What do its users think?

We could have created a traditional playbook in MS Word, but we wanted something more action-oriented. We want everyone to feel they are responsible for executing on something rather than just reading something.” – Jeremy Smith, Director of Product Development, H&R Block

An elegant, yet efficient, checklist tool! I love the overall design and the simple way that you can update or change a process. You can tell how much thought went into things like click reduction and ease of use.” – Matthew Kelly, President, Gold Medal Waters

“We have recently plugged Process.st in as our top-level process management tool. It is a seamless fit into our already existing project management software and allows us to track individual project processes without being weighed down by unnecessary features.” – Gil Snir, CEO, Benchmarketing

2. Agantty

agantty free project management software

The clue is in the name for this product; Agantty is a free tool which lets you manage your projects through the use of a Gantt chart.

Sounds simple? That’s because it is.

One of Agantty’s biggest strengths is how easy and quick it is to get started and track your projects. The visual nature of Gantt charts make it intuitive to use and you’ll never have to worry about paying for the platform, as the company has committed to keeping the product free.

However, in its simplicity lies its biggest drawback. Agantty is very limited in what you can do outside of creating a project and assigning tasks to your team.

Who’s it good for?

Agantty is aimed at small-to-medium-sized businesses, which feels right for the feature list of the platform.

Large teams and businesses will likely need more in-depth features such as greater customization, integration, and so on.

Free features

  • Gantt-chart-based project management
  • User rights management
  • Task exporting

Pricing plans

Agantty is free to use. The only paid features are extensions to the tool to add features such as time management, alternate export formats, and so on.

What do its users think?

Gantt Chart – I just love it! … All of the other features are also great and work perfectly.

[However,] the English version of Agantty website does not work on Safari browser… Agantty team, adapt your website for Safari browser, it is important.
” – Katia Z., Agantty user review

3. Airtable

airtable project management

I can personally attest to Airtable’s usefulness as a fantastic piece of project management software.

Think of Airtable as being spreadsheets on steroids.

To be more precise, it’s a platform where you can create databases.

Within a database you create tables to house different types of data. The data you enter can then be seen through and filtered into tables, which can be formatted as a basic spreadsheet, kanban board, form, calendar or gallery. These tables can then be filtered further into personal views.

For example, our own team here at Process Street has one base to house all of our marketing-related data. In that base we have different tabs (tables) for our marketing tasks, blog posts, keywords, contacts, affiliates, and so on.

These tables all then have filtered views which individual team members can use to see whatever data they need, all while letting data entries be linked to other items from different tables.

It’s a little difficult to wrap your head around at first but once the setup is complete Airtable is one of the most powerful project management tools on the market.

Who’s it good for?

Anyone who currently uses spreadsheets to manage their projects or house their data. Airtable eclipses spreadsheets in terms of usability and features – there’s really no reason to use them when such a robust and cheap option is on the market.

Free features

  • Unlimited bases
  • 1,200 data records per base
  • 2GB attachment space per base
  • 2-week revision and snapshot history

Pricing plans

  • Plus ($10/user/month): All free features, 5,000 records per base, 5GB attachment space per base, 6-month revision history.
  • Pro ($20/user/month): All plus features, 50,000 records per base, 20GB attachment space per base, 1-year revision history, advanced features (blocks, additional customization, etc.), priority support.
  • Enterprise (Variable): All pro features, more records per base, 1,000GB attachment space per base, 3-year revision history, dedicated CS manager, individualized onboarding and training, admin features (SSO, federated company account, payment by invoice, enhanced deletion recovery, etc.).

What do its users think?

To give you a head’s up on what we thought, we liked Airtable a lot. It does a good job of combining powerful features with enough guidance to help you use them… it belongs among the best project management software.” – James Konik, Airtable Review

4. Asana

Asana project management software

Asana is one of the default recommendations for many people using project management software, and for good reason. It’s a solid platform which allows you to arrange your tasks and projects in lists, Kanban boards or calendars with some fantastic native integrations with other powerful apps.

If you haven’t already tried it out, it’s well worth a stop in your quest for the perfect software. Plus it can be integrated with Process Street, which makes up for some of Asana’s weaknesses when it comes to making sure tasks are completed to a consistently high standard.

Who’s it good for?

Asana’s free plan is aimed at individuals looking to organize their projects or small teams who are testing the waters of free project management software.

