Part One: Checking and/or Splitting PDF Files

From your Batch 7 Ingestion Progress Excel Sheet, copy the T Drive Link and open folder

Here, we want to ensure that all pages are in the correct order, and ensure all relevant pages are in its correct chapter.

If files requires checking -

• Open whole book file in Adobe Acrobat, use this to mirror each chapter - Use the content page as a guide if needed
• Starting from the preliminary chapters, check that each page aligns with the whole book. Check that each page is in the right numerical order
• Continue in page order number
  • If pages are missing from a chapter, use the whole book to split the required chapter(s)
  • Create a new folder in the same T Drive Folder from Task 1, title it ‘Not required’ and move incomplete chapter here.

If file requires splitting - 

• Open whole book file in Adobe Acrobat – Use the content page as a guide if needed
• Split cover → Save As in T Drive Folder from Task 1 & name ISBN_cvr
  • Please note, no spaces or special characters other than the _ is accepted
• Split preliminaries (first page after cover to page before chapter 1) → Save As & name ISBN_00A
• Split chapters → Save As & name ISBN_01, ISBN_02, ISBN_03 etc.
• Split end matters (split out glossary, index, and answers) → Save As & following on from the last chapter number order, name ISBN_XXA, ISBN_XXB, ISBN_XXC etc

Check the below boxes as you complete this task!

4. Create txt.file: Follow the below steps to create this - 

→ Open cmd.exe attached 

→ Type cd 

→ Press Tab till you get to the required sub-folder

→ Once you have the correct subfolder , press Enter

→ Repeat till you come up to the last sub-folder

→ Type the following to create the txt.file: dir . /s > files.txt

→ Press Enter

A further check is required to ensure there are no hidden issues that would prevent files from being ingested.

How to check:

1. Embedded fonts: You can check this by clicking File → Properties → Fonts in your open PDF, and checking all fonts individually. All fonts should have(Embedded Sunset) against its font name. A pop-up box will appear as you scroll through the PDF file is there are fonts that are NOT embedded. 

2. Page Extraction: You can check by this clicking File → Properties → Under Documents Restrictions Summary, Allowed must be against Page Extraction

3. Web Optimised: You can check by this clicking File → Properties → Description, in bottom right on the pop-up box, spot Fast Web View: this should have Yes next to it.

4. Other issues: Please refer to the VitalSource Publisher Guide attached, to examine if there could be any other issues preventing a successful ingestion

5. Fill out required information: To assist with Part Two: Metadata Entry, the following information is required for a speedy entrance: Publication Date; Curriculum; Learning Area; Subject; Overview; Textbook URL. Most of this information can be found on the Publisher's website, or Booktopia.
