The start of the onboarding process usually can begin three-way. Phone Call, Email, Or stopping by the facility. When looking through the [email protected] email and you find an email that pertains to starting training or receiving more information this checklist is the standard operating procedure to handle it.

The example below will see an example of an email thread we received from an interested parent. You can also see if the thread that has questions about ages we start training this is a very common question we receive and we train as young as 11 years old but are very up front with people that this is not one on one training.

Below you will see the first response to the questions proposed by the client.

After identifying the age we then sent the needs analysis form this form can be found in the canned responses on Gmail see the picture below. Usually, we send the needs analysis right away but wanted to see how old he was first.

To find the needs analysis form use the canned responses in the email.

IMPORTANT!

The script in the canned email is very much a template. Be creative and come up with something that makes it personal and not robotic!!!!!!!!

Finding Needs Analysis Form

When a needs analysis form comes into the info@brxperformance.com email we will then take that information and enter it into E-Z Facility. Needs analysis forms can be identified by the following subject line. Click on the email to open it.

Once we have opened the email you will see detailed information about the new client in the body of the email as well as in a PDF. We will use this information inputted by the client to create them an account on E-Z Facility.

You will see the form puts the information sent to the client in the body of the email as well as a PDF.

Creating Client in E-Z Facility

After opening the Needs Analysis form you will then log into your E-Z Facility account and create a New Client.

The new client steps can be found under Clients at the top of E-Z Facility.

After clicking on this you will be taken to the master client list

Clicking the new client button will allow you to create a new account.

Sending Pricing information and Steps to schedule an assessment

After we have created an account for the current client, the next steps are to send an email from E-Z Facility with the pricing and the steps to get started with an assessment. The pictures and videos below will outline that process.

First, you need to hit the send email button at the bottom of the personal tab

IMPORTANT!!! These are scripted emails, and you will need to change things in the Body. Again add a personal touch where you can and do not make the email seem robotic!!! Personalization, Personalization, Personalization!!

After the email has been read and proofed you can hit the send email button at the bottom.

Notice: Sometimes the system will make you select a subject after hitting the send button if you select other on the subject drop down the default subject will appear.