Free features

  • Tasks
  • List, board, and calendar view
  • Assignees and due dates
  • Up to 15 teammates
  • App integration

Pricing plans

  • Premium ($10.99/user/month): Free features plus timeline, custom fields and templates, admin console, milestones, private teams and projects.
  • Business ($24.99/user/month): Premium features plus portfolios, workload, forms, proofing, lock custom fields, adobe creative cloud integration.
  • Enterprise (variable): Business features plus SAML, SCIM, data export and deletion, block native integrations, custom branding, priority support.

What do its users think?

Asana allows me to easily organize projects and to assign tasks to my team… but I still find difficult to keep track of the subtasks and we don’t know how to move “lifestages” without moving the whole project to the next phase.” – Joann, Asana user review

5. Avaza

Avaza screenshot

Avaza bills itself as an all-in-one platform to run your business and it’s easy to see why at a glance. With everything from project management (via a Kanban board, list or Gantt chart) to invoicing and expense tracking, there’s a wealth of features to suit many needs.

However, Avaza’s broad scope also holds it back from being useful to someone who doesn’t want to use all of their features. This is especially true when looking at their confusing pricing plan layout and very limited free plan.

Who’s it good for?

Avaza’s free limitations mean that it’s only useful for individual freelancers or very small teams who want to manage projects and produce invoices through the same platform.

Free features

  • Unlimited project collaborators
  • 1 user with timesheet/expense access
  • 1 user with admin/invoice access
  • 1 user with resource scheduling access
  • 5 active projects
  • 10 customers
  • 5 invoices per month
  • Basic QuickBooks and Xero integration
  • 100MB storage
  • Email and chat support

Pricing plans

  • Startup ($11.95/month): Free features, 2 users with timesheet/expense access, 20 active projects, unlimited customers, 50 invoices per month, 10GB storage, priority support. More user slots, storage, and advanced integrations can be purchased for an extra fee per month.
  • Basic ($23.95/month): Startup features, 5 users with timesheet/expenses access, 2 users with admin/invoice access, 50 active projects, 100 invoices per month, 20 GB storage. More user slots, storage, and advanced integrations can be purchased for an extra fee per month.
  • Business ($47.95/month): Basic features, 10 users with timesheet/expenses access, 5 users with admin/invoice access, unlimited active projects, unlimited invoices per month, 30 GB storage. More user slots, storage, and advanced integrations can be purchased for an extra fee per month.

What do its users think?

This software allows us to be efficient with our time by seeing where projects are with one quick glance. This also allows either of us to determine if/when we can take on additional work… the storage space is not that much, but you can always link to an outside cloud file using the notes section.” – Amy P., Avaza user review

6. Backlog

backlog project management software

Backlog is a project management app designed to help developers in their daily duties.

Rather than bouncing between apps to track bugs, collaborate on code and manage wider projects, Backlog allows its users to do all that and more in the same place.

However, once you’re out of the free plan (which is very limiting with storage and only allowing a single active project) it quickly becomes expensive.

Who’s it good for?

With its bug tracking and version control features, Backlog is ideal for developers looking to use a project management app that’s more tailored to their needs.

Free features

  • 10 users
  • 1 project
  • 100 MB storage

Pricing plans

  • Starter ($35/month): 30 users, 5 projects, 1 GB storage.
  • Standard ($100/month): Unlimited users, 100 projects, 30 GB storage.
  • Premium ($175/month): Unlimited users, unlimited projects, 100 GB storage.

What do its users think?

It’s task-oriented without feeling like a burden. Other project management tools I’ve used feel like glorified lists but Backlog offers a lot more. Getting your team on board is difficult but the flow of using Backlog makes sense and came natural for us.” – Daniel O., Backlog user review

7. Bitrix24

bitrix24 project management software

Bitrix24 is an ambitious platform, aiming to do everything from project management to performing as a CRM, chat app and website builder.

As for project management in particular, Bitrix24 offers a nice array of features on its free plan. The only downside is their 12 user and 5GB storage limit.

Who’s it good for?

Small teams testing the project management waters and teams looking for an all-in-one solution to their needs.

