Introduction

This is for the creation of new client using our digital processes. The first thing is it's done through Lexicata, but it will primarily be done by Brian for now and he'll transfer all of the information over to Clio. From there, there are a series of steps that need to be done, that are not terribly difficult.

Opening Clio

The first thing that we need to do is to open Clio.

Search for the client's name.

It'll redirect you to the client's matter.

The information there are the ones from Lexicata.

The things missing will be filled up when appopriate.

Opening new client case

Click on the "edit" icon on the top portion of the page to edit the client's matter.

Scroll down a little bit.

Then, you'll see "assign task list."

Click on the dropdown menu to choose from the task list.

Select "opening new client case."

Scroll all the way down to the bottom.

Update the matter.

Creating a digital folder for client's document

Go back to Clio.

Hit "tasks" under "matter."

Check and follow the description. In this case, "locate 'new client folder' in dropbox." Copy contents and paste to the newly opened client's matter.

Go to Dropbox.

Go to the Clio folder in Dropbox.

Go to "new client folder."

Copy the sub-folders inside the folder.

Go to the client's folder in Dropbox.

Open the client's sub-folder.

Paste the 8 items copied from the "new client folder."

Go back to Clio.

Mark as complete.

Click on "add time."

Add time entry for task . This is important in order to show the client that something is being done about his/her case.

Type the activity description, duration and rate.

Creating a digital folder for client's document is free of charge, so we put .1 for duration and 0 for the rate.

Hit "create time entry."

Press "done."

On the task list, you'll be able to see that one (1) time entry has been created.

Create "Engagement Agreement"

Go back to the client's "matter."

Look for the "engagement agreement" task.

Check out and follow the description "scan and upload "engagement agreement."

Go to the Clio folder inside Dropbox.

Look for the client's "engagement agreement" file. It should have the date the document has been created, the name of the client, and the title of the file, engagement agreement.

Right click and select "copy."

Go to the client's folder and look for the "client data and work product" folder inside the client's main sub-folder. This item is private and does not go to anybody else that might take over the case.

Paste the document.

Once we have scanned the document, we need to upload it.

Go to "documents."

Go to "new"

Select "file upload."

Hit "Clio."

Look for the client's folder.

Open the client's "data and work product" folder.

Double-click on the "Engagement Agreement" of the client.

A pop-up will appear.

Type the category, in this case, you need to type in "engagement agreement."

Upload document.

Once the document is online, the next thing we have to do is share the document with the client, so that he or she will have access to the document.

Click on "share."

Type the name of the contact you'll be sharing the document with.

Write a short message.

Click on "shared via clio connect."

Click on "notify contacts via email when this document is shared."

Click on "share."

Go back to Clio and mark the task as complete.

Creating the "nice guy" document from template

Go to documents in Clio.

Click on "new."

Select "document from templates."

Select a document from template.

Choose the "02/22/2016 Nice Way.docx" file from the dropdown.

Make sure "create pdf document" is not ticked off.

Tick off "create word document."

When we store the document we always put the year_month_day_Client's name-and a description of the item. This is to make sure our documents stay consistent.

Choose "create."

Refresh the page of the client's matter.

Go back to "documents."

Hit refresh to reload the page.

Look for the document you just created under the list of documents.

Click on the name of the document.

It'll start to download.

Once you have downloaded the document.

Click on the download info at the bottom of the page to open to the document.

Once the document opens, you will see that everything is filled in.

There's just a couple of this you just have to fix.

Type in the correct prefix of the other side, Mr. or Mrs.

Remove husband if you're sending the letter to the wife, and remove wife if the letter is for the husband.

Type in the correct county of the circuit court where the case is filed.

Drag the mouse to highlight the entire document.

Click on the highlight key on top of the page, choose transparent or none to remove the yellow highlights.

Click on "save as" to save the document.

Save the document.

No need to change the title of the document and the format.

Go to the Clio folder in your Dropbox.

Go to the client's folder.

Open the sub-folder, choose the "correspondence" folder.

Go to Drafts and work product.

Then, save the document.

Go back to the client's matter.

Click on "task."

Choose the"new client-nice guy letter if the petitioner is on the other side."

Click on "add time."

A pop-up will appear, choose "add a time entry."
