In the Trello card, summarize the requirements and refer the full details on the Request History File

In the Skype NPD Chat group, inform everyone that a new request has been submitted and include the trello link card

Ensure that everybody confirms receipt of the request through skype message

Ensure that formulations is ready within 2 to 3 business days

For inevitable delays, make sure to notify sales/customer (within 2 business days) for the cause of delay and the new estimated TAT

Record the cause of delay and TAT in the Request History File and upload new version to the appropriate trello card

Advise the NPD chat group of the updated Request History File and provide summary of the changes
Ensure complete record of the Ingredient Listing details
The Ingredient listing will need to come from NPD. You need to ensure you have everything you need in the file prior to drafting the margins excel.

Compare the Ingredient listing details if it meets exactly the requirement details

Ensure that it includes, Date of Submission, Formula Name, Ingredient listing, Guaranteed analysis, general specs, BOM, DDF, Kcal as default requirements

Copy the Ingredient Listing to the Request History File of the project on a separate worksheet

Record any notes included in the formulation to the Request History File
Completing the Margins Excel
Please note that the margins is set for NZD Currency. Proper conversion is needed when using another currency.

In the Customer specs worksheet, copy the instructions and screenshots from the Request History File

In the NPD Listing worksheet, copy the ingredient listing from the Request History File

In the Dry Dog/Dry Cat IG Worksheet, fill in the fields with the necessary info based on the Ingredient Listing and Requirements of the request

In the Pricing Worksheet, fill in the required fields to match the BOM, DDF, Packaging cost, manpower cost and VDF

Ensure to calculate first the VDF value to use that matches the project requirements

Ensure that the excel cells in the pricing worksheet are coherent
Completing the draft Proposal
The proposal is usually written in a ppt editable format file. The 2018 template can be found on the link provided from the previous task.

Ensure that the format and lay out is (as much as possible) strictly followed and no unnecessary changes in terms of font size, font size, lay out among many other. Purpose is to position the brand with coherence and uniformity.

For any unavoidable major changes on the design, please advise Iza or Kiara.

Ensure to enter the exact date to when the proposal will be sent to Sales or customer

Ensure that the company name is spelled properly and completely.

Ensure that the customer name, title, company name are written accordingly, otherwise, highlight in red XXX so sales will be able to pick it up for further editing. Remind sales to make the necessary edits upon sending of the draft proposal.

Indicate in the message, page 2 of the proposal whether it's a new proposal, a revision and the sequence of the revision.

Indicate in the message, page 2 of the proposal to the products included in the proposal, eg, dry cat or dry dog, RDF, etc

Ensure that the 'sender's details at the signature section is complete and spelled correctly.

In Page 3, list out the project requirements in bullet form. for revisions, indicate the requested changes against the previous requirements to help with differentiation.

In page 4, complete the fields of the project requirements with the correct narratives based primarily on Ingredient listing, product category, nutritional profile among many others

In the Feeding guide, ensure to follow the standard feeding guide template considering the kcal values per formula

In the pricing page, present the prices according to the requested bag sizes and the preferred currency

In the pricing page, indicate the MOQ, Shelf life, shipping terms, payment terms among many others

In the last page, indicate the correct customer's company name and the appropriate signature.

Review: review to ensure zero spelling errors, no grammatical issues, consistency of the lay out and the accurateness of data for each page.
Presentation of proposal
The part where the proposal is forwarded to sales for review and edits.

Forward to sales the ppt version of the proposal so they can make changes on some sections that requires further details, eg customer name, company name etc

Do not forward to sales the margin excel file of the computation and the ingredients listing

Indicate the working days it took to complete the proposal draft

List down necessary notes for Sales to know eg, no artichoke included in the IG due to inavailabililty of the raw mats
