Creating a Project Folder in /Design

Go to MyDrive > Share > Wodify > Design

Choose the brand folder for your project (Fityr, Givve or Wodify).

Choose the department/category folder for your project.

Choose the current year.

Create/choose a sub-category.

Create/choose the name of your project folder.

Use one of the 3 types of folder contents below:

Folder Content 1 (Website)

Folder Content 2 (General project)

Folder Content 3 (Video project)

Choose the brand folder for your project (Fityr, Givve or Wodify).

Choose the department/category folder for your project.

Each Brand folder inside the Design folder is organized either by Categories (Clients, Identity, Marketing, Video...) or by Departments (HR, Customer Success, Sales...). Use your best judgement to organize your files. Either organize them by its type or by the channel the briefing arrived.

Choose the current year.

Projects are organized by year. After a Department/Category folder there is always a YYYY folder.

Create/choose a sub-category.

Inside the category/department folder (e.g., Marketing), after selecting the year (YYYY) there will be sub-categories of folders. Sub-categories of folders should also incorporate the YYYY information. When naming this folders AVOID using spaces. ALWAYS use underscores (_). After an underscore we RECOMMEND the usage of a capital letter. (e.g., 2016_Advertising, 2016_Email_Marketing)

Create/choose the name of your project folder.

When creating the name for your project folder use the following formula: YYYYMMDD_Project_Type 1. Use a specific date. It will be useful when you want to look for your project. When you can't assign a specific date, please give either YYYY or YYYYMM. 2. Describe the name of your project in the most simple and concise way. 3. AVOID using spaces. USE underscore (_).

Use one of the 3 types of folder contents below:

Folder Content 1 (Website)

These folders DO NOT NEED the YYYYMMDD information. This information is already in the project name folder.

A Website project folder is organized in two main folders: UI and UX.

UI folder components:

The UI folder is composed by 3 sub-folders. 1. Fonts (a collect of fonts used in the project); 2. Images (all image format files that will be essential for the project); 3. Layout (the folder that contains the editable .sketch file with the website artwork).

UX folder components:

The UX folder is composed by 5 sub-folders. 1. Contents (all content that will be used in the project); 2. Information architecture (a diagram of all the information and how it will be organized); 3. Requirements (all mandatory requirements for the website in one document); 4. User flow (the user flow chart); 5. Wireframes (images).

Folder Content 2 (General project)

A General project folder is organized in two main folders: Production and Source.

Production folder components:

This is the folder where we have the final result of the project.
It can be a Final Artwork (to print, e.g., a .pdf file in high resolution) or an image for visualization (e.g., a .jpg file with a 3d visualization of a Wodify Admin screen in a smart phone).

Source folder components:

The source folder is where we keep all the necessary files to produce the final artwork.
They should be organized by type and in the respective folder. Avoid having files hanging around and delete all unnecessary files for the project.

The Source folder is composed by 5 folders. This is the base composition for a Source folder. If needed, add any other folder that justifies a different designation. But TRY to use the presented formula to organize all your files. 1. Content (all sort of content that can be necessary for the project); 2. Fonts (a collect of fonts used in the project); 3. Images (all image format files that will be essential for the project); 4. Layout (the folder that contains the editable .sketch file with the website artwork); 5. Research (a folder where we keep important references for the project).

Folder Content 3 (Video project)

A Video project folder is organized in two main folders: Production and Source.

Production folder components:

This is the folder where we have the final result of the project
(in this case it should be the final version of the video file).

Source folder components:

The source folder is where we keep all the necessary files to produce the final video.
They should be organized by type and in the respective folder. Avoid having files hanging around and delete all unnecessary files for the project.

The Video Source folder is composed by 5 folders. This is the base composition for a Video Source folder. If needed, add any other folder that justifies a different designation. But TRY to use the presented formula to organize all your files. 1. Audio (all audio files used); 2. Edit (the working video document); 3. Footage (all raw footage captured for the project); 4. Graphics (all necessary graphics files provided, e.g. cards, animated icons, motion graphics); 5. Script (the written document which contains the video draft or storyboard).

Please take in consideration the following:

Unused Folders

During a work in progress project, we won’t have all the folders created. There should not exist empty folders.

Every collaborator should know the composition of a video/digital/print folder and know which type of file goes where.

Managing Files

Files should not be removed from the original place where they are created.

If you need any change made to it, the design team should be contacted.

Naming folders

When creating the name for your project folder use the following formula:

YYYYMMDD_Project_Type

1. Use a specific date. It will be useful when you want to look for your project. When you can't assign a specific date, please give either YYYY or YYYYMM.

2. Describe the name of your project in the most simple and concise way.

3. AVOID using spaces. USE underscore (_).

Keep the drive clean

Avoid unnecessary files for each project.

When using a file for a project in the drive, please clean up and only keep the essential files.

We know designers love to keep image references and tests, but look at it from a different point of view: you will have the opportunity to create something new in the next project.

Keep an Ideas folder in your local laptop.
