[ACTIVE] [Toggl: Marketing] Pulling the records for the Probate List (Outsourced Copy)

Every Monday, you will go into Caselink and scrape cases from the previous week (Sunday through Saturday).

You have the option to pull whenever you want during the month. However you will need to pull records for every day that you didn't pull records.

For instance, you pull records on 6/20/2017. Then you don't pull any records for 10 days. When you pull records on 6/30/2017, you will need to be sure that you pull records for 6/21/2017 -> 6/30/2017. This ensures that no records are missed.

This is where you will record leads as you gather the data.

Search for cases from the following week

Under “File Date”, choose the Sunday through Saturday of the week prior
For “Office”, choose “Probate”
For “Case Type”, choose “Estate”
Click “Search for Case(s)”

Open the first case to reveal attachments

You can skip any cases with “Small estate affidavit” as the description
You will see a list of cases filed during the previous week. Click anywhere on them to open. Start at the top and work your way down. There are certain case types you can skip, such as “Small Estate Affidavit”. As you learn which ones are/are not valuable, please update Process Street with that information.
Once opened, you will see all of the files/attachments associated with the case.

**NOTE** If you get an error message when trying to open a file, click “Return to Search” and reopen the file. This should prevent you from seeing the error message again.

Find the names and addresses of all heirs/executor

“Petition to Probate Will” is a document where you can often find the names and addresses of the heirs. This is the document where the heirs petition to receive the items of the estate.
There will be mention of an “executor” of the estate. Often, this is one of the heirs. Sometimes, it’s someone else. Make sure this person’s name and address gets added to the spreadsheet! They are the chief decision maker.
