Facility Inspections (Using Google Forms)

You will be grading your selection on a pass/fail scale. The goal is to not FAIL more than four times during a given inspection. This will keep our scores above a 90%.

If this is a facility inspection, please randomly select any four rooms that are cleaned by Zoë.

If this is an employee inspection, make sure the four rooms you select have already been visited by the Zoë Team Member during their shift.

You can bookmark this link in Safari or add it to your Home Screen on your iPhone. (If you have problems with this, access the Process Street previously assigned to you). You may be asked to sign in with your Google ID and password, afterward you will be taken to the form. 

Note: If you are unable to complete the form from phone, tablet, or computer a hard copy can be provided to you.

Once you have opened the document, it should look like this.

Fill out the fields appropriately, indicating the buiding, your name and room/area you are inspecting.

Note: Include the name of the employee in the "What client and building are you visiting today?" field at the top of the form (not pictured), if you are conducting an employee-specific inspection. 

If an area of the selected room fails your inspection, click the button marked "Fail", if "Pass", do nothing.

When an area of the room fails your inspection, such as floors, indicate the reason why in the "Failure Section" description box.

Note: You will also need to submit photos of the failures to Justin Reus (317-200-4204) via text message. To make things easier as you proceed, make sure your camera app is pulled up on your phone. Double-click the home button to easily switch between your camera app and the inspection form. This process eliminates having to take images at the end of the inspection and allows you to capture them as you find them.

Continue this process until you have inspected four rooms altogether.  Again, this process may be random but if you are conducting an employee inspection, make sure the rooms being inspected have already been visited during the Team Member's route

Note: If the Zoë Team Member is correctly following the time-frame route sheet, this should be easy to determine.

DO NOT PRESS SUBMIT YET. 

Once you have finished the walkthrough and inspection, select the "Share" button at the bottom of the screen.

Click this button and a list of choices will appear.

Scroll through the selections until you find "Save PDF to iBooks".

Click that button to save the form to your phone.

The iBooks application, as well as the saved PDF document, will automatically open on your device.

Again, click the "share" icon. This time the icon is located near the upper left of your screen.

Select "Email".

Send PDF to [email protected]

Navigate back to Safari. You can now press "Submit" at the bottom of the google form.

At this time, you will also submit all photos you have taken during the process. 

Return to the iBooks app and find the PDF you saved.

Using the Inspection Form as your guide, walk the employee(s) through what you saw.

Give praise where deserved and correction where needed.

Note: it is imperative to be constructive with all "fails". However, we don't want these becoming bad, recurring habits. It's best to coach in the right direction.

Even if this is a facility inspection, make sure to walk whatever Team Member's are on duty through your inspection. 

If the employee is struggling with any particular task, take the time to show them. 

LEAD BY EXAMPLE!!!

This is a perfect opportunity to jump in alongside the employee/crew and do some detail work.

Go over the inspected rooms, which should have been cleaned thoroughly after informing the employee/crew of things they missed and dig into the details.

Remember: It's the little things that set us apart. Coach by this saying: "I wouldn't ask you to do something that I wasn't willing to do myself." By encouraging and teaching in a "show, don't tell" fashion, we can create a culture of people taking pride in their work.
