FRONT DESK DAILY OPENING PROCEDURES
Arrive 15 minutes before first scheduled appointment of day.
Login to Mind Body and fill any online orders that have come in. Print the orders out, highlight the quantity on left hand side to ensure we fill the appropriate quantity. Once complete, circle the name and the quantity of every order on the product. Clients often come a long way to pick up their order this must never be incorrect and if procedures are followed mistakes will not happen. Please keep door between the on line pick up room and main inventory/shopping room locked at all times.
Check voicemail – (Dial *99 then press 1). Utilize carbonless pad to record messages, date and sign messages. Determine level of priority and text message recipient, if priority.
Check emails and respond. Once you respond, delete message. If it is a question that needs to go to Dr. Ann, please run by coach. (This will get turned over to one person to monitor)
As a quality check, ensure client files for the day are pulled, on top of filing cabinet with the schedule on top of files, covering the names for confidentiality purposes.
