What the workflow does
The workflow uses AI to create recruitment emails and job offer letters end to end. The whole hiring process runs inside a single workflow, which takes a mountain of manual writing off your plate and lets you move on a candidate faster.
In the first task, the form fields can be automatically filled in by integrating with a hiring website like Indeed. If your company does not use hiring websites, the data can be entered manually in no time. At the next decision point the workflow asks whether you want to interview the candidate. If you say no, the AI will automatically draft a rejection email which you can send directly from the workflow. If you say yes, you add all the information about the interview so the AI-generated invitation goes out with the correct dates.
From there you can confirm the interview, and if the applicant needs to reschedule you can add that in too. Then you conduct the interview, inputting your interview questions and the applicant’s answers into the workflow. After the interview, you are prompted to either accept or reject the applicant. A rejection generates an AI-written rejection letter; an acceptance creates a different email along with the offer letter, automatically put into a PDF format. All of this is how we set it up, and you can customize it to look however you want.

Create a workflow for your hiring process and add a task for each stage: intake, interview decision, the interview itself, and the final decision. Use conditional logic so the run branches on your yes or no answers, exactly like the shortlist and decline lanes the process needs. That way the candidate only ever sees the steps that apply to them.
At each email step, add an AI-powered action and tell it what to write: the type of message, the tone, and which form fields to pull in, such as the candidate name, role, and interview date. Being specific in the prompt is the difference between a usable draft and a generic one, so be as specific as possible about the correct personal information and which form fields belong in the email. Set a length so the message stays tight, give the first draft a read, and send yourself a test email before you go live. When everything looks right, publish the workflow and run it against a real candidate to confirm every branch behaves.

Each zap follows the same pattern. Trigger it on “New Task Checked” so it fires when a task is completed, then set up Paths for the yes and no branches. Add a Date/Time Formatter so the dates in the generated email come out right, then use the “Send Prompt” action to tell OpenAI exactly what to write and which form fields to include. You can dial in the creativity with the Temperature setting, which was set to 0.7 (think of it as 70% creative) in the original build, cap the length, review the draft, and send a test. A pro tip: the more specific your prompt, the better the final product. Once it works, update the workflow in Process Street, and you will not have to lift a finger for the hiring process again.