Free features

  • 12 users
  • 5GB storage
  • 5 task dependencies
  • Kanban, Gantt chart, and planner views
  • Checklists
  • Reminders
  • Delegating
  • Task time tracking
  • Email-to-task (and vice versa)
  • Integrations
  • Restrictions on all other tools outside of project management

Pricing plans

  • Basic ($49/month): 5 users, 24 GB storage, fewer limitations to all tools.
  • Standard ($99/month): 50 users, 100 GB storage, full access to project management and contact center tools.
  • Professional ($199/month): Standard features plus 100 users, 1,024GB of storage, full access to all tools.

What do its users think?

Its a great collaboration platform with lots of useful tools and that for a great price. I would recommend it in general but the Customer support is not only slow but extremely useless… So go for the self-hosted one (more customization possible) and spent a couple of thousands of € on external consultants to set it up to your needs.” – Maximilian Abt, User review of Bitrix24

8. Freedcamp

freedcamp project management software

Much like Bitrix24, Freedcamp aims to be your all-in-one solution to project management, communication, and more. As a result it can be a little overwhelming to someone just wanting a free project management software solution.

Freedcamp differs itself from the competition then mostly by its pricing plan.

The free plan will allow you limited access to its project management features. This means you can’t create recurring tasks or view your projects through a Gantt chart.

On the plus side, Freedcamp allows all of its users to have unlimited users in their organization and no upper storage limit.

Who’s it good for?

Any team looking for the barest of bare project management solutions to last them long-term. Aside from the 10 MB file upload size limit, little else prevents you from using it long-term.

Free features

  • 10 MB file upload size limit
  • Unlimited collaborators
  • Basic access to core apps (e.g., no recurring tasks in their Tasks app)
  • No access to Gantt chart view or custom fields in tasks
  • Public projects
  • API
  • Zapier integration

Pricing plans

  • Pro ($1.49/user/month): Free features plus 25 MB file upload size limit, premium support, email integration for tasks, discussions, issues and uploading files, Google Drive, OneDrive, and Dropbox integration, extended access to basic apps.
  • Business ($7.49/user/month): Freelancer features plus 100 MB file upload size limit, weekly backups, full access to basic apps, access to Issue Tracker.
  • Enterprise ($16.99/user/month): Business features plus 250 MB file upload size limit, lightning-fast support, daily backups, custom branding, 2FA, SSO with SAML, access to Overview.

What do its users think?

A very user-friendly, warm tool, Freedcamp offers low pricing and good functionality. It also has decent storage and good support, making it a top contender for the number one spot among project management software.” – James Konik, Freedcamp Review

9. HiTask

hitask project management software

HiTask is an app that serves as a half-way between dedicated project management and an all-in-one platform. While it doesn’t offer full invoicing, it does allow team chat and lets you view your tasks, calendar, and chat from a single screen.

While it doesn’t offer sharing in its free plan (meaning it would be limited to internal use in a team of 5 or fewer people), it’s a good option to try if you don’t want to be hit with limits on your tasks.

Just keep in mind your 0.5 GB storage limit – it’s easy to get carried away.

Who’s it good for?

Teams of 5 or less people looking for an internal free project management software system (no client or other outside access).

Free features

  • Up to 5 users
  • Unlimited tasks and projects
  • Shared task lists, projects, and calendars
  • Calendar sync with Google and Outlook
  • 0.5 GB storage
  • No sharing

Pricing plans

  • Team business ($5/user/month): Personal premium features plus unlimited storage, permission controls.
  • Enterprise ($20/user/month): Team business features plus 24/7 priority support, personalized onboarding, SSO.

What do its users think?

I like how I can break up things into projects, assign people to specific projects, share content and keep conversations on the platform… [but] the number of integrations is low.” – Aiden Hampton, User review for HiTask

10. KanbanFlow

kanbanflow project management software

KanbanFlow is a solid project management tool which cuts through the complicated all-in-one platforms with a simple offer; free project management in a fully functioning Kanban board.

The main downsides, as opposed to other Kanban board products, is that its visual design is extremely simple to the point of being (in my personal opinion) less appealing to use.

Who’s it good for?

KanbanFlow’s free plan is aimed at small teams and project managers, and is notable for not imposing a user limit.

However, a closer look at the pricing plan shows that it locks off the integrations, file attachments, imports and exports and more behind the paid plan.

It’s a solid free plan for project managers looking for the bare bones of a project manager (only using tasks with no file uploads).

