Intake Process: Onboarding Clients Efficiently & Effectively as a Law Firm

Intake Process

Lawyers are busy people.

They’re at the frontline of all legal matters, providing advice on tricky issues, resolving disputes, and representing clients in court if needs be. All. Year. Round.

Ergo: There’s a lot on any given lawyer’s plate.

With the huge amount of recurring tasks that need to be completed, on top of looming deadlines and constant work-related pressures, it’s easy for quality to slip. Especially when it comes to one of the most important processes of all – the intake process.

It’s why 61% of law firms forget to ask for the client’s name during their initial conversation, why 35% of calls from clients go unanswered, and why it takes 3 or more days for 42% of law firms to respond to prospective clients.

For a law firm to keep its prestigious reputation – and to continue working with great clients – the intake process needs to effective, efficient, and done properly.

That’s why this blog post exists.

In this post, I’ll discuss what an intake process is, its benefits, why it’s important, and how Process Street can help law firms streamline the entire process.

SaaS Onboarding: The Strategy We Used to Triple Conversions

SaaS onboarding

This is a guest post by Daniel Ndukwu. Daniel has extensive experience in digital marketing and is the Founder of KyLeads. There he helps business owners and publishers increase their leads and audience engagement with smart popups, interactive quizzes, and surveys.

In 2017, I had a brilliant idea.

Many of the tools for conversion rate optimization are point solutions. They make popups, landing pages, quizzes, surveys. Very few of them – if any – combine those functions into one.

I decided I would tackle the challenge by building a tool (now called KyLeads). It would allow people to create surveys, popups, and quizzes for lead generation and customer research.

After going through two development teams, rebuilding our user interface, and learning first-hand how hard it is to make software, we launched.

There was little fanfare and only a few customers when we started. But my team and I kept going. We knew it would be a long journey to success – and it’s paying off.

This article shares the best practices, tactics, and processes we used (and are still using) to improve our SaaS onboarding and grow our business into something spectacular.

Want to turbocharge your business’ onboarding successes and conversion rates in half the time?

renegard-case-study

Renegard uses Process Street to enable manual, on-the-ground workers to execute tasks more efficiently and enable their managers to oversee all activity in real-time. They also use process automation to streamline the hiring and onboarding process. We spoke to their CEO, David Martin, about how they are using Process Street, what benefits they are experiencing, and how Renegard sees their usage of the platform progressing in the future.

The Renegard Story

From pickup trucks to boats and large-scale construction equipment, Renegard provides its customers with high-performance protective coating for a range of vehicles.

Ultimately, their mission is to help you get the most out of your vehicle by applying coatings that are guaranteed to protect it from wear and tear as well as more significant damage.

Their two trademarked products, Alphagard and Solargard, are extremely tough coatings that can be used for both interior and exterior applications. They are available in a variety of colors and can be custom color matched.

Given that they apply their coatings to vehicles all across the US, Renegard employs a large number of contractors to perform the manual-intensive work. These individuals need to follow strict processes in order to ensure that coatings are applied in the proper way each and every time.

14 Client Onboarding Process Checklists for Finance, IT, Medical, SaaS, Real Estate…

Client Onboarding

Client Onboarding for Professional Services

When a new client signs up, it’s not enough to leave them alone to jump into your service by themselves –  you’ve got to have a clearly written process to make sure they know they’ve made the right choice.

Settling a new client into your business and establishing a good relationship is one of the best ways to reduce churn.

‘If you hold a customer’s hand for 90 days, they’ll be loyal for life’. – John Jantsch

The process of perfect onboarding differs depending on your business, but the essence is the same. Of course, you’re updating your CRM and complying with legal regulation, but that’s not going to make the customer think you’re the best choice and quell the buyer’s remorse. You’ve also got to build a relationship, get to know the customer’s individual needs (once they’ve signed up, they’re not just a vague profile or target audience) then integrate them into your existing business process.

At Process Street, we’ve put together 14 templates you can use to get new clients settled in with minimal hassle. The templates include sample documents, ready-to-send emails and industry-specific advice for criminal lawyers, marketing agencies, and financial planners.

Why Google’s Onboarding Process Works 25% Better Than Everyone Else’s

Even tech giants have humble beginnings.

In the halcyon days when Google was making the transition from a bedroom to a rented garage in Menlo Park, it won’t surprise you to learn they didn’t have a tight onboarding process in place.

For years Google ran on a single, sprawling spreadsheet including a ranked list of the company’s top 100 projects. The projects were confusingly graded on a scale between “far out” and “skunkworks”, and the founders handled the process with a ‘who cares’ attitude.

Since that point, everyone knows Google has made leaps not only in the Internet space but also in the workplace. The company is the #3 world’s most valuable brand and the #3 best employer in America. Its made extremely effective tweaks to its hiring process over the years, but what isn’t reported as often is its approach to new employee onboarding — the process of getting a new hire equipped with everything they need to integrate into the company culture, work effectively and succeed.

The wackier aspects of Google’s orientation process are widely known. We’ve heard about the Noogler beanies with motorized propellers, and the Mountain View all-Noogler TGIF meetings where the founders “just come in and make some dad jokes”. The inner workings of the process, however — the parts that make it so notoriously effective — aren’t as obvious.

In this article, I’m going to run through the nuts and bolts of Google’s ‘just in time’ employee onboarding process, and some of the supporting events that happen during.

9 User Onboarding Tools to Smash Your Revenue Targets

user onboardingEffective user onboarding can make or break your business.

Poor onboarding of new users will mean a high number of users unsure how to use your product or how to get maximum value out of it.

This leads to churn, and lots of it.

According to TechCrunch, one in four mobile apps are abandoned after the first launch while Andrew Chen tells us that 77% of users drop an app just 72 hours after download.

In order to run a sustainable business, you need to make sure that the potential new users who sign up for your service are able to quickly and clearly understand why they should keep using your product.

We need to keep users active and increase the proportion of users who are paying customers. Then we can start driving the business forward!

But how do we do this?

Experiment. No one on the internet will be able to tell you exactly what you need to do to make your product a success. You have to find out for yourself. You need to test and iterate, gather data and analyze. This is your route to building a brilliant product.

With all this in mind, this Process Street article is going to cover:

  • Why user onboarding is super important
  • The key user onboarding approaches different businesses use
  • Sujan Patel’s 6 onboarding experiments for ContentMarketer.io
  • Kevin Dewalt’s 4 steps to implement concierge onboarding
  • The 3 steps Process Street has taken to improve user onboarding
  • AND 9 tools to help you experiment with your user onboarding
