Work Type: <\/strong>Select the general work task<\/em> that the work order
is for. REPAIR<\/strong> for nonscheduled repairs and PREVENTATIVE<\/strong> for scheduled repairs.<\/p>\n<\/p><\/div>\n

Purpose: <\/strong>This is one of most critical areas  to fill out correctly as it is what Maintenance Associates see in the time card program.  Name of Asset - and a brief summary of the work that is needed. ie OLD 988F - Cruise Control Not Working<\/strong><\/p>\n<\/p><\/div>\n

Asset ID: <\/strong>Select the asset by following the steps shown below<\/p>\n<\/p><\/div>\n

\n Click on the icon with the 3 dots on the right side of the Asset ID feild.

To quickly find your asset id first select the area the asset belong to.  In the picture shown below we selected the YARD folder. So only yard assets would show<\/em><\/p>\n<\/p><\/div>\n

Then in the Search field type a key word for the asset that you are looking for and then click<\/strong> <\/em>on the magnifying glass icon located just right of the search box, or press the enter key<\/strong>.  In the picture below we typed scale and pressed the enter key.<\/em><\/p>\n<\/p><\/div>\n

\n Typing scale in the search box and pressing enter, significantly reduced our list, and now we can easily choose the asset we are looking for. In this example scale 1.

Click on the asset that you want, and then click the Ok button on the bottom right.<\/p>\n<\/p><\/div>\n

\n Clicking Ok, closes the Asset Lookup form and enters the ID in the Asset ID box as well as loading the budget id associated with the asset.

Budget: The Budget field is automatically filled out when you choose the asset, but if another team is paying for the repair select that teams repair labor gl code by clicking on the down arrow located on the right side of the Budget field.  IMPORTANT<\/strong>- Make sure that it is a repair labor account.  In the example below we will change the repair labor budget id from the Yard to the Warehouse.<\/em><\/p>\n<\/p><\/div>\n

Priority Translation Key:<\/strong><\/h5>\n

0- Critical <\/strong>= <\/strong>We can't run without this please make this your top priority.<\/p>\n

1 - High <\/strong>= We need this very soon, only critical and Safety items are higher.<\/p>\n

2 - Standard<\/strong> = This is important to us please fix (this is normally what you will choose).<\/em><\/p>\n

3 - <\/strong>Low <\/strong>= We would like to have this done, but at your convenience.<\/p>\n

Down<\/strong> = Same as Critical, but it tags this to record the down time. <\/p>\n

Safety<\/strong> Issue <\/strong>= We can't and we won't run without this being done, make this your top priority.<\/p>\n

Status:<\/strong> This is the status of the work order.  Active means it is actively showing in the maintenance list. Do not change this ... if you want the work to be done.<\/p>\n<\/p><\/div>\n

\n Active means it will show up as active work that needs to be done.

\n Selecting Completed means that the work has been completed and the work order is "closed". Selecting Cancelled means that the work has been cancelled and the work order is "closed"

Selecting the completed<\/strong> or cancelled<\/strong> button in the detail ribbon<\/strong> also changes the Status<\/strong> to what ever button you selected.<\/p>\n<\/p><\/div>\n

Assigned: <\/strong>This is optional, but you can select the person that you would like to perform the work, similar to choosing the asset id.<\/p>\n<\/p><\/div>\n

1)<\/strong> Select the Notes<\/strong><\/em> tab, then 2)<\/strong> click the add New Note<\/strong><\/em> icon.  This will open the notes pop up form. <\/p>\n<\/p><\/div>\n

Add a good detailed description of what needs to be done. The Maintenance team is good, but they cant read minds. <\/p>\n

Once you are done adding a good description, Select Ok at the right bottom to close the editor and add it to the work order.<\/p>\n<\/p><\/div>\n

Attachments: <\/strong>You can add documents, hyperlinks, and pictures to your work order. The more helpful information the better. Remember a picture is worth a thousand words.<\/p>\n<\/p><\/div>\n

Much like adding Notes, select the Attachments tab and then click on the New Attachment icon.<\/p>\n<\/p><\/div>\n

Save \/ Done: <\/h2>\n

Your done!  Most likely you wont need to save anything you can just exit the work order, and if you need to save the program will prompt you to do so.<\/p>\n

one way you can tell is by looking at the save icon location in the upper right hand side of the work order module.  If it is black, you will need to save by clicking on it. If it is gray, you don't.<\/p>\n<\/p><\/div>\n