Free features

  • Unlimited boards (2 user permission roles)
  • Unlimited tasks
  • WIP limits
  • Subtasks
  • Filter
  • Recurring tasks
  • Stopwatch and Pomodoro timers
  • Print view analytics

Pricing plans

  • Premium ($5/user/month): Free features plus swimlanes, file attachments, time spent reports, excel and CSV exports, calendar, forecasting, integrations, 2-factor authentication, site backup, and more

What do its users think?

While KanbanFlow does not come with all the bells and whistles, it provides a solid feature set for a fraction of the price of other Agile trackers…

[But] the free option lacks the possibility to integrate with other mainstream software” – Gabriel C., User review of KanbanFlow

11. MeisterTask

meistertask project management software

MeisterTask is another product which provides users a Kanban board to manage their projects with. It’s a simple offering but with their powerful free plan it’s definitely worth giving them a try.

Who’s it good for?

With their free plan’s offer of unlimited projects, tasks, and project members, it’s ideal for teams of any size. In that sense everyone would benefit by using it over a traditional physical method.

The only downside is that the free plan doesn’t come with access to all of their app integrations, automations, and doesn’t even allow you to set recurring tasks.

As such, MeisterTask (as a piece of free project management software) is suited to teams who are looking to test the waters with project management software on a small-scale. Anything beyond that will involve too much manual work and management to be overly beneficial.

Free features

  • Unlimited projects and tasks
  • Unlimited project members
  • Customizable dashboards and project boards
  • Limited integrations
  • File upload limit of 20 MB per file
  • Access to mobile apps

Pricing plans

  • Pro (£8.25/user/month – around $10): All free features plus full integrations access, automations, recurring tasks, project groups, multiple checklists, file upload limit of 200 MB per file, searchable task archive, statistics and reports, custom backgrounds, multiple team members, an admin account, and priority support.
  • Business (£20.75/user/month – around $25): All Pro features plus roles and permissions, groups in your team, activity and compliance exports, custom fields, team-wide project sharing, group sharing, security restrictions, and 12×7 priority support.
  • Enterprise (custom): Business features plus a dedicated account manager, personalized onboarding, a custom security overview, and SAML SSO.

What do its users think?

I finally have all the organizational tools I need, in one place, without having to have a to-do list at one place, a calendar at another place, etc.” – Kathy J., User review of MeisterTask

12. Paymo

paymo project management software

Paymo’s features and pricing make it perfect for freelancers, as (despite offering the usual Kanban board for project management) their task system is deeply linked to individual clients which you can set up.

Once you’ve set up your clients, tasks can be linked to them and, with Paymo’s time tracking abilities, your billed time can be directly monitored in relation to specific tasks.

Who’s it good for?

The free model is self-described as being ideal for freelancers looking to make use of a product that combines project management with time tracking.

Free features

  • 1 user
  • To-do lists
  • Kanban boards
  • Time tracking
  • Reporting
  • 3 invoices
  • 1 GB storage

Pricing plans

  • Starter ($4.95/user/month): All free features plus 6 clients, a spreadsheet-like Table View, project templates, automatic time tracking, unlimited invoices, removing invoice branding, dashboard and analytics, integrations, file sharing, 25 GB storage, API, and more.
  • Small office ($9.56/user/month): All starter features plus unlimited clients, Kanban boards, 50 GB storage, and more.
  • Business ($20.79/user/month): Small office features plus resource scheduling, Gantt charts, onboarding and training, priority support, unlimited storage, and more.

What do its users think?

Simple and beautiful online solution to handle my small design business time tracking needs.” – Leonardo L., User review for Paymo

13. Pivotal Tracker

pivotal tracker project management software

With its team-shared backlog, it’s easy to see why Pivotal Tracker is a strong contender for development teams.

Combine project management features with features like a shared, prioritized task backlog and iteration planning, you have a powerful tool which is completely free for teams of up to 3 people.

Who’s it good for?

Pivotal Tracker is laser-focused on development teams looking for a project management software solution.

Free features

  • 3 collaborators
  • 2 projects
  • 2 GB storage
  • Access to all features

Pricing plans

  • Startup ($10/month): 6-10 collaborators, unlimited core features, unlimited projects.
  • Standard ($6.50/user/month): 11+ collaborators, unlimited file storage, volume discounts.
  • Enterprise (custom): SSO, live audit trail, dedicated customer success manager, priority support.

