w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Document-under-review-300x150.png 300w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Document-under-review-1024x512.png 1024w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Document-under-review-768x384.png 768w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Document-under-review-1536x768.png 1536w, https:\/\/www.process.st\/help\/wp-content\/uploads\/2025\/03\/Document-under-review-2048x1024.png 2048w\" sizes=\"(max-width: 2560px) 100vw, 2560px\" \/><\/p>\n<h3>Rejecting<\/h3>\n<p>If the approver has reviewed the document and decides it needs further changes, they can close the newly opened tab and reject the task in the review request workflow.<\/p>\n<h2>Permissions<\/h2>\n<p>After editing a document, admins or document owners can select <strong>Skip review and publish<\/strong> if they feel a review isn&#8217;t required.<\/p>\n<p>Other editors will only see the <strong>Request review<\/strong> button, or <strong>Cancel review<\/strong>.<\/p>\n<p>Only Owners or Admins can publish a document if reviews are required. When they click <strong>Publish<\/strong>, the <a href=\"https:\/\/www.process.st\/help\/docs\/version-control\/\">version control<\/a> dialogue will be shown with the values (material\/non-material change type &amp; explanation of changes) that were previously submitted for review.<\/p>\n<h2>Document variables<\/h2>\n<p>When a document widget is in a workflow and enabled for reviews, you can access its variables by clicking the magic wand anywhere you see it in the workflow editor.<\/p>\n<ul>\n<li><strong>Owner name<\/strong> {{document_review.owner.name}}<\/li>\n<li><strong>Owner email<\/strong> {{document_review.owner.email}}<\/li>\n<li><strong>Author name<\/strong> {{document_review.author.name}}<\/li>\n<li><strong>Author email<\/strong> {{document_review.author.email}}<\/li>\n<li><strong>Document type<\/strong> {{document_review.document.type}}<\/li>\n<li><strong>Document name<\/strong> {{document_review.document.name}}<\/li>\n<li><strong>Document ID<\/strong> {{document_review.document.id}}<\/li>\n<li><strong>Current version<\/strong> {{document_review.document.current_version}}<\/li>\n<li><strong>Proposed version<\/strong> {{document_review.document.proposed_version}}<\/li>\n<li><strong>Reference ID<\/strong> {{document_review.document.reference_id}}<\/li>\n<li><strong>Type of change<\/strong> {{document_review.document.type_of_change}}<\/li>\n<li><strong>Explanation of changes<\/strong> {{document_review.document.explanation_of_changes}}<\/li>\n<li><strong>Draft URL<\/strong> {{document_review.document.draft_url}}<\/li>\n<\/ul>\n<p><strong>Note:<\/strong> These variables can be used with <a href=\"https:\/\/www.process.st\/help\/docs\/code-task\/\">Code Tasks<\/a> and <a href=\"https:\/\/www.process.st\/help\/docs\/process-street-api\/\">Process Street&#8217;s API<\/a> when the document widget&#8217;s default review setting is <strong>disabled <\/strong>(see below). They cannot be used with <a href=\"https:\/\/www.process.st\/help\/docs\/ai-tasks\/\">AI tasks<\/a>.<\/p>\n<h3>Document widget settings<\/h3>\n<p>When a document widget is added to a workflow, it&#8217;s set to be used for a review request by default.<\/p>\n<p>Click the <strong>three dots<\/strong> on the right of the widget, then select <strong>settings<\/strong>. A document remains in review mode until the draft is published or the request run is deleted, archived or completed.<\/p>\n<p><strong>What happens after the document is published?<\/strong><\/p>\n<ul>\n<li><strong>In the document editor <\/strong>the document will no longer be in the review state. You can optionally create a new draft and submit it for review when ready.<\/li>\n<li><strong>The review request workflow run<\/strong>\u00a0will continue to be active until it is completed.
