Marketing Onboarding Checklist

Overview

All prospect files (PPT presentation decks, proposal, contracts, price quotes and other prospect-related files) must be saved Google Shared Root Drive: Sales.  And further saved in a sub-folder named after the prospect within the Account Executive's folder.  Each Account Executive (AE or sales rep) has their own prospect folder.  Each prospect folder has sub-folders with the prospect's name.  These sub-folders are shared with everyone in the TalentMap organizations to encourage easy collaboration and sharing.

Prospect Folder Naming Standards

All sub-folders in the AE's main sales folder are labelled after the prospect's account name.  Each sub-folder must start with a capital letter and have spaces (ie. City of Kelowna).   Please do not use short versions or account name acronyms for labelling any prospect or client folders or sub-folders.

For large or complex prospects where multiple TalentMap team members may be involved in the sales process, an additional set of sub-folders are used to organize documents received and documents sent to/from the prospect.

From <prospect account name>

• contains documents received from a prospect. This may include past surveys, example report template they would like, org charts, corporate reports, business plans, etc.
• these files are not required to renamed to our file name standard unless you feel it is necessary.

To <prospect account name>

• contains documentd sent to a prospect.  All file must respect the file naming standard. For Example:
• Sales Deck File Name <<Client Name-ESS Overview-PRESENTED-ddmmmyy>
  Proposal File Name: <<Client Name-ESS-proposal-SENT-ddmmmyy>>
  Contract File Name: <<Client Name-ESS EE-contract-SENT-ddmmmyy>>

Working Files

• Within each prospect folder, the AE may also have a working files folder that contains draft or working documents that are not stored in the other TO <Prospects> or From <Prospects> subfolders noted above.  Files store in this folder must also respect the TalentMap File Naming Standard. For example:
  Client Name-PRODUCT-pricing-draft-ddmmmyy
  Client Name-PRODUCT-contract-draft-ddmmmyy
  Client Name-PRODUCT-proposal-draft-ddmmmyy

Salesforce Naming Convention: Opportunity Objects

An Opportunity Object in Salesforce contains the name, contact details product name, prices and so on of the opportunity an AE is working on.  It is helpful to included basic descriptive information within the Salesforce Opportunity Name Field to quickly convey information to the reader.  All Opportunity name follows this standard:

Client Name-PRODUCT-mmmyy  (* mmmyy is the month and year of the planned deployment)   Example: City of Kelowna-ESS-nov22

What Is Salesforce CRM?

Salesforce is a CRM. CRM stands for Customer Relationship Management. This technology allows you to manage relationships with your customers and prospects and track data related to all of your interactions. It also helps teams collaborate, both internally and externally, gather insights from social media, track important metrics, and communicate via email, phone, social, and other channels.

TalentMap uses Salesforce to track its prospects (Leads), Contacts and Accounts.

Trailhead provides guided learning paths through the key features of Salesforce using a set of interactive, online tutorials. You can choose from various topics to learn new skills at your own pace.

1. What to log in Salesforce?
   - Discussions relating to a current or future opportunity
   - Information gathering on the account, ie. update on employee count, change in senior management
   - Outcomes of APR with client (who logs? - ie. likely to go again, timing etc..)
   - PM Notes once project closes that would be worthwhile in SF for future pricing etc..
2. How to log in Salesforce?
   - Two ways: Activity and Chatter
3. What to log in Wrike?
   Activity/ discussions related to an active project.

• GOAL is to have a full 360 view of the customer in SF - bring over key discussions to SF from Wrike
