Archiving Checklists

Archiving checklists lets you tidy up your dashboard, filing away checklists without permanently deleting them.

Archived checklists also do not count towards our free plan‘s active checklist limit, making them a great way to make room for more.

Users: Admins and Members can archive checklists, Guests cannot.

How to archive a checklist

There are a few ways to archive checklists.

From your home dashboard or folders

When you hover over the blue card of an active checklist, you’ll see a small cross appear in the top right hand corner of the card. Click this cross to archive your checklist.

From within a checklist

When you view any checklist, you’ll see a button to “Archive checklist” over in the right hand menu.

You can also navigate to find more checklists by clicking on the cog next to the parent template in your dashboard.

Next, select the checklist you want to archive by clicking on one of the blue cards in the right-hand template menu. Then click “Archive checklist” from the right-hand menu.

How to view archived checklists

You can view archived checklists from your Checklist Dashboard, from Folders or from Template Overview. The

Checklist Dashboard allows you to see checklists across your whole organization, folders show groups of checklists and template overview shows you checklists from only one template at a time.

From the Checklist Dashboard

Access your Checklist Dashboard by clicking the “Checklists” button in the header bar at the top of your screen.

You can search in saved views you already have created, or create a new saved view. In the example below we’re going to create a new saved view just for archived checklists, from all our templates.

First create a new saved view from the left side of your screen, then select the templates you want to view. Next set the filter to show checklists that contain the status “Archived”. Save the view when you’re happy with the layout.

From folders

You can view archived checklists from any folder which contained the checklists before they were archived.

Click the cog next to the folder’s name, then click “Show inactive”. Any archived checklists will appear as blue cards with horizontal white lines across them (completed checklists show as green cards).

From Template Overview

You can view archived checklists from one specific template, by going into the template overview tab.

Open the template, go into the “Overview” tab at the top left of your view, and then click the “Statuses” dropdown (next to the search box). Now click “Archived” in the dropdown menu and a list of your archived checklists appears.

From your activity feed

To see which user archived a checklist, you can head to the activity tab in your organization manager screen.

Recent activity is shown at the top of the page, you may want to load more results and search for the word “Archived” for older activity feeds.

How to unarchive a checklist

If you want to unarchive a checklist, first open it up and then click the “Unarchive checklist ” button at the top of the right-hand menu.