What do its users think?

It’s continually improved, but also kept a baseline of core functionality that’s remained fairly static. It achieves its purpose, and doesn’t throw in a lot of bells and whistles.” – Christopher K., User review for Pivotal Tracker

14. Podio

podio project management software

Podio is another example of an all-in-one solution. It’s not looking to just be your project management software – it’s designed to be your one-stop-shop for project management, workflow management, as a CRM, and more.

Who’s it good for?

With the large range of features and focuses, Podio is best suited to larger teams looking to combine their apps while still focusing on project management.

Free features

  • Task management
  • Apps and workspaces

Pricing plans

  • Plus ($11.20/month): Basic features plus light user role, automated workflows, read-only access.
  • Premium ($19.20/month): Plus features plus visual reports, contact sync, interactive sales dashboards, Advanced Workflow Orchestration by GlobiFlow.

What do its users think?

Flexible collaboration tool for teams… [but] the flexibility that can be a strength can also be a weakness. There needs to be strong leadership over configuration and apps included.” – Colin M., User review for Podio

15. TeamGantt

teamgantt project management software

As you might’ve guessed from the name, TeamGantt is a project management service focused on providing you with an easy-to-use Gantt chart with just the right amount of complexity to make it a powerhouse.

Who’s it good for?

While the free plan’s three user limit means that it’s only suitable for extremely small-scale teams, the paid plans allow much more flexibility.

However, it’s worth noting that TeamGantt is one of the more expensive options out there.

Free features

  • 1 Gantt chart
  • Up to 3 users
  • Workload forecasting
  • Filters
  • Max 5 “planning” stage resources
  • Watermarked PDF export
  • Conversations on tasks
  • File attachments
  • Basic support

Pricing plans

  • Lite ($19/manager/month): All free features plus up to 5 users, 5 projects per user,
Core Gantt features, boards, calendar, list, integrations.
  • Pro ($49/manager/month): Lite features plus 20 projects per user, time tracking and reporting, full phone support.

What do its users think?

It is great at organization of tasks and sub-tasks and is ideal for project managers who have studied or used the Gannt system… The free tier may allow for several users but it is very limited in its breadth.” – Nathan S., User review of TeamGantt

16. Toggl

teamweek project management software

Toggl is a fantastic solution for those of us who work better visually.

With next to no limitations on the free plan other than a user limit of 5, it’s also far more generous than other Gantt chart options.

Who’s it good for?

Simplicity is the name of the game with Toggl- the platform is ideal for project managers who want something that’s simple to set up, use, and budget for.

Free features

  • All features except for annual views and custom colors
  • Up to 5 people in your team

18. Todoist

todoist project management software

The free version of Todoist is extremely limited with only 5 users per project, no comments, file uploads, filters or project templates. However, with the premium plan being so cheap it’s well worth picking up if only to try out.

Who’s it good for?

The free plan is ideal for small teams looking for the absolute basics in project management. The premium plan is ideal for almost anyone looking to dip their toe into a solid project management solution.

Free features

19. Trello

trello project management software

We here at Process Street used to use Trello for our basic project management software needs, and can happily give it a glowing recommendation.

If you’ve never used a Kanban board before (or want a simple one which just works) then go ahead and give Trello a try right now.

Who’s it good for?

Trello’s free plan is ideal for any team looking to easily organize their projects via a Kanban board. Just be wary of the 10 MB file upload limit.

Free features

  • Unlimited personal boards
  • Unlimited cards (tasks)
  • Unlimited lists
  • 1 Power-Up per board
  • 10 MB file attachment limit
  • 10 team boards
  • Simple automation (with up to 50 per month)
  • 2-factor authentication

Pricing plans

Don’t let your project management software hold you back

No list of the best project management software is ever truly complete. Apps and services are cropping up and being updated all the time but this list is a solid foundation to go from.

The key to success is finding an app which works best for your team and to keep an eye on new releases.

Let’s face it, most of the apps in this list (while distinct) have major similarities. Whether it’s the shared use of Kanban boards or Gantt charts or the distinction of higher security for more expensive pricing plans, there are many parallels to be drawn.

You’ll only truly know what feels right and what works best for your team by going out and testing these options for yourself.

Did this help you find your perfect project management software? Have any entries to add to this list? I’d love to hear from you in the comments below!
